Transparent Employee Earnings with Restricted Access

How can I be transparent about the pay and commissions and tips that my team gets. Each provider should see only his figures
Business Problem

Team members want clarity on their earnings, commissions, and tips, but there is concern about maintaining confidentiality — ensuring each provider sees only their own data and not others’. Lack of visibility can reduce trust and motivation, while poor controls risk exposing sensitive pay data.

Business Conditions 
  • The business tracks services, commissions, and tips in Zenoti.

  • Employee profiles and roles are properly defined.

  • The business uses Zenoti Payroll or a connected payroll export system.

  • Each provider has a unique Zenoti login and mobile access (Zenoti Mobile App).

  1. Enhance your Master/Admin Management 

    • Step 1: Configure Role-Based Permissions   

      • Go to Admin → Security Roles

      • For each role (Stylist, Therapist, Senior Stylist, Manager), configure access rights as follows:

        • Allow “View Own Payroll Summary” 

        • Restrict “View Others’ Payroll” and “View All Employee Reports” 

      • Ensure each stylist/therapist is assigned the correct security role. Reconfirm that the permission to view Payroll only exists for roles you want to provide the visibility to. For example manager and above.

    •  Step 2: Enable the dashboards for staff to view their metrics in Zenoti Mobile App/Myzen

      • Each provider sees only their own data — access is automatically restricted by user login.

    • Step 3: If you have a small list of providers, you can print end of the day reports per provider from your reciept printer and share each providers earnings to them on a daily basis

    • Internal Communication on Transparency 

      • Communicate and coach your providers on how they can use Zenoti mobile app to see their payroll/commission details, earnings and performance related metrics effectively.

      • Circulate the “confidentiality” message among your staff to keep their numbers confidential

      • Highlight leaderboards or recognition boards showing top performers without revealing earnings, focusing on effort and growth.

      • Track total tips collected, pending distribution, and tips paid out per employee.

    • Employee Earnings Report (Payroll Summary): 

      • Shows overall pay by staff member — visible only to admins.

      • Measures service hours vs. revenue to align incentives.

    Contingency Plan (If things don’t go as expected) 
    • If staff complain about incorrect pay data:

      • Verify service-to-staff mapping on invoices.

      • Recalculate commissions using Payroll Recompute option in Zenoti.

      • Recheck role-based permissions and disable “View All Staff” settings.

    • If tip distribution errors occur:

      • Review Tip Mapping Rules under Payment Settings and rerun payout manually.
