Set up the employee’s schedule for the week and copy the schedule forward

  1. On the Employee Schedule page, select the Week tab.

  2. The list of all employees is displayed on the screen. You can filter the employees based on four predefined filters at the top of the employee list.

    The available filters are Center, Role, Job, and Employee. These filters help to get the specific list of employees with ease.

  3. To create employee schedules for an entire week, select the date or week from the calendar. You can then assign day-wise weekly schedules and update weekly holidays for all your employees. Additionally, you can manage leaves for employees in the weekly schedule view.

    • Add Schedule

      To add a schedule, select the required employee from the list. Click the date block corresponding to the date for the schedule and select the Working(Add schedule) option from the list.

      You get this option if the employee was earlier not scheduled to work and you are now adding a schedule.

    • Update Schedule

      To update an existing schedule, select the required employee from the list. Click the date block of the existing schedule and select the Working(Update schedule) option from the list.

      You get this option if the employee is already scheduled to work and you are updating the scheduled working hours.

    • Set Week Off

      To assign a weekly off, select the required employee from the list. Click the date block corresponding to the weekly day off (say, Monday) and select the Weekly off option from the list. Zenoti greys out the block.

    • Schedule a leave

      To assign a leave for an employee, select the required employee from the list. Click the date block for the leave and select the Leave option from the list.

      You can assign a special holiday by selecting the Special leave option. This is useful if your business offers special leaves to employees such as leaves on birthdays of family members and employees’ wedding anniversaries. These holidays are usually paid leaves.

  4. Click Save.

Copy weekly employee schedule for future dates

  1. To copy this schedule forward for upcoming weeks, click Copy.

  2. To copy the schedule for future weeks, select the Copy schedule forward option and enter the number of weeks per your requirement.

    To copy the schedule for specific weeks, select the Copy to selected weeks option and select the weeks from the list.

    Example:If you enter 12 weeks, Zenoti copies the employee's schedule for an additional 12 weeks. Click Copy.

  3. To retain holidays for employee schedules, click Preserve info for list and select the holiday type that will be copied for future schedules. You can retain weekly offs, leaves, and special leaves for the schedule.

    This is an optional step. However, this feature is helpful to set weekly offs for employees automatically in one go.

  4. To copy and create the future schedules, click Save & Copy.

  5. Repeat these steps for specific roles or a specific employee, as required.

Impacts and considerations

  • Zenoti does not check for appointment conflicts when copying a schedule forward. The front desk should manually assign another provider if there are conflicts in the booking. Zenoti also does not copy forward the notes you may have entered in the Day View for an employee.

  • On a given day, you can extend an employee’s schedule even if the employee has already checked in. For example, if the employee was due to work from 9 AM to 4 PM, you can edit this to say, 9 AM to 6 PM.

  • You cannot modify the employee’s status after the employee has checked in. For example, if the employee’s status is Working, you cannot change it to Leave or Weekly Off.
