Access and Manage Tax Filing Authorization Forms in Zenoti Integrated Payroll (ZIP)

This article explains how to view digitally signed tax authorization forms submitted during onboarding for Zenoti Integrated Payroll (ZIP). It also outlines how to reauthorize tax documents if your business designates a new signatory.

Overview

To ensure timely and accurate payroll tax filings, businesses using ZIP must authorize Zenoti and our tax partner, Check, to act on their behalf. This a includes permission to file federal and state payroll taxes and communicate with tax authorities.

You may be required to sign additional forms depending on the states in which your business is registered.

Use this guide to:

  • Understand what tax authorization forms are

  • Access signed documents

  • Reauthorize forms if your signatory changes

Prerequisites
  • You must have completed ZIP onboarding.

  • The signatory must be legally authorized to act on behalf of your business (owner, partner, or officer).

What are tax authorization forms?

These forms provide legal permission for Zemoti and Check to:

  • File federal and state payroll taxes on your business’s behalf

  • Communicate with relevant tax authorities

  • Act as your third-party administrator (TPA) or employer agent

Examples of common forms:
  • Massachusetts: Power of Attorney and Declaration of Representative

  • California: Power of Attorney (POA) Declaration

  • Colorado: DR 0145 – Tax Information Authorization or POA

  • Other state-specific POAs as required

Forms are completed digitally and signed by an authorized signatory during onboarding.

Access signed authorization forms

To view authorization forms signed during onboarding:

  1. Go to Configutation > Employee > Zenoti Integrated Payroll.

  2. Click Settings icon in the top-right corner (next to the Off-cycle Payroll button).

  3. Select a business entity.

  4. Click View Details for the business you want to manage.

  5. Navigate to the Authorization Documents tab.

  6. View or download the signed forms submitted during onboarding.

Reauthorize forms with a new signatory

If the designated signatory changes, follow these steps:

  1. Navigate to the Signatory section, in the Settings panel.

  2. Add or update the contact details for the new authorized signatory.

  3. Go to the Filing Authorization tab under settings.

  4. Select the specific form you want to regenerate.

  5. Scroll to the bottom of the form view and click Regenerate Form and Sign.

  6. This will trigger a new digital signing flow with the updated signatory’s details.

  7. Verify signed forms.

Once the new signatory completes the digital signature, the updated version will be available under the Authorization Documents tab.

Compliance notes
  • All authorization forms must be signed before processing your first payroll with Zenoti.

  • Failure to complete state-specific POAs may delay or prevent tax filings for that jurisdiction.

  • Ensure the signatory has the legal authority to represent your business.

Q. Why do I need to authorize Zenoti and Check? 

A. Authorization is legally required to enable Zenoti and Check to act on your behalf with tax agencies and file payroll taxes accurately and on time.

Q. What if my business expands into a new state? 

A. ZIP will prompt you to sign additional required state POAs during the registration process for that new state.

Q. Can I view previously signed forms? 

A. Yes. All signed authorization forms are stored under the Authorization Documents tab.

Q. What happens if I don’t update a new signatory?

A. If the original signatory is no longer valid, future filings may be delayed. Update signatory details promptly to avoid disruptions.
