Configure membership freezes with limited unfreezes
You can configure when and how many times memberships can be unfrozen. To enable the freeze of memberships with a restricted number of unfreezes, do the following:
Required roles: Any role with access to the Administrator mode
Required permissions: None
Configure freeze rules at the organization level
At the organization level, click the Configurations icon.
Search for the Define unfreeze rules for memberships setting in the Memberships section.
Enable this setting.
Select the Freeze with a restricted number of unfreezes; set an automatic unfreeze period for memberships option.
To specify the type of duration freeze, select days, months, or billing cycles from the Select the duration list. To specify the exact duration, enter a number in the When do you want to unfreeze memberships? column.
To restrict the number of unfreezes in a calendar year, enter the maximum number you want to allow in the How many times (maximum number) in a calendar year do you want to be able to unfreeze a membership? column.
To select the effective date for these unfreeze rules, enter a date in the From when do you want these unfreeze rules to be applied? column.
To allow guests to use benefits during the freeze period, select the Allow using benefits option in the Default freeze type setting. To block the usage of benefits during the freeze period, select the Freeze benefits option.
To mandate your front-desk staff to select a reason for membership freeze, enable the Enable freeze reasons setting.
To add or edit freeze reasons, select the Freeze reasons setting. At the center level, you can only view existing freeze reasons.
Click Save.
Impacts and considerations
Each membership freeze automatically extends the membership duration and suspends payments during the freeze period. Consider this when choosing the number of allowed freezes.
Override organization-level freeze rules at the center level
Center owners can override the freeze rules set at the organization level. To do this, follow this procedure:
Required roles: Any role with access to the Administrator mode
Required permissions: None
At the center level, click the Configurations icon.
Search for the Override organization settings of membership freeze rules setting in the Memberships section.
Enable this setting.
To specify the number of days after which the membership should automatically unfreeze, select the Set predefined days after which the membership will automatically unfreeze option and enter the required details. To set the maximum number of days for membership freeze, select the Set maximum number of days for which a membership can be frozen in one go option and enter the required details.
Click Save.
