Member profile actions

Overview

The member or guest profile in Zenoti stores essential details about each member, including personal information, memberships, purchases, and payment records. It helps businesses manage member interactions, track participation, and process transactions efficiently. The profile can be accessed by authorized staff for updates, payments, and other member-related activities.

Create a new member profile

Creating a member profile ensures that all guest information is stored accurately in the system. This profile is essential for tracking bookings, payments, and memberships associated with each member.

Note

If a member does not have an existing file, a new member profile is automatically created when registering a member for a class.

A manual profile creation process is required if a new guest needs to be registered without booking a class. This allows the front desk or administrative staff to input the member’s details directly into the system.

From the Roster View:

  1. Click the three dots icon (...) on the right corner of the Roster view.

  2. Select the New Guest option from the dropdown menu.

  3. Enter the required details for the member.

  4. Click Save to create the profile.

From the Search bar:

  1. Click Add Guest+ on the search bar.

  2. Fill in the required fields, including Name, Email, Phone Number, and any other necessary details.

  3. Click Save to store the new profile.

Access member profile

Access to a member’s profile enables staff to manage memberships, track participation, and handle transactions seamlessly. You can retrieve a member’s profile through multiple points in Zenoti:

  1. From the Guests section:

    • Navigate to Guests > Manage Guests.

    • Use the search bar to find the member by name, mobile number, or email.

    • Click on the member’s name to open their profile.

  2. From the Roster view:

    • If the member is enrolled in a class, navigate to Roster View.

    • Click the profile icon next to the member’s name to open their details.

  3. From the Appointment or Queue view:

Member profile details

A Member profile has multiple tabs. These tabs can be managed from organization settings. You have the ability to hide tabs that are not relevant to your business. For more information, refer to the configure tabs on member profiles article.

Member Profile tabs and details

  1. General Tab: Stores essential contact details, payment methods, and notification preferences.

  2. Notes: Enter or view member-specific notes, such as preferences or concerns.

  3. Classes: Displays a record of past and upcoming class enrollments.

  4. Products: Shows purchase and refund history for retail items.

  5. Membership: Contains details of active and inactive memberships.

  6. Packages: Lists package details, including redeemed and available benefits.

  7. Pre-paid Cards: Displays available balance in on-hand accounts.

  8. Gift Cards: Tracks purchased and received gift card information.

  9. Custom Fields: Stores signed terms and conditions forms and other custom data. You can email the form to a member by clicking on the above Send Guest Custom Data Link.

  10. Open: Displays any pending invoices on the member’s account.

  11. Payments: Provides a history of all payments made by the member.

  12. Forms Unified View: Keeps a historical log of all forms associated with the member.

Member forms

  1. Navigate to a member’s profile.

  2. To email the form to the member, select Send Guest Custom Data Link.

  3. You can view a member form under the Custom Fields Tab.

  4. To view historical form data, go to the Forms Unified View tab.

Complete form on iPad/Zenoti Mobile

  1. Login to Zenoti mobile

  2. Select the Classes icon

  3. Locate the class the member is enrolled in.

  4. Select Guest Form.

  5. Click on the lock icon and hand the device to the member or guest to complete the form.

  6. After the form is filled, you are required to sign in again to unlock the screen.

Note

If the member is not enrolled in a class, access forms from the Forms Unified View from the member’s profile.
