Sales-Cash report (v2)

Businesses that follow cash-based accounting, consider a financial activity as a sale only when the full payment is received, irrespective of when the transaction was performed. The Sales-Cash report provides all details for such transactions.

  1. At the organization or center level, click the Reports icon.

  2. On the Reports page, search for and select the Sales-Cash report.

  3. To view complete data for a report with multiple columns, scroll horizontally to the right or left to access all columns.

  4. To view specific data on the report, select the desired filters. For more information, refer to report features on Zenoti.

  5. Click Refresh.

    If you generate the report for over a year, click the Email button.

Some of the common activities for the Sales-Cash report are listed below.

  • Accountants can use this report to view the sales made by a center during a date range.

  • The Sales-Cash report includes sales made via all types of payments supported for the enterprise. For online payment reconciliation with bank deposits, please refer to the Digital Payments report.

  • Refer to the Sales Accrual report to view items sold without any payment.

  • The Sales-Cash report does not consider the pending amounts in open invoices as sales.

  • If payment is received for an invoice, all associated items will be displayed in the Sales Cash report. However, if no payment is made, the report will exclude all associated items.

Note

The optional columns can accommodate up to 100 characters.

The following table describes the filters available in Sales cash report and their corresponding descriptions. You can use these filters to generate the report.

Filter

Description

Level of Detail

  • Item: Item-level payments that are collected cumulatively on the payment day.

  • Item for each Payment: Item level for each payment collected on the specified payment day.

Sale type

  • Sale: Sales completed using cash equivalent payment types and do not include dues.

  • Redemption: Sales completed using payment types such as Gift Cards, Packages, Memberships, Prepaid Cards, and Loyalty Points.

  • Refund: Refund sale regardless of the payment type.

  • Charges: No show, cancellation, freeze fee, set up fee.

Sale date

Date on which the payment for an item was processed and recorded.

Centers

Center at which the payments are collected.

Zone/Location group

The Zone/Location group filter allows you to search for both zones and location groups if location groups are configured for the organization for at least one zone.

Location groups will only be shown if the Enable Location groups setting is enabled. If the Zone/Location group filter is not visible, it means it is not enabled for your account. Please contact your Zenoti Customer Success Manager to enable this feature.

Item type

Type of the item such as service, product, packages, membership, gift card, or prepaid card.

Payment type

Types of payment such as cash, credit cards, debit cards, and check. Based on the payment type selected from the filter, the sales data in the Sales Collected Including Tax, Sales Collected Excluding Tax, and Tax Collected columns will be updated accordingly.

Sold by

Employee who sold the item. Transactions that do not contain Sold By information are excluded from the results when using this filter. To include such transactions, use the Not specified option.

Invoice status

Current state of an invoice, such as pending, paid, overdue, disputed, or canceled.

Item Category

Category associated with the selected item type. Transactions that do not have a defined Item Category will be excluded when using this filter. To include such transactions, select the Not specified option.

Item Sub-category

Sub-category corresponding to the selected item type and category. Transactions that do not have a defined Item Sub-category will be excluded when using this filter. To include such transactions, select the Not specified option.

Business unit

Business unit to which the item belongs.

The following table describes the columns you see in the Sales cash (v2) report:

Sale Date

Date when payment or liability redemption occurred.

Date when payment was received or liability was redeemed.

Invoice number

Invoice number for the appointment or POS entry.

Invoice number generated for the appointment or point of sale transaction.

Center name

Name of the center where the transaction occurred.

Name of the center where the transaction occurred.

Guest name

Name of the guest on the invoice.

Name of the guest associated with the invoice.

Item name

Name of the item sold.

Name of the item sold on the invoice.

Quantity

Quantity of items sold.

Quantity of items sold as recorded on the invoice.

Sales collected (without tax)

Total amount collected excluding tax.

Total amount collected from the guest excluding tax. If redemption is chosen as the payment type during report generation, this column will reflect the redemption amount as a sale.

If an invoice is for $100 but only $40 is collected, the Sales Accrual report will show $100, while the Sales Cash Report will show $40 in this column.

Tax Collected

Tax collected for the item.

Tax collected on the item. If redemption is selected as the payment type, this column will also display the tax paid by the guest for the item.

Sales Collected (with tax)

Total amount collected amount including tax.

Total amount collected from the guest including tax. If an item is purchased using a liability that was taxed at the time of purchase, the guest will not be charged additional tax. In such cases, the tax applied to the item will be zero.

Sales Collected (with tax) = Sales Collected (without tax) + Tax collected

Redeemed amount

Amount redeemed using liabilities.

Amount redeemed by the guest using liabilities such as memberships or prepaid cards. This value is the same as sales accrual.

Collected amount

Amount collected using cash, card, or other payment types.

Amount paid by the guest using cash, card, check, or custom (financial or non-financial) payment types. This value is the same as sales accrual.

Collected To Date

Amount collected to date using all payment methods.

Amount paid by the guest by using cash, card, check, or custom (financial or non-financial) payment types till the current date.

Invoice Date

Date when the invoice was created.

Date when the invoice was created in Zenoti.

Invoice For

Purpose of the invoice, such as sale or membership action.

Indicates the action that generated the invoice. For memberships, this includes Sale, Dunning, Upgrade, Downgrade, or Transfer, helping to identify membership-related transactions. For other sales like products, services, or classes, this column remains empty.

Receipt number

Auto-generated receipt number upon invoice closure.

Auto-generated number assigned when the invoice is closed.

Open invoices will show a receipt number of 0 because a receipt number is only generated upon full payment.

Payment number

Auto-generated payment transaction number.

Auto-generated number assigned to the payment transaction.

Item Category

Assigned category of the item.

Category assigned to the item. If no category is set, it displays as Not Defined.

Item Type

Type of item

Type of item, such as service, product, or package.

Discount name

Name of the discount or promotion applied.

Discount applied on the invoice

  • Price adjusted: Sale price is manually adjusted in the POS screen.

  • Manual Discount: Discount is manually applied in the Discount field on the POS screen.

  • Waive Off: Membership fee is waived off.

  • Campaign or membership discount: Discounts applied automatically via a promotional campaign or membership benefit.

    If an invoice had multiple promotions applied, their names will be listed here, separated by a comma.

Discount amount

Total discount amount applied.

Total discount amount applied on the invoice including package redemptions and membership redemptions.

If loyalty points are configured as non-taxable, any loyalty points redemptions will be treated as discounts and reflected in this column.

Note

Loyalty points values will be excluded in the Sales (without tax) or Taxable Amount columns.

Payment Type

Method of payment used.

Payment method used for the items, such as cash, card, or gift card.

Room

Room where the service was performed.

Name of the room where the service was performed. This is blank for non-service items.

Equipment

Equipment used to perform the service.

Equipment used to perform the service. This is blank for non-service items.

Closed By

Name of the employee who last closed the invoice.

Name of the employee who last closed the invoice.

Sold By

Name of employee credited with the sale.

Name of the employee credited with the sale as selected in POS.

Created By

Name of employee who created the invoice.

Name of the employee who created the invoice.

Status

Current status of the invoice.

Current status of the invoice, such as Open or Closed.

Invoice Notes

Notes or comments added by staff.

Notes or comments added by staff regarding the guest or transaction.

Tip

Amount received from the guest as a tip.

Amount paid by the guest as a tip.

SSG

Amount paid for Support Staff Gratuity.

Amount paid by the guest for Support Staff Gratuity (SSG).

Referral Source

Channel through which the guest was referred.

Referral source recorded when creating the guest profile.

Referred By

Guest who referred

Name of the guest who referred the current guest.

Is member

Indicates whether the guest has an active membership.

Indicator showing whether the guest has an active membership (Yes or No).

First Visit

Indicates whether this was the guest’s first visit.

Indicator showing whether this was the guest’s first visit (Yes or No).

Base Invoice number

Invoice number for the original sale of refunded item.

Invoice number for the original sale of the refunded item.

Item Subcategory

Further classification within the main category

Subcategory assigned under the main item category.

Business Unit

Business unit assigned to the item.

Business unit assigned to the item.

Sale Type

Sales channel type.

Sales channel type, such as in-store or online.

Vendor

Vendor associated with the product.

Vendor associated with the product at the center level. It is unrelated to the purchase order. This field appears only when the Item Type is set to Product. If a different Item Type is selected, the field is displayed with the value NA. If the product has multiple associated vendors, it displays Multiple. If no vendors are associated, it displays Not Specified.

Brand

Brand of the product sold.

Brand associated with the product sold.

GST Sequence Number

GST invoice sequence number for the payment.

GST invoice sequence number generated for the payment. It is visible only if Level of detail is selected as Item for each payment.

GSTIN

GST Identification Number of the center.

GST Identification Number of the center collecting the payment as configured in center settings. It is visible only if Level of detail is selected as Item for each payment.

Bundle name

Name of the bundle to which the item belongs.

Name of the bundle that has a collection of products and services. If you do not see this column, please contact your Zenoti Customer Success Manager.

Center Code

Internal code assigned to the center.

Item Code

Unique identifier assigned to the item.

Unique identifier assigned to the item.

Guest Code

Unique ID generated by Zenoti for the guest.

Unique ID generated by Zenoti for each guest.

Display name

Name displayed for the guest in the system.

Name displayed for the guest in the system.

PAN provided?

Indicates if PAN is provided

Indicates whether the guest has submitted their Permanent Account Number (PAN) details (Yes or No).

Display name

Name displayed for the guest in the system.

Name displayed for the guest in the system.

Gender

Gender identity of the guest.

Country of citizenship of the guest.
