Sales-Cash report (v2)

Businesses that follow cash-based accounting, consider a financial activity as a sale only when the full payment is received, irrespective of when the transaction was performed. The Sales-Cash report provides all details for such transactions.

  1. At the organization or center level, click the Reports icon.

  2. On the Reports page, search for and select the Sales-Cash report.

  3. To view complete data for a report with multiple columns, scroll horizontally to the right or left to access all columns.

  4. To view specific data on the report, select the desired filters. For more information, refer to report features on Zenoti.

  5. Click Refresh.

    If you generate the report for over a year, click the Email button.

Some of the common activities for the Sales-Cash report are listed below.

  • Accountants can use this report to view the sales made by a center during a date range.

  • The Sales-Cash report includes sales made via all types of payments supported for the enterprise. For online payment reconciliation with bank deposits, please refer to the Digital Payments report.

  • Refer to the Sales Accrual report to view items sold without any payment.

  • The Sales-Cash report does not consider the pending amounts in open invoices as sales.

  • If payment is received for an invoice, all associated items will be displayed in the Sales Cash report. However, if no payment is made, the report will exclude all associated items.

Note

The optional columns can accommodate up to 100 characters.

The following table describes the filters available in Sales cash report and their corresponding descriptions. You can use these filters to generate the report.

Filter

Description

Level of Detail

  • Item: Item-level payments that are collected cumulatively on the payment day.

  • Item for each Payment: Item level for each payment collected on the specified payment day.

Sale type

  • Sale: Sales completed using cash equivalent payment types and do not include dues.

  • Redemption: Sales completed using payment types such as Gift Cards, Packages, Memberships, Prepaid Cards, and Loyalty Points.

  • Refund: Refund sale regardless of the payment type.

  • Charges: No show, cancellation, freeze fee, set up fee.

Sale date

Date on which the payment for an item was processed and recorded.

Centers

Center at which the payments are collected.

Zone/Location group

The Zone/Location group filter allows you to search for both zones and location groups if location groups are configured for the organization for at least one zone.

Location groups will only be shown if the Enable Location groups setting is enabled. If the Zone/Location group filter is not visible, it means it is not enabled for your account. Please contact your Zenoti Customer Success Manager to enable this feature.

Item type

Type of the item such as service, product, packages, membership, gift card, or prepaid card.

Payment type

Types of payment such as cash, credit cards, debit cards, and check. Based on the payment type selected from the filter, the sales data in the Sales Collected Including Tax, Sales Collected Excluding Tax, and Tax Collected columns will be updated accordingly.

Sold by

Employee who sold the item.

Invoice status

Current state of an invoice, such as pending, paid, overdue, disputed, or canceled.

Item Category

Category associated with the selected item type.

Item Sub-category

Sub-category corresponding to the selected item type and category.

Business unit

Business unit to which the item belongs.

The following table describes the columns you see in the Sales cash (v2) report:

Column

Description

Sale Date

Date on which the payment was made, or liability was redeemed.

Invoice#

Invoice for the appointment or point of sale entry.

Center Name

Center where the business activity was performed.

Guest Name

Guest name on the invoice.

Item Name

Item that was sold on the invoice.

Qty

Number of items sold on the invoice.

Sales Collected (Exc.tax)

Total amount paid by the guest.

While generating the report, if you’ve selected redemption as the payment type, this column will also show the redemption amount as a sale.

If an invoice value is $100 and only $40 is collected, this column in the sales accrual report will show $100. Whereas, in the sales cash report, this column will be $40.

Tax Collected

Tax collected on the item.

While generating the report, if you’ve selected redemption as the payment type, this column will also show the tax paid by the guest to purchase the item.

Sales Collected (Inc.tax)

Total amount paid by the guest including tax.

If the item was paid using liability and the liability was purchased at a taxed price, the guest will not be charged another tax to purchase the item. In this case, the tax will be zero.

Sales Collected (Inc.tax) = Sales Collected (Exc.tax) + Tax collected

Redeemed

The amount redeemed by the guest using liability. This value is the same as sales accrual.

Collected

Amount paid by the guest by using cash, card, check, or custom (financial or non-financial) payment types. This value is the same as sales accrual.

Collected To Date

Amount paid by the guest by using cash, card, check, or custom (financial or non-financial) payment types till the current date.

Invoice Date

The date on which the invoice was created.

Invoice For

Indicates the action for which the invoice was generated. Membership actions include  Sale, Dunning, Upgrade, Downgradeor Transfer. This helps identify membership-related sales. For the sale of other items like products, services, or classes, this column remains empty.

Receipt No

The number auto-generated when the invoice was closed.

For open invoices, the receipt number is 0. This is because a receipt number is generated only after full payment is received.

Payment No

The number auto-generated for this payment.

Item Category

Category of the item.

If the item, does not have a category, you will see Not Defined in this column.

Item Type

Type of the item.

Discount Name

Discount applied on the invoice

  • Price adjusted - sale price is manually adjusted in the POS screen

  • Manual Discount - discount is manually applied in the Discount field (POS screen)

  • Waive Off - membership is waived off

  • Campaign or membership discount that was applied

    If multiple promotions were applied on the invoice, the promotion names are separated by a comma.

Discount

Amount of discount applied on the invoice including package redemptions and membership redemptions.

When loyalty points are configured as non-taxable, redemptions are treated as discounts and reflected in this column.

Note

LP values will be excluded from the Sales (excl. Tax) and Taxable Amount columns.

Payment Type

The payment option that was used to pay for the item.

Room

Room in which the service was performed.

For non-service items, this column is blank.

Equipment

Equipment that was used to perform the service.

For non-service items, this column is blank.

Closed By

The employee who last closed the invoice.

Sold By

Employee name that was selected by the front-desk staff on POS.

Created By

The employee who created the invoice.

Status

Status of the invoice.

Invoice Notes

Helpful suggestions or comments about the guest or transaction added by the front-desk staff for the invoice.

Tip

Amount paid by the guest for tips.

SSG

Amount paid by the guest for Support Staff Gratuity (SSG).

Referral Source

Referral source selected by the front-desk staff while creating the guest profile.

Referred By

Existing guest who referred this new guest.

Member

Indicates if the guest has an active membership with a Yes or No.

First Visit

Indicates if this visit was the guest’s first visit with a Yes or a No.

Base Invoice#

Invoice on which the refunded item was sold.

Item Subcategory

Subcategory of the item.

Business Unit

Business unit to which the item belongs.

Sale Type

Type of sale, online, in-store, and such.

Vendor

Vendor associated with the product at the center level. It is unrelated to the purchase order. This field is only displayed if the Item Type is filtered by Product. If another Item Type is selected, it will display NA. If multiple vendors are associated with the product, it will display Multiple. If there are no vendors associated, it will display Not Specified.

Brand

Brand associated with the product.

GST Sequence Number

GST invoice sequence number generated for the payment.

Note

This column is only displayed if the Level of detail filter is selected as Item for each Payment.

GSTIN

GSTIN of the center where the payment was collected. This is configured under center settings.

Note

This column is only displayed if the Level of detail filter is selected as Item for each Payment.

Bundle name

Name of the bundle that has a collection of products and services. If you do not see this column, please contact your Zenoti Customer Success Manager.

PAN provided?

Indicates whether the guest has submitted their Permanent Account Number (PAN) details.

Gender

Gender identity of the guest.

Nationality

Guest's country of citizenship.
