Update center's operating hours or center timings and holidays
You must clearly define your business hours or center timings to streamline the entire booking process. That is, once you define your operating hours, Zenoti makes booking slots available between those hours. For example, if you set your center’s working hours or trading hours as 8 AM to 7 PM, guests can book appointments only during that time.
You must also define:
Booking hours for online bookings
Different working hours on special days
Holidays
Off-peak and Peak hours
Edit or define your center's operational hours and holidays:
At the center level, click the Configuration icon.
Search for and selectBusiness Hours from the Business details section.
Define your center's operating hours (Start Time and End Time).
Example: You may define your center's working hours as 8.00 to 18:00. This means, your center is operational from 8 A.M. to 6 P.M.
By default, Zenoti opens the Appointment Book one hour prior to Start Time and extends it one hour after End Time.
Impacts and considerations: Therefore, if you define your working hours as 8 A.M. to 6 P.M., the Appointment Book calendar opens from 7 A.M. to 7 P.M. so that the front desk can track any preparation time that providers need to get ready for the day.
The front desk can accommodate bookings during the Start and End Time you specify (8 A.M. to 6 P.M.).
Define your center's Booking Start and Booking End time to specify the booking slots you want to make available for online bookings (requests for appointments that come in from the Webstore and the Zenoti Mobile App).
Example: You may want to entertain bookings from the Webstore and Zenoti Mobile App only for a few hours in the post-lunch session. In such a case, you may set up your Booking Start and End time as 13:00 to 16:00 (1 P.M. to 4 P.M.).
Impacts and considerations: As a result, when guests try for appointment slots online (from Webstore or from the Zenoti Mobile App) they can view slots only between 1 P.M. and 4 P.M.
Define your center's off-peak hours (these hours fall within your operating hours) using the Start Off-Peak and End Off-Peak options.
You can use off-peak hours to define service discounts for Memberships.
Example: Award 10% off on service during peak hours and 20% off during off-peak hours.
Declare recurring days as holidays.
To mark a day of the week as a center holiday, select the Closed checkbox.
Impacts and considerations: If the guest navigates to this date, it will be unavailable for booking in the calendar view for all weeks. A message will appear to guests that the center is closed on this day.
Select the starting day of your week.
The starting day of the week may vary depending on the region where you run your business. For instance, in the Middle East region, the week starts on a Sunday
Define exceptions to your regular working days.
For special occasions such as festivals (Christmas, Xmas, Thanksgiving) or during the holiday season (New Year), you may want to restrict or extend the regular working hours or trading hours for your center. Similarly, you may want to restrict your working hours because of weather conditions.
To do so on specific dates, you can set up exceptions to your scheduled working hours.
For example, your center may usually be open from 8 AM to 8 PM every day of the week, but because of a holiday, you may configure the center hours for this day to be 10 AM to 4 PM as an exception.
Impacts and considerations: Exception hours you schedule apply to bookings on Zenoti Web, Webstore, Kiosk, and CMA.
Just like you set up employee schedules for regular working days, you can set up employee schedules for such exception dates based on extended or restricted working hours.
Best practice and impacts and considerations: As far as possible, set up exception hours well in advance of the actual date. This will help you keep employee schedules in check too. If there are appointments scheduled after the exception hours, the front desk staff must move such appointments to another day based on the guest’s convenience.
In the Define Your Holidays section, select a Date and specify the reason the center is closed on that date. For example, 14 April, Good Friday.
Impacts and considerations: If the front desk navigates to this date on the Appointment Book, Zenoti displays an alert telling them that the given date is a holiday on account of Good Friday.
Click Save.
Result: The Appointment Book, Webstore, and Zenoti mobile app reflect the working hours, booking time for online bookings, off-peak hours, and holidays.
