Record Petty Cash Transactions

Permission required: To record a petty cash transaction, you must have the Petty Cash - View permission enabled for your role at the organization level. For more information, refer to security permissions in Zenoti.

Petty cash refers to small cash transactions for operational expenses or logistics at any business center. Zenoti allows you to record the following petty cash transactions:

  • Expense: Records a petty cash expense transaction

    Example: Cash spent for a staff lunch

  • Receipt: Records any money added to your petty cash register

    Example: Any business cash transferred to the petty cash register

Prerequisite: You must create petty cash categories to record transactions of petty cash against those categories.

Record a Petty Cash Transaction

  1. On redesigned Appointment Book, click More from the right pane.

  2. Select the Petty Cash option from the list.

  3. Enter details of the petty cash to save the transaction.

    • Entry Type 

      Select the type of petty cash transaction from the two available options.

      • Expenses: Select this option to record a petty cash expense transaction

      • Receipts: Select this option to record any money that is added to your petty cash register

    • Source 

      These options are available when you select the Entry Type as Expenses. You can use this option to specify the source of money for petty cash. Select one of the following options:

      • Business Cash: Upon selecting this option, front desk employees can directly initiate a petty cash entry without the prerequisite of creating a positive petty cash balance through the Receipt workflow.

        The system will generate both a receipt and an editable expense transaction for the same amount in a single step, eliminating the need for separate action. Any edits made to the expense transaction will be reflected in the receipt transaction.

        This option is only available if the Enable petty cash expenses without creating a petty cash balance setting is enabled.

      • Other: Select this option if you are adding funds from any other source (other than business cash).

        Example: If you or any of your co-workers spend your personal money, you can select this option.

      • Petty cash balance: Select this option to deduct the expenses directly from the petty cash balance.

    • Category 

      Select an appropriate category from the list to record petty cash expense or the addition of funds (receipts) against that category.

    • Description 

      Enter a short description of the expense or receipt.

      Example: Payment for coffee supplies

    • Amount 

      Enter the amount for the cash value as an expense or receipt.

  4. Click Add.

  5. Click Save.

Impacts and considerations 

  • Zenoti adds the petty cash expense or receipt and updates the current balance next to the Amount field.

  • You can only add petty cash transactions for the current day, the option to save petty cash is disabled for past dates,
