Set up waitlist alerts for appointments

Waitlist alerts allow the front-desk staff to stay informed of an appointment status in case it is canceled, a guest does not show up, the appointment is deleted, or when any change is made to the appointment in the waitlist.

Required roles: Any role with access to the Administrator mode.

Required permissions: None

Configure waitlist alerts for the organization

At the organization level, click the Configurations icon.
Search for and select Show waitlist alert.
Choose when your front-desk staff should get waitlist alerts:
- Only when appointment is cancelled, deleted or no show
- When any change made to appointment in waitlist
Click Save.

At the center level, click the Configurations icon.
Search for and select Show waitlist alerts.
Choose when your front-desk staff should get waitlist alerts:
- Use organization default settings
- Only when appointment is cancelled, deleted or no show
- When any change made to appointment in waitlist
Click Save.

Alerts for appointment color changing to red

Ensure front desk staff are promptly notified of pending actions with Zenoti's alert system, which dynamically changes appointment colors to red. Note that these alerts are for employees or front desk staff only.

Make service custom data fields mandatory for operations

Custom data fields for appointments ensure operational efficiency and enhance guest satisfaction. Requiring guests to fill out essential information such as consent forms before check-in supports a standardized process that promotes compliance. This feature allows receptionists to monitor and ensure all necessary guest forms are completed, optimizing service delivery and ensuring a seamless experience for guests and staff.

Make service custom data fields mandatory to start an appointment for the organization

At the organization level, click the Configurations icon.
Search for and select Make it mandatory to enter service custom data fields before starting the appointment option from the Employee Alerts settings.
The Employee Alerts settings are placed in the Appointments configurations.
Enable this setting.
The front desk staff will get an alert on their screen that mandatory service custom fields are not entered while starting an appointment.
Click Save.

The Employee Alerts settings are placed in the Appointments configurations.
Select the required option
- Enable
  The front desk staff will get an alert on their screen when mandatory service custom fields are not entered while starting an appointment.
- Disable
  There is no alert for the staff for required custom fields for starting the appointment.
- Use organization default settings
  This will replicate the default setting for your business. The business owner or administrator can enable or disable the Make it mandatory to enter service custom data fields before starting the appointment setting at the organization level.
Click Save.

Alerts for register closure with open invoices

In Zenoti, you can specify actions or alerts when the front desk staff attempts to close the register with open invoices. You can set alerts for the staff, allowing them to proceed with closing the register after being notified of the open invoices. Alternatively, you can block the register closure entirely until all specified invoices are resolved. These settings help maintain financial accuracy and prevent incomplete transactions at the end of the day.

Alert the front-desk staff while closing the register with open invoices

At the center level, click the Configurations icon.
Search for and select Define what should happen when front-desk staff tries to close the register if invoices are open option from the Employee Alerts settings.
The Employee Alerts settings are placed in the Appointments configurations.
Select the Alert the front-desk staff option.
The Alert the front-desk staff option alerts the front-desk staff about open invoices with an onscreen notification. Employees or stylists can view the alert but still proceed to close the register.
To display the alert for selected types of invoices, select the required checkboxes from the list.
The types of invoices that can trigger an alert include services, products, scheduled packages with no payments, packages with no scheduled payments, memberships, gift and prepaid cards, recurring payments, future sales, and classes.
Optional actions
- To include invoices for no-show services, enable the Include no-show invoices option after selecting the Services checkbox. You can disable this option to exclude no-show invoices.
- To include invoices for canceled services, enable the Include cancelled invoices option after selecting the Services checkbox. You can disable this option to exclude canceled invoices.
Click Save.

Block the front-desk staff from closing the register with open invoices

At the center level, click the Configurations icon.
Search for and select Define what should happen when front-desk staff tries to close the register if invoices are open option from the Employee Alerts settings.
The Employee Alerts settings are placed in the Appointments configurations.
Select the Block the front-desk staff from closing the register option.
The Block the front-desk staff from closing the register option ensures that front-desk staff settles all open invoices before closing the register for the day. The register closure is blocked till all open invoices are closed.
To block the register closure for selected types of invoices, select the required checkboxes from the list.
The types of invoices that block the register closure include services, products, scheduled packages with no payments, packages with no scheduled payments, memberships, gift and prepaid cards, recurring payments, future sales, and classes.

- To include invoices for no-show services, enable the Include no-show invoices option after selecting the Services checkbox. You can disable this option to exclude no-show invoices.
- To include invoices for canceled services, enable the Include cancelled invoices option after selecting the Services checkbox. You can disable this option to exclude canceled invoices.
Click Save.
