Click the Zeenie icon in the top-right corner, or just press Z on your keyboard to open it instantly.

You can use @ to instantly activate any Zeenie skill or search through master categories on Zenoti.

Enable capabilities for your team

Configure role permissions to ensure staff can fully utilize Zeenie’s features:

  1. At the organizational level, click Configuration.

  2. Search for Security Roles.

  3. Select a role and open the Permissions tab.

  4. Enable relevant permissions under the Zeenie subsection, such as:

    • Answer from help and custom docs

    • Manage custom documents

    • Settings assistance

    • Manage front desk

Customize Zeenie to match your business

Zeenie supports organization-level customizations that shape how it responds. You're essentially training it to represent your brand. Define your tone, style, language, and rules so Zeenie answers just like you would. Thoughtful setup helps ensure Zeenie communicates in a way that truly reflects your business.

Note: This feature helps set clear operational guidelines but may not support all instruction types. Since it relies on AI interpretation, some instructions might not be applied exactly as intended.

The following limitations currently apply:

  • Zeenie cannot ignore content from specific Zenoti modules, even if you ask it to. For example, it won't follow instructions like "Don’t include answers from the Membership module."

  • Zeenie’s responses cannot be customized based on user roles.

  • Zeenie cannot limit itself to certain Help articles only. Example: It cannot ignore org settings and only suggest center settings.

How to customize Zeenie

  1. Go to Customize Zeenie from the menu. 

    Note

    This option is visible only to people with the role permission to Manage Custom Docs.

  2. Enter your guidelines—tone, phrasing, policies, and more. 

  3. Save and update anytime.

  4. Only one active version is used at a time.

Zeenie uses your instructions automatically to shape every response. It can even show how your instructions were applied, step by step.

Sample instructions to customize Zeenie for your organization

  • Preferred filters

    • Do not include expired memberships when showing guest membership details.  

    • Always exclude tax when showing sales amount. 

  • Business policies and legal disclaimers 

    • Do not answer from help documents.

    • When discussing refunds, always add: ‘Refunds will be processed within 7 business days’.

    • For cancellations, include: ‘Cancellations made less than 24 hours in advance are non-refundable’

  • Preferred terminology

    • Refer to customers as ‘Clients’ instead of ‘Guests’.

    • Use the term ‘Service Providers’ instead of ‘Therapists’.

    • When I say ‘Members’, I mean ‘guests with active memberships’.

    • When I say ‘GSA’, I mean ‘front desk employee’. 

  • Custom formulas for insights

    • Calculate ‘Utilization’ as: Serviced Hours ÷ Scheduled Hours

  • Default filters and timeframes

    • Default to current week’s data if no timeframe is mentioned in the user query for insights.

    • Use center-level filters by default if multiple locations exist.

  • Labels for key metrics

    • Refer to ‘Sales Revenue’ as ‘Total Earnings’.

    • Show ‘Utilization Rate’ as ‘Staff Productivity’.

  • Escalation rules for sensitive topics

    • If asked about a refund, respond with: ‘Please check with your manager for refund information’.

    • For salary or payout queries, reply: ‘Only admins can access this information’  .

  • Voice and tone

    • Use a friendly and conversational tone in all responses.

    • Maintain a formal tone when responding to revenue or financial data queries.

    • Use a professional and empathetic tone when discussing cancellations or complaints.

  • Response style

    • Keep responses short and concise, unless the user asks for more details.

    • Provide detailed explanations when asked about insights.

    • Use this template format while giving a response to summarize guest:

      • General

      • Personal Information

      • Upcoming appointments

      • Active Memberships

Zeenie improves daily through user feedback. Use the thumbs-up or thumbs-down options after interactions, or share suggestions via the Feedback option in Zeenie’s main menu.
