Near Expiry Report for Batch-Tracked Inventory

This article explains how to use the Near Expiry Report to identify and manage batch-tracked products that are approaching their expiry dates. This article covers how to access, filter, and act on the data to reduce wastage, optimize product usage, and ensure compliance, especially for high-value consumables like injectables, skincare, or medications.
Overview
With the introduction of Batch and Expiry Management, Zenoti enhances inventory visibility by allowing businesses to track which products are nearing expiry and take immediate action. The Near expiry report helps inventory managers:
Quickly identify products with upcoming expirations.
Plan product usage more efficiently to reduce write-offs.
Ensure expired items are not used or transferred.
Raise a purchase order or transfer order directly from the report.
Use case
A medspa manager notices a batch of injectables nearing expiry in 25 days. Using the Near expiry report, they quickly transfer the stock to a busier center using Raise TO, ensuring it’s used in time. For another low-stock item, they create a Purchase Order using Raise PO, reducing waste and avoiding service disruption.
Prerequisites
Batch tracking must be enabled for the product. Refer the Batch and Expiry Management in Inventory article for more information.
Access the Near Expiry report
Click the Reports icon at the organization or center level.
On the Reports page, search for and select Near Expiry.
The Near expiry report screen appears.
Use the Raise PO (Purchase Order) or Raise TO (Transfer Order) options directly from the report.
Use the filters at the top of the report to narrow down results:

Category / Sub Category | Filter by product classification |
Brand | View products from a specific brand |
Product Type | Choose Retail, Consumable or All |
Batches | Select a specific batch number after choosing a product |
Expiry Bucket | Choose products expiring in 30, 60, 90 days, 6 months, 1 year, or already expired |
Search | Enter product name, code, or barcode. |
Use the Save View button to save frequently used filter combinations.
Column description

Center Name | Name of the center | Shows the name of the center where the expiring product is currently stocked |
Center Code | Location of the transaction | Displays the unique code representing the center where the product batch is located |
Product Name | Name of the product | Shows the name of the product from the batch approaching expiry |
Product Code | Unique identifier for the product | Displays the unique code assigned to the product for tracking purposes |
Product Type | Retail or Consumable | Defines whether the product is sold to customers (retail) or used during services (consumable) |
Batch # | Unique batch identifier | Displays the unique batch number linked to the expiring product |
On-Hand Quantity | Quantity currently available for the batch | Shows the number of product units available in the selected batch |
Brand | The associated product brand | Indicates the brand associated with the expiring product batch |
Expiry Date | The product's expiry date | Shows the last valid usage date for the product batch |
Days Until Expiry | Countdown in days to expiry | Displays the number of days left until the product batch reaches expiry |
