Enable termination options based on the billing cycle

Termination timing can be aligned with a member's billing schedule to help avoid unnecessary charges and improve transparency during cancellation. This setting allows staff to choose a termination date based on how close the member is to their next billing cycle. It is especially useful for recurring memberships where the timing of termination directly impacts the billing outcome.

Required roles: Any role with access to Administrator Mode

  1. At the organization level, click the Configurations icon.

  2. Search for and select the Enable termination options based on the billing cycle setting for Membership Cancellation Rules in the Memberships section.

  3. Enable this setting.

  4. Click Save.

    To avoid sharing any options for billing cycles, disable this setting by turning off the Enable termination options based on the billing cycle toggle.

Impacts and considerations

  • When cancellation is initiated, the system checks the member's next scheduled billing date. Based on this duration, it dynamically offers termination options such as:

    • Ending the membership before the upcoming charge date.

    • Applying any offset logic configured elsewhere.

    • Maintaining a fair cancellation experience by preventing mid-cycle charge conflicts.

  • The Enable termination options based on the billing cycle setting works best in combination with termination offset and cancellation fee configurations. It helps in preventing unintentional charges when cancellations happen close to billing cycles.
