Streamline medical administration using Waiting Room on Zenoti Mobile

Businesses in the medspa industry who employ remote licensed doctors for online consultations can use the waiting room feature to connect remote doctors with their patients for medical treatments. The waiting room serves as a virtual queue where the patients wait for their consultation with the doctor.
Here is a step-by-step guide for the virtual doctor and nurse and how a patient goes through the waiting room process.
Before you start using the waiting room, make sure you set up all the required configurations.
Step 1: Nurse consults the patient and fills out medical information
After consulting the patient, the nurse launches Zenoti Mobile on iPad and navigates to the patient's appointment details.
The nurse accesses the form where the medical information needs to be documented and fills out all the relevant medical information accurately, including dosage, instructions, and other details.
Step 2: Nurse places the patient in the waiting room for doctor consultation
After completing the form, if the patient decides to see the doctor, the nurse adds the patient to the waiting room.
Patients added to the waiting room across the centers show up in a queue format from which the doctor can review and accept patients.
By default, the appointments are grouped by the status and appear in the following order:
Accepted
Waiting
Closed
Within each group, the most recent appointment appears at the top.
Note
In case the doctor leaves for lunch or is facing a technical issue, like loss of connectivity, the nurse can remove the patient from the waiting room.
When the nurse is online, and the doctor accepts an appointment from the waiting room, the nurse receives a notification with an audio alert.
Step 3: Doctor accepts a patient
The doctor opens Zenoti Mobile and accesses doctor's special waiting room view.
The doctor reviews the patients in the waiting room and selects the patient to attend. The doctor can only accept one patient at one time.
Tip
Doctors can also personalize their view by selecting the appropriate filters. To accept patients for consultations, they can continue with the default view. But if they wish to view the list of patients already consulted in the day, they can filter by Closed.
For the selected patient, the doctor taps Accept. After accepted, all the patient's details, including the filled-out forms, become accessible. A Zoom icon appears on both the doctor's and nurse's waiting room views and the doctor's details (name, email and phone number) become visible to the nurse.
Note
If the doctor leaves for lunch or is facing some technical difficulties, the doctor can change the patient status from Accepted to Available. After they are back, they can accept the patient back in the waiting room for consultation.
When the doctor is online and a new appointment is added to the waiting room, the doctor receives a notification with an audio alert.
Step 4: Doctor initiates a video call
The doctor uses the provided Zoom link to start a video call with the patient and the nurse. During the video call, the doctor can open the patient's forms to review the provided medical information.
Step 5: Doctor ends the call and nurse proceeds with the treatment
To conclude the call, the doctor taps Close.
After the call ends, the nurse proceeds to administer the prescribed treatment to the patient.
