Book appointment using Booking Wizard

These steps can be performed by guests booking their appointments or by front-desk staff booking on their behalf.

  1. Click the Booking Wizard icon or in the Queue View, click Add to queue or Walk-in.

  2. From the No. of Guests list, select the number of guests.

  3. To select an existing guest, search by the guest's name, mobile number, email, or code.

    After searching for the guest, icons indicating gender, whether the guest is from another center, and their membership status (Active, Suspended, Expired, or Frozen) will be displayed.

    To add a new guest, click the drop-down arrow, and then click + New Guest.

  4. Search and select a service or a day package.

    Note

    Booking Wizard alerts you if there is a prerequisite service attached to this service. In such cases, you must first book the prerequisite to proceed.

  5. To include the associated add-ons with the service or day package, click +Add on.

    If the service you choose includes finishing services, you can pick from the available choices.

    The front-desk staff can modify the finishing services when editing appointment details. If they delete the finishing service, it's removed from the main service. However, if they delete the main service, both the main service and its linked finishing service are deleted.

    If a finishing service is linked to different main services, guests can choose it for each service separately and delete it later.

  6. Specify the Provider.

    To display all unscheduled therapists, select the Show all unscheduled therapists checkbox. This checkbox is only available when the Show unscheduled therapists for the day in booking wizard setting is enabled.

    Both scheduled and unscheduled therapists will be labeled accordingly.

    Selecting a provider for a service or day package will automatically set it as the default for other services and day packages.

    For instance, if you assign Provider 1 to Service 1, then Provider 1 will become the default provider for all the other services you add.

    Note

    The ability to assign the same service provider to multiple services is dependent on this setting. However, this functionality is not supported if parallel services are enabled for the organization. Ensure that parallel services are disabled to allow assignment of the same service provider across multiple services.

  7. Select a Room.

  8. To add more services or day packages, click + Service.

    To select a different provider for a newly added service select the desired provider from the drop-down list.

  9. Select from available time slots.

    Note

    You can filter out the double-booking slots and slots that are outside therapist hours and choose from the available time slots.

  10. Select the duration.

  11. Click Review and Book.

  12. Click Book.

Book appointments for a group of up to 6 guests
  1. Click the Booking Wizard icon or in the Queue View, click Add to queue or Walk-in.

  2. From the No. of Guests list, select the number of guests.

  3. Enter guest details for each guest.

  4. Select Service/Day Package, Provider, Room, Duration, and the time slot.

  5. Select from available time slots.

  6. Click Review and Book.

  7. Select a guest as host.

    Zenoti uses the host’s account/card details for ease of billing and payment.

  8. Click Book.

Book appointments for more than 6 guests

Zenoti Web considers a booking for up to 6 guests as a group booking. Any booking for more than 6 guests is considered a bulk booking

  1. Click the Booking Wizard icon or in the Queue View, click Add to queue or Walk-in.

  2. Select >6, and then enter the number of guests.

  3. Enter the name of the service or from the list of services, select a service.

    Based on your selection, the right panel of the wizard displays the available time slots.

    Note

    You can only select one service per bulk booking and the same service is applicable to all the guests that are part of the appointment. 

  4. Specify the guest count per available slots.

  5. Review your booking.

  6. Click Book

    A confirmation page appears. It shows the service name, date of booking, total duration of appointment, details of the booking host, and rows for other guests (temporarily named as Dummy Guests) along with their appointment start time.

  7. Replace Dummy Guests with actual details of the guests: their First and Last names, corresponding Email IDs, and Mobile numbers. Check if they are existing guests by clicking the link 'Existing?'.

  8. Click Save to save the guests information.

Book a parallel service in the appointment book

To book a parallel service in the redesigned appointment book, follow these steps:

  1. Click the Booking Wizard icon or in the Queue View, click Add to queue or Walk-in.

  2. From the No. of Guests list, select the number of guests.

  3. To select an existing guest, search by the guest's name, mobile number, email, or code. To add a new guest, click the drop-down arrow, and then click + New Guest.

  4. Search and select a service or a day package.

  5. Specify the Provider.

  6. Select a Room.

  7. To add more services or day packages, click + Service.

    To select a different provider for a newly added service select the desired provider from the drop-down list.

  8. If the set of services can be run simultaneously, the booking wizard prompts you to combine services that can be done at the same time.

  9. Click Combine services.

    If the services are combined into one, the entire booking must be made in a room associated with at least one of the services.

    Consider this example. Manicure as a standalone service is associated with Room 1 and the manicure+pedicure service is associated with Room 2 and Room 3 respectively. When a combined service for manicure and pedicure is scheduled, the combined service will be booked in a room associated with at least one of the services. Here, Room 2 and Room 3 are valid options because they are explicitly associated with the manicure-pedicure group service, while Room 1 is not suitable because it is only designated for manicures when it is performed as a standalone service.

  10. Select from available time slots.

  11. Click Review and Book.

  12. Click Book

Book appointments for a couple
  1. Click the Booking Wizard icon or in the Queue View, click Add to queue or Walk-in.

  2. From the No. of Guests list, select Couples.

  3. For each guest, enter the guest details.

  4. Search for and select services.

    Note

    Only those services that the administrator has set up as a Couples Service (at the organization level) appear here.

    The Booking Wizard enters the same service for both guests. The couple can book more than one service. For this, click the +Service icon.

  5. Select provider, room, and time slot as required.

  6. Click Review and Book.

  7. Select a guest as host.

    Zenoti uses the host’s account or card details for ease of billing and payment.

  8. Click Book.

Note

Instead of Book, you will see a Book and proceed to payment button, if the Enable booking and payment in Booking wizard setting is turned on. Clicking this button will redirect you to the POS, where you can complete the payment.

Other actions in Booking Wizard

If you want to configure different services of a single appointment with time gaps

  1. Click the Booking Wizard icon or in the Queue View, click Add to queue or Walk-in.

  2. Enable the Advanced mode.

  3. Enter Service/Day Package details and provider details.

  4. Select guest's preferred start time.

    Start and End time are automatically filled for the first service booked for a guest. To change the default start time, click x beside the time and select a time from the drop-down list as per guest’s preference.

    In case of multiple services in a single appointment, you can book the services with breaks. That is, from the second service onwards, you can specify the preferred start time from the drop-down list.

    Note

    Time shown in the drop-down list depends on the availability of slots of a provider.

    After you book the services for all the guests, the Booking Wizard shows the approximate total price of the appointment, inclusive of taxes.

    Note

    You cannot book for more than 6 guests using the advanced mode.

If you want to mark a visit as surprise visit

  1. Click the Booking Wizard icon or in the Queue View, click Add to queue or Walk-in.

  2. Select the Surprise Visit checkbox.

  3. If the surprise visit is hosted by a guest for a new guest, from the guests search bar, select New Guest to add new guest details.

  4. If an existing guest is hosting a new guest for a special occasion, then the hosting guests' details will show up on the appointment block, tool tip and appointment follow up screen.

If you want to modify the service duration

  1. For the service, click the pencil icon.

    Note

    If you do not see the pencil icon, either the Therapist field has 'Any' or you do not have permission. Reach out to your administrator.

  2. On the Duration adjustment window, do the following:

    • Edit the duration

    • Click Update.

    Note

    The guest-specific duration for the service and service provider gets updated in the current appointment and on guest's profile.

If you want to modify the service price

  1. Click the pencil icon.

  2. On the Price adjustment window, set the new price. 

  3. If you want to remember the set pricing for the guest and the service provider, click the Remember this as [guest's name] price checkbox and select the service provider's name.

  4. Click Update.

    Note

    The guest-specific pricing for the service and service provider gets updated in the current appointment and on the guest's profile.
