Manage physical gift cards

Zenoti empowers guests to seamlessly purchase and personalize physical gift cards for various occasions. These physical gift cards, whether intended for birthdays, weddings, Valentine’s Day, or Mother's Day, offer a versatile array of options—from choosing the card type to customizing its delivery and activation.

Zenoti auto-generates a number for Gift Card during the sale. However, front desk can change the auto-generated number. There is no specific recommendation on the numbering of the gift card format (random or sequential) but gift card number should be unique.

Zenoti has the capability to scan bar codes from a gift card. The bar code must be of 2D scannable format. The Barcodes can be of a maximum of 16 digits to be compatible with Zenoti.

To proceed with the feature, ensure that:

Purchase a Physical Gift Card

To purchase a physical gift card:

The guest must perform the following actions:

  1. Guest logs in to the Webstore with their username and password or selects the Continue as Guest option to buy the gift card.

  2. Guest clicks gift cards available on the top banner of the page.

  3. The guest selects the desired type of gift card from Amount, Service, and Package gift cards.

  4. Based on the requirement, from the SELECT GIFT CARD TYPE section the guest selects Physical gift cards option.

  5. In the Recieve Through section, the guest can choose the gift card to be shipped to self or others or pick up at the store.

    • Shipping- Select Shipping to send the gift card to self or others. Provide the required delivery details and address of the recipient.

    • Pickup- Select Pickup to collect the gift card at the center.

  6. In the Activation date section, the guest can choose to activate the gift card immediately or select a date in the future from which the card will be activated.

    • Immediately- Select Immediately to activate the gift card right away.

    • Select date- Select a date in the future from which the card will be activated.

  7. Enter a message for the recipient in the Message section.

  8. Click Preview and Buy, to preview the gift card.

    Review the summary and scroll down to the Make a Payment section.

  9. In the Make a Payment section, enter the card details and click Submit.

  10. One of the following takes place:

    If the guest has purchased the gift card for others, as a buyer, the guest receives an invoice and the recipient will receive the gift card in an email as an attachment.

    If the guest has purchased the gift card for themselves, as a buyer, they will receive both the invoice and gift card.

Impacts and considerations

The purchased physical gift card must be added to the guest profile from the Online gift card status report; otherwise, it will not appear on the profile at purchase.

To add the physical gift card to the guest profile: Navigate to Online gift card status report > Search for the gift card. Click Status column and select picked up status from the Delivery mode pop-up. Update the gift card number and then save it.

Employees can use this report to check the status of gift cards, track new physical gift cards for initialization, and prepare the physical gift cards for shipping and pick up. They can filter the report by Date, Center, and Delivery Mode (eGift, Pickup, or Shipping) of the gift card and search for specific gift cards by entering the name, email, or phone number of the purchaser.

Employees can access this report if the Online Gift Card Status report option is enabled at the Organization level for their role.

  1. Navigate to Reports.

  2. Search for and select the Online Gift Card Status report.

    The report opens in a new tab.

  3. To filter the report, select the required options from the drop-down list:

    • Dates: Select the period for which the report should be generated.

      You can select a preset date range, like 1 month, or 2 months, or select Custom to set a more specific date range.

      Upon selecting Custom, select a date range in the From and To calendars.

    • Centers: Select either all centers or a specific center.

    • Delivery Mode: Select the delivery mode for the gift card as eGift, Shipping, Pickup, or all.

      To find a particular gift card by name, email, or mobile number use the search box.

  4. Click Refresh.

    To export your report to Excel or CSV, click the Export icon.

    To send the gift card report immediately to the logged-in user, click the Email icon and select Email Now.

    To send the gift card report later to the logged-in user, click the Email icon and select the required options from the Scheduler section. Click Save Schedule.

  5. To add a column to the grid, click the Show/Hide Columns icon. Select Add Column and provide the required details.

    To hide a column from the grid, unselect the checkbox next to the field name and click Save.

  6. To save a view of the columns that you require, click Save View.

Description

Gift Card Name

Name of the gift card

Gift Card Price

The amount for which the gift card is sold.

Gift cards with tax inclusive or exclusive are displayed on this report.

Gift Card Value

The actual value of the gift card that can be redeemed. For example, the price of the gift card may be $100, but the actual value could be $98.

Gift Card Type

The types of gift cards available, include:

  • Service: This can be used to redeem services.

  • Package: This can be used to redeem packages.

  • Amount: A flat value that can be used to redeem services, products, or packages.

Gift Card Number

The unique number or redemption code associated with the eGift cards.

For physical gift cards purchased online, a temporary number is generated.

The employee can then edit this field from the report or the edit panel and enter the number that is on the physical card.

Delivery Mode

The method of delivery for the gift card, includes:

  • eGift

  • Pickup

  • Shipping

Status

The current delivery status of the gift card.

Employees can click the hyperlink under the Status column to edit the gift card details. The Edit Gift Card Status window is displayed where details such as the Activation Date, Delivery Status, Gift Card Number, and Address can be edited. Additionally, Message to Recipient (for physical gift cards) is provided for inclusion with the gift card to be shipped or picked up.

However, the gift card details cannot be edited once it is delivered.

Purchased By

The name of the purchaser.

Purchase Date

The date on which the gift card is purchased.

Recipient Name

The name of the person for whom the gift card is intended.

Activation Date

The date set for activation during purchase. For physical gift cards, activation occurs once the Gift Card Number is updated.

Physical gift cards will be activated only after the Gift Card Number is updated, even if the activation date is already set.

Message to Recipient

The guest-written messages are transcribed by the front desk staff and included with the gift cards during pick-up or shipping and are available in this column.

Resend Gift Card

This enables users to resend online gift cards to an additional email address upon request. The Send Email link within this column facilitates the process of delivering e-gift cards to the intended recipients.

Notes

The specific instructions provided by the guests to the transaction staff, such as skipping sender details for donation purposes. are available in this column.
