Manage block-out time

Guide to set specific time slots during which employees are unavailable for appointments, ensuring accurate scheduling and preventing overbooking.

Zenoti has six default block-out time types such as Break, Leaving early, Lunch, Meeting, Personal time, and Running late.

  1. At the organization level, click the Employee icon and navigate to Settings > Block Out Time Types.

  2. On the top-right corner, click Add.

    You can also search for an existing block-out time type and edit its details.

  3. Enter a code, name, and description.

    Since the block-out names are displayed on the Appointment Book, use short names so that the users can see the full name on display. For example, name a new Block Out Time Type as On-Site instead of On-Site with Customer as On-Site is shorter and easily visible on the Appointment Book.

  4. Click Save.

Perform these steps

Add block-out color and code

  1. After step 3, from Block Color, select a color.

  2. Specify the color of the text in which the name of the Block Out Time Type should appear using Block Text Color.

  3. Continue to step 4.

Take bookings during block-out time

  1. After step 3, select the Bookable checkbox.

  2. Click Save.

Enable block-out time

  1. At the organization level, click the Employee icon and navigate to Settings > Block Out Time Types.

  2. On the top-right corner, click Add.

  3. Enter a code, name, and description.

  4. Select the Active checkbox.

  5. Click Save.

Include block-out time in employee utilization

  1. At the organization level, click the Employee icon and navigate to Settings > Block Out Time Types.

  2. On the top-right corner, click Add.

    You can also search for an existing block-out time type and edit its details.

  3. Enter a code, name, and description.

    Since the block-out names are displayed on the Appointment Book, use short names so that the users can see the full name on display. For example, name a new Block Out Time Type as On-Site instead of On-Site with Customer as On-Site is shorter and easily visible on the Appointment Book.

  4. Select the Include this time in employee utilization checkbox.

  5. Click Save.

Restrict therapists from modifying employee blockouts or employee breaks

  1. At the organization level, click the Configurations icon.

  2. Search for and select Security Roles under the Security section.

  3. Select the Therapist role and go to the Permissions tab.

  4. Expand the Appointment book option and uncheck the box for Add for Employee Break permission.

  5. Click Save.
