Manage Prescriptions (v2)
This article explains how to enable and manage Prescriptions v2, covering medication setup, permissions, pharmacy management, and pick-up methods.
Note
To enable Prescriptions v2 for your organization, contact your Zenoti Customer Success Manager (CSM) or representative.
If your business went live on Zenoti on or after July 22, 2025, or if you had the Prescriptions feature enabled after this date, your business will have Prescriptions v2 turned on by default.
Overview
Prescriptions v2 in Zenoti offers an advanced and user-friendly way for medical and wellness businesses to prescribe medications with greater accuracy, efficiency, and compliance. It includes support for medication strengths, predefined directions for use, pharmacy associations, controlled substances, prescription expiry, and more.
Key terms
Medications: Individual prescription items that include name, strengths, directions, and other details.
Medication Sets: Predefined bundles of medications used for quick prescribing.
Pick-up Methods: The available shipping options for the prescription. For example, FedEx, UPS, Overnight shipping.
Pharmacies: Pharmacies where medications are sourced and filled.
Prerequisites
Enable prescriptions at the organization level
At the organization level, click the Configuration icon.
Search for and select Enable prescription from the Business details section.
Enable the setting.
Click Save.
Enable prescriptions at the center level
Note
You can see this setting at the center level only if the Enable prescription setting is enabled at the organization level.
At the center level, click the Configuration icon.
Search for and select Enable prescription from the Prescriptions section.
Enable the setting.
Click Save.
Role permissions to manage medications
At the organization level, click the Configuration icon.
Search for and select Security roles from under Security.
Select a role and click the Permissions tab.
Expand the Administrator section, and for Medications, select the Add, Edit, and Delete checkboxes, as required.
Add: Users with this permission can create medications.
Edit: Users with this permission can edit medications.
Delete: Users with this permission can delete medications.
Click Save.
Role permissions to manage medication sets
At the organization level, click the Configuration icon.
Search for and select Security roles from under Security.
Select a role and click the Permissions tab.
Expand the Administrator section, and for Medication sets, select the Add, Edit, and Delete checkboxes, as required.
Add: Users with this permission can create medication sets.
Edit: Users with this permission can edit medication sets.
Delete: Users with this permission can delete medication sets.
Click Save.
Role permissions to manage prescriptions
At the organization level, click the Configuration icon.
Search for and select Security roles from under Security.
Select a role and click the Permissions tab.
Expand the Administrator section, and for Prescription V2, select the View, Add, Sign, and Sign with controlled substances checkboxes, as required.
View: Users with this permission can view prescriptions.
Add: Users with this permission can add prescriptions.
Sign: Users with this permission can sign prescriptions.
Sign with controlled substances: Users with this permission can sign prescriptions with controlled substances.
Click Save.
Add medications
At the organization or center level, go to Configuration > Prescriptions > Medications.
Click Add.
Enter general details such as Medication code, Name, and Description.
Enter the strength of the medication in the Medication strength field. For example, 0.25 mg.
Click Directions to add instructions on when and how the medication should be taken. You can add multiple directions for each strength.
You can click Add another strength to add more strengths for the medication.
Select other requirements for the medication as appropriate:
Contains controlled substance: The medication can be prescribed only by practitioners with the necessary license to prescribe controlled substances.
Requires overnight delivery: The medication is temperature-sensitive and requires overnight delivery.
Search and select the pharmacies you want to associate with the medication from the Pharmacy selection field.
Click Save.
Add medication sets
At the organization or center level, go to Configuration > Prescriptions > Medication sets.
Click Add.
Enter the required details in the General tab and click Next.
In the Items tab, search and select the pharmacies that you want to associate with the medication set from the Pharmacy selection field.
Select the medication from the Medication field.
(Optional) Select the strength of the medication.
(Optional) Select a direction or enter a custom direction.
Note
Custom directions entered here are not saved back to the medication record.
(Optional) Enter the quantity of the medication.
(Optional) Enter the number of days for which the medication is supplied.
Click Add.
Add all the medications, as required.
Click Save.
Note
If a medication in the set is not already linked to an associated pharmacy, it will be automatically linked when you save the set.
Add pharmacies
At the organization or center level, go to Configuration > Prescriptions > Pharmacies.
Click Add.
Enter the general details such as Pharmacy code, Name, and Description.
Select the Is active checkbox to make the pharmacy active for selection.
Click Save.
Add pick-up methods
At the organization level, go to Configuration > Prescriptions > Pick-up methods.
Click Add.
Enter the general details such as Code and Name.
Select the Is active checkbox to make the pick-up method active for selection.
Click Save.
Enable prescription expiry
At the organization level, go to Configuration > Prescriptions.
Switch on the Enable Prescription Expiry toggle to allow entering an expiry date when filling a prescription.
Click Save.
Enable prescription pick-up methods
At the organization level, go to Configuration > Prescriptions.
Switch on the Enable Prescription Pickup Method toggle to allow creating and adding pick-up methods to prescriptions.
Click Save.
Manage guest communication
At the organization level, go to Configuration > Prescriptions > Guest communication.
Switch on the Notify guest about prescription's next visit date toggle.
Enter the number of days from the next visit date when you want to send the notification.
Select whether you want to the send the notification before or after the specified number of days from the next visit date.
Click Save.
Note
Use the Prescription Next Visit template to customize the notification that is sent to guests for their next visit. To learn more, refer to the Configure email and text templates article.
Enforce next visit date in prescription
Enable this setting to make it mandatory to enter a next visit date when filling a prescription.
At the center level, go to Configuration > Prescriptions.
Switch on the Enforce next visit date in prescription toggle.
Click Save.
Enter licensing information for prescribers
Go to the prescriber’s employee profile.
Click Manage next to Licensing information.
Click Configure Credentials.
Enter the required license details.
Click Save License.
Note
Licenses are essential for prescribers to be able to prescribe controlled substances. This license number appears in signed prescriptions.
Fill a prescription
Go to the Appointment Book.
Right-click the appointment block and click More.
Click Enter prescription data.
Note
Ensure that the date of birth of the patient is available in the patient profile before filling a prescription.
Select the date on which the patient should visit again for the next prescription, if applicable.
Enter any Diagnosis and Notes, if required.
In the Prescribe medication section, select the Pharmacy.
Select one of the following options to add items to the prescription:
Add medication set: Use the Medication set drop-down list to select one or more medication sets.
Add individual medications: Enter the required details of the medication.
Click Add.
In the Fulfillment details section, select one of the following fulfillment options:
Self pick-up
Ship to patient: Enter the required shipping details of the receiver and select the pick-up method.
Select the assignee from the Assign to drop-down list who will sign the prescription.
Note
Only employees with sign permission will appear in the Assign to drop-down list.
Click Save.
Sign a prescription
Go to the Appointment Book.
Click the Reports icon and select Prescription Signature Report.
Select the required filters and click Refresh.
Open the prescription.
Click Sign.
Click Sign Prescription.
You can also sign directly from the report using the Sign button next to a prescription.
