Update or edit an employee's check-in and checkout time
This article explains how to update or edit an employee’s check-in and check-out time from the Employee Check-In screen at the center level.
Overview
Admins or managers may need to update employee attendance details for various reasons—such as correcting errors or recording late/early entries. This feature ensures that employee working hours are accurately captured for payroll and utilization calculations.
Key terms
Expected Check-In: Time the employee was expected to check in based on their schedule. If not scheduled, this is taken as the scheduled check-in time.
Expected Check-Out: Time the employee was expected to check out based on their schedule. If not scheduled, this is taken as the scheduled check-out time.
Actual Check-In/Check-Out: The real time the employee logged their attendance.
Prerequisites
Calculate Employee Payroll Hours/Employee Utilization based on Scheduled and Actual Hours Combination must be enabled at the center level if you want expected times to factor into payroll calculations.
To edit an employee's check-in and check-out time:
At the center level, click the Employee icon.
Navigate to Employees > Employees > Check In.
Select the date from the calendar.
Hover over the time or comments fields to access the edit option.
Click the Edit icon to enter or edit Expected check-in, Expected check-out, Actual check-in, Actual check-out, and add Comments, if any.
Note
If the center level setting Calculate Employee Payroll Hours/Employee Utilization based on Scheduled and Actual Hours Combination is on, the Expected Check-In and Expected Check-Out times are considered to calculate employee payroll hours.
Expected check in is the time the employee was expected to check-in based on the employee schedule. For example, the employee was expected to check-in at 8 am. In cases where the employee is not scheduled, the system takes this time as the scheduled check in time.
Expected check out is the time the employee was expected to check out based on the employee’s schedule. For example, the employee was expected to check out at 4 pm. In cases where the employee is not scheduled, the system takes this time as the scheduled check out time.
