Refund membership if canceled within a set period

Offering a refund policy for membership cancellations helps build trust and improves customer satisfaction. Allowing members to request refunds within a specific time frame after purchase ensures a fair and transparent cancellation process. Members can cancel their memberships through the Webstore and receive refunds based on your business's rules.

Prerequisites: Ensure that membership cancellations are allowed from the Webstore.

  1. At the organization level, click the Configuration icon.

  2. Search for and select the Allow membership refund for cancellation within a specified time setting in the Memberships section.

  3. Enable this setting.

  4. Enter the desired number of days members can request a refund after purchasing a membership in the Number of days from the date of sale to allow refund window field.

For instance, entering "30" allows members to cancel their memberships and request refunds within 30 days of purchase.

  5. To allow a full refund, including all additional fees, enable the Refund other fees setting.

This ensures that all associated fees are reimbursed along with the base membership cost.

If you do not want to provide the full refund including additional fees, disable the Refund other fees setting.

  6. Click Save.

Note

If you do not see the Allow membership refund for cancellation within a specified time setting, reach out to your CSM or Zenoti representative to enable it for your business.

Impacts and considerations

  • When a guest cancels their membership through the Webstore, the refund amount is displayed based on the configured refund settings. The cancellation date is also shown for transparency.

  • Refunds are automatically credited to the member’s saved card or card on file. If no card information is available, members are prompted to contact the front-desk staff for assistance with their refund.
