Book an appointment in ZMA v2

Booking an appointment in ZMA v2 is designed to be intuitive and efficient, allowing front-desk operators to manage schedules seamlessly.

Book an appointment for a guest
  1. Tap Appointments and tap New Appointments.

  2. From the No. of Guests list, select the number of guests.

  3. To select an existing guest, search by the guest's name, mobile number, email, or code.

    To add a new guest, tap the drop-down arrow and tap + New Guest.

  4. Search and select a service.

    If required, tap the Notes icon to add a group note. You can edit this note on the group invoice and view it on the appointment book, context menu and appointment details screen.

    Note

    Booking Wizard alerts you if a prerequisite service is attached to this service. In such cases, you must first book the prerequisite to proceed.

  5. Specify the provider, room, time slot, and duration.

  6. Tap Review and Book.

  7. Tap Book.

Book a day package
  1. Tap Appointments and tap New Appointments.

  2. Select the number of guest from the No. of Guests list.

  3. To select an existing guest, search by the guest's name, mobile number, email, or code. To add a new guest, tap the drop-down arrow and tap + New Guest.

  4. Search and select a day package.

    You can also select add ons for services included in the day package.

    Note

    Booking Wizard alerts you if a prerequisite service is attached to this service. In such cases, you must first book the prerequisite to proceed.

  5. Specify the provider, room, time slot, and duration.

    • To add a new service or day package from an existing appointment:

      1. Tap +Service or +Day package, as required.

      2. Search for and select the desired service and time, and then confirm the appointment.

    • To select therapist type:

      1. Enter or select a guest and a service or day package; the Provider field shows Any by default.

      2. To change your selection, click the cross-mark (x) and select any one of the following based on your preference:

        • Any Female

        • Any Male

        • Other

        • <Names of specific providers>: Select the name of a provider or enter the name of the provider in this field.

    • To mark a provider as specific:

      • Select the Specific Request check box.

  6. Tap Review and Book.

    • To book a parallel service: If the set of services can be run simultaneously, the booking wizard prompts you to combine services that be done at the same time.

      1. Tap Combine Services.

      2. Continue to Reivew and Book.

  7. Tap Book.

Book appointments for more than 6 guests

  1. Tap Appointments and tap New Appointments.

  2. Select 6 from the No. of Guests list.

  3. Enter guest details for each guest.

  4. Select service or day package, provider, room, duration, and time slot.

    If required, tap the Notes icon to add a group note. You can edit this note on the group invoice and view it on the appointment book, context menu and appointment details screen.

  5. Tap Review and Book.

  6. Select a guest as the host.

    Zenoti uses the host’s account/card details for easy billing and payment.

  7. Tap Book.

Book services for a couple

  1. Tap Appointments and tap New Appointments.

  2. Select Couples from the No. of Guests list.

  3. For each guest, enter the guest details.

  4. Search for and select services.

    Note

    Only those services that the administrator has set up as a Couples Service (at the organization level) appear here.

    The Booking Wizard enters the same service for both guests. The couple can book more than one service. For this, click the +Service icon.

  5. Select provider, room, and time slot as required.

  6. Click Review and Book.

  7. Select a guest as the host.

    Zenoti uses the host’s account or card details for easy billing and payment.

  8. Click Book.

Configure different services for a single appointment with time gaps

  1. Tap Appointments and tap New Appointments.

  2. Enable the Advanced mode.

  3. Enter guest details.

  4. Enter service or day package details and provider details.

  5. Select guest's preferred start time.

    Start and end times are automatically filled for the first service booked for a guest. To change the default start time, click X beside the time and select a time from the drop-down list as per the guest’s preference.

    Important

    The time shown in the drop-down list depends on the availability of slots of a provider.

    Note

    In case of multiple services in a single appointment, you can book the services with breaks. From the second service, you can specify the preferred start time from the drop-down list.

After you book the services for all the guests, the Booking Wizard shows the approximate total price of the appointment, inclusive of taxes.

Note

You cannot book for more than six guests using the advanced mode.

Mark a visit as surprise visit

  1. Tap Appointments and tap New Appointments.

  2. Select the number of guest from the No. of Guests list.

  3. Select the Surprise Visit check box.

  4. Tap Select Host and enter the guest’s name of the host.

  5. Tap Select Guest and enter the guest's name.

  6. Tap + Add Service and select a service.

  7. Select a time slot.

  8. Tap Confirm Appointment.

    Note

    If an existing guest is hosting a new guest for a special occasion, then the host's details will appear when you search for the new guest.

Optimized booking experience

The appointment management has been made smoother to align ZMA closer to Zenoti Web. It simplifies scheduling and improves accuracy on iPads and tablets.

  • Persistent calendar view: The calendar remains visible throughout the booking process, allowing for seamless time slot selection.

  • Clearer scheduling indicators:

    • Highlight past time slots: Easily distinguish past slots to avoid scheduling errors.

    • Mark double-booking days: Quickly identify days with double bookings to manage appointments effectively.

  • Service prerequisites enforcement: Throws up an alert if a prerequisite service is required, ensuring the correct booking order is maintained. More information.

  • Optional guest details for group appointments: Streamline group scheduling by allowing optional input of guest details, making the process faster and more efficient.

  • Support for multiple service bookings: Book multiple services in a single workflow, enhancing efficiency and reducing the time required for scheduling. More information
