Actions on the visits page

This section highlights all the actions you can perform on the Visits page. You can get more details about class visits for your organization in the Class visits report.

View Member Profile

  • Members who have checked in are visible on the Visits page.

  • Click a member’s name from the Visits list to access their profile.

  • The profile displays key details such as membership status, check-in history, and contact information.

Search and add Members

  • Use the search bar to find existing members by name, mobile number, or email address. You can also include guests from different centers of your business by enabling the Search across centers checkbox.

  • You can also sort the members using the Membership Status and Check-in Notes filter.

  • Click Check In to add the guest for the visit.

View Notifications
  • Alerts for guests and members are displayed prominently on the Visits page. Common notifications include:

    • Membership Expired: Membership is no longer active.

    • Pending Payments: Member has unpaid invoices.

    • Guest Pass Expired: The issued guest pass is no longer valid.

    • Remote Guest: A member is visiting a center that isn’t their home center.

  • Notifications are color-coded for quick identification:

    • Green: Active memberships or no issues.

    • Yellow: Warnings, such as memberships expiring soon.

    • Red: Critical issues requiring action.

Create Appointments

  • Click the Booking Wizard icon to create a new appointment for the member.

  • The wizard allows you to link appointments with the guest profile seamlessly.

Invoice Actions

  • Manage open invoices directly from the Visits page by clicking the POS icon.

  • If there are no open invoices, clicking the POS icon opens a new invoice with the member's info already added.

Share guest pass

Front desk staff can share guest passes directly from the Visits page for both new and existing students or members. This feature enables students to invite friends or acquaintances who don’t hold a membership at your studio or gym to enjoy a one-day pass.

The member must have an active membership with guest passes enabled and sufficient credits to share the pass. Enable guest pass to allow members to invite guests to your studio.

The Share and check-in feature enables guests of students or new guests to start using the gym or studio without the need to scan a QR code or share the guest pass code they receive via email. This feature is very useful when a guest forgets to bring their mobile phone during a visit.

Share guest pass for an existing user

To share a guest pass with a current member or student:

  1. At the center level, click the Fitness icon and navigate to the Visits section.

  2. On the Visits page, search for the required student or member.

  3. Click the Guest pass icon.

  4. In the Share Guest Pass window, select the Existing User option.

  5. In the search bar, enter the member or student name.

    The contact details for the member are automatically updated on the Share Guest Pass window.

  6. To send the guest pass via email, click Share.

    To share the guest pass and check-in the guest simultaneously, click Share and Checkin.

Share guest pass for a new user

To issue a guest pass to someone who is not yet in your system:

  1. At the center level, click the Fitness icon and navigate to the Visits section.

  2. On the Visits page, select any check-in entry for a student or member.

  3. Click the Guest pass icon.

  4. In the Share Guest Pass window, select the New User option.

  5. Enter the guest’s details, such as their first name, last name, email, and contact number.

  6. Choose an option:

    • Share: Sends the guest pass to the new guest via email.

    • Share and Check-In: Instantly share the guest pass and check in the guest at the same time.

View guest pass history

  1. At the center level, click the Fitness icon and navigate to the Visits section.

  2. On the Visits page, search for the required student or member.

  3. To view the history of guest passes issued to the student, click the Guest pass history icon.

  4. The Shared Guest Pass History window displays information such as guest name, guest pass code, status, and option to check in the guest.

    The guest pass status can be Used, Active, or Expired.

  5. To check in the guest from the Shared Guest Pass History window, click the check-in icon.
