Set up block-out time

This article explains how to configure and enable block-out time types so employees can manage breaks, meetings, and other unavailable times. These block-outs help optimize the Appointment Book and improve scheduling accuracy.

Overview

Block-out time types in Zenoti let you define specific periods when employees are unavailable for appointments. Zenoti has six default block-out time types such as Break, Leaving early, Lunch, Meeting, Personal time, and Running late.

Key terms
  • Block-Out Time Type: A label applied to a time block when an employee is unavailable for appointments.

  • Utilization: The percentage of an employee's scheduled time spent delivering services.

Prerequisites
  • If you want block-out time to impact utilization, ensure that the setting Include this time in employee utilization is selected.

  • To allow bookings during blocked times, ensure that the setting Bookable is selected.

  1. At the organization level, click the Configurations icon.

  2. Search for and select the Block out time types setting from the Employee section.

  3. On the top-right corner, click Add.

    Note

You can also search for an existing block-out time type and edit its details.

  4. Enter a code, name, and description.

    Tip

Since the block-out names are displayed on the Appointment Book, use short names so that the users can see the full name on display. For example, name a new Block Out Time Type as On-Site instead of On-Site with Customer as On-Site is shorter and easily visible on the Appointment Book.

  5. Specify the color of the text in which the name of the Block Out Time Type should appear using Block Text Color.

  6. To take bookings during the block-out time, select the Bookable checkbox.

  7. Click Save.
