Migrate an employee from one leave policy to another
This article explains how to manually migrate an employee from one leave policy to another in Zenoti. It covers delinking the employee from the current policy, assigning them to a new policy, and updating leave balances to ensure continuity and accuracy.
Overview
Employees may need to move between leave policies due to changes in tenure, role, or business requirements. Currently, Zenoti does not automatically migrate employees between leave policies. Businesses must complete this process manually to ensure leave balances remain accurate.
Key points
Employees must be manually delinked from the existing policy before being assigned to a new one.
Existing leave balances should be noted before migration.
Leave balances under the new policy must be updated manually.
Automated policy assignment based on tenure is not yet available.
Prerequisites
Before migrating an employee, ensure that:
The target leave policy already exists at the organization level.
The policy is assigned to the relevant center.
You have the required permissions to manage leave policies and employee leave balances.
Migrate an employee to a new leave policy
Follow these steps to migrate an employee from one leave policy to another:
Delink the employee from the current policy
Open Policy A (the employee’s existing leave policy) and remove the employee from the list of active employees.
Note the existing leave balance
Record the employee’s current leave balance under Policy A for reference.
Open the new leave policy
Navigate to Policy B, the policy to which the employee needs to be migrated.
Assign the employee to the new policy
Click Active employees.
Select Add employees.
Choose the required employee and click Save.
Update leave balance under the new policy
Go to Team’s Leave Balance.
Apply the Policy B filter.
Locate the migrated employee and manually update the leave balance as required.
Note
Leave balances from the previous policy are not carried forward automatically when an employee is migrated.
Manual balance updates are required to reflect the correct entitlement under the new policy.
The rule engine for automated policy linkage based on tenure is coming soon.
