Create a target segment

Create a target segment using a template

You can create target segments based on goals.

  1. At the organization or center level, navigate to Marketing > Target segments.

  2. Click Add.

  3. On the Create a New Segment page, select the required goal and define the criteria.

    Note

    You can get the guest count for target segments created using goals in the Select recipients section at the campaign level.

  4. Click Create target segment.

Steps to define criteria

Encourage repeat services

  1. In step 4, go to the Recommended tab and select the Encourage repeat services goal.

  2. Search for and select the service or service category associated with the guest’s last appointment.

  3. Select the duration.

  4. Continue to step 5.

Sell new service

  1. In step 4, go to the Active guests tab and select the Sell new service goal.

  2. Search for and select the service or service category.

  3. Continue to step 5.

Cross-sell services

  1. In step 4, go to the Active guests tab and select the Cross-sell services goal.

    You can select two services to filter guests based on usage.

  2. Search for and select a service or service category the customer has tried.

  3. Search for and select a service or service category the customer hasn't tried.

  4. Continue to step 5.

Improve negative experience

  1. In step 4, go to the Lapsed guests tab and select the Improve negative experience goal.

  2. Select the duration of the last visit.

  3. Continue to step 5.

Target on average spend

  1. In step 4, go to the High-value guests tab and select the Target on average spend goal.

  2. Enter the average spend amount per visit.

  3. Continue to step 5.

Target guests who stopped visiting

  1. In step 4, go to the Recommended tab and select the Target guests who stopped visiting goal.

  2. Enter the average spend amount per visit.

  3. Select the visit duration.

  4. Continue to step 5.

Entice high spender

  1. In step 4, go to the High-value guests tab and select the Entice high-spender goal.

  2. Enter the total spend amount.

  3. Select the duration of the last visit.

  4. Continue to step 5.

Membership expiry reminder

  1. In step 4, go to the Active guests tab and select the Membership expiry reminder goal.

  2. Select the duration remaining for membership to expire.

  3. Continue to step 5.

Membership renewal offer

  1. In step 4, go to the Active guests tab and select the Membership renewal offer goal.

  2. Select the duration since the membership has expired.

  3. Continue to step 5.

Retain new guests

  1. In step 4, go to the Recommended tab and select the Retain new guests goal.

  2. Select the duration of the last visit.

  3. Continue to step 5.

Target value-driven guests

  1. In step 4, go to the High-value guests tab select the Target value-driven guests goal.

  2. Enter the number of offers redeemed by the guest.

  3. Enter the minimum sale amount.

  4. Continue to step 5.

Create a custom target segment

  1. At the organization or center level, click the Marketing icon.

  2. Navigate to Segmentation > Target Segments.

  3. Click Add.

  4. On the Create a New Segment page, select the Create Custom Segment option and click Create.

  5. Enter a name and description for the custom target segment.

  6. Click Create.

  7. Add rules for the target segment by selecting a category and criteria.

  8. Click Add Rule.

    You can add multiple rules to the same segment by repeating steps 7 and 8.

  9. To get the exact number of guests filtered by the added rules, click Guest Count.

    For the applied rules, you can also view the breakup of the number of guests eligible for marketing emails and text messages.

  10. Click Save.

Impacts and considerations
  • Zenoti only supports the 'AND' functionality for target segments with multiple rules. The rules work in combination to filter guests who meet all the conditions.

    For example, you add two rules "Guests who live in Los Angeles" and "Guests who are less than 40 years old". The system first identifies the guests in your system who live in Los Angeles and then filters guests who are less than 40 to create a list.

  • If your organization has enabled the options, you can include guests based on visits or base center while creating a target segment.

  • The guest inclusion settings at the target segment level are enabled and managed at the organization level. If you cannot view these rules, contact your Admin for more information.

Additional rules to include guests in a target segment

Rule

Description

Only include guests who have purchased a membership at the targeted centers

Targeted centers are locations where a campaign is effective. This option includes the guests who have purchased a membership at the centers for a specific campaign.

The guests who have not purchased a membership in the selected centers are excluded from the segment.

Include all guests in the targeted centers

The segment includes all the guests from the target centers selected in a campaign. You can further filter guests based on center visits and base centers.

Include visited guests in the target segment

You can include guests who have availed service or purchased a retail product in the selected centers for a campaign.

Even though the guest profile is created in the organization database, the target segment checks whether the guest has purchased a product or service.

Include base center guests in target segments

A base center is a location where a guest profile is created. Select this option to include all the guests from their respective base centers.

If this option is not selected, guests from respective base centers are excluded from the campaign.

Visits criteria

Below is the description of all criteria and operators to build custom target segments based on customer visits.

Note

Target segments based on Visits take only service related visits into consideration. However, Total Visits considers any visit made by the customer.

Create the rule based on: Visits

Criteria: Appointment Count

Operators: Between; equal to; less than; less than or equal to; more than; not equal to

Number of Visits: Enter number of visits

Select Service provided by: Any Provider, Select a Provider, or Specifically Requested

Description: You can create a segment of users that have seen a specific provider a defined number of times. This enables you to target them with a communication or promotion to ensure your customers continue to remain loyal to your brand. For example, you can get the list of guests who specifically requested the provider Andrew Johnson for more than 5 times. You can send out a campaign to these guests to ensure they continue to visit your center.

Create the rule based on: Visits Center check-in

Criteria: Last Visit, Total Visits, Visits by time

Operators: Between; equal to; less than; less than or equal to; more than

Select duration: in Months, Weeks, or Days

Description: Targets customers who have visited a center and checked in between a specified duration.

Select Service: Any Service, Belongs to category/sub-category/specific service, With tag, With Business Unit

Description: Targets customers who have canceled an appointment or have not shown up for a service booking within the selected time frame.

Select an operator, enter a time period in terms of months, weeks, or days and select a specific service. For example, if you select equal to, enter 1 month as the time frame, and select Seaweed Facial service, Zenoti includes all the guests who have cancelled their appointments for Seaweed Facial in the last one month.

Create the rule based on: Visits

Criteria: Frequency

Operators: Between; equal to; less than; less than or equal to; more than; not equal to

Description: Targets customers based on the number of their visits in the selected time period.

Select an operator, and then enter a time period in terms of months, weeks, or days. For example, if you select between, enter 5 and 10 as the minimum and maximum values, and then select 1 month as the time period, the system includes all the guests who have visited 5 to 10 times in the last one year.

Criteria: Frequency by Service

Operators: Between; equal to; less than; less than or equal to; more than; not equal to

Description: Targets customers based on the average number of visits per month in a particular time period for a specific service, service category, or tagged services.

Select an operator, select a time period from the available options, and then type the name of a service, service category, or in the box that appears.

For example, if you select between, enter 1 and 2 as the minimum and maximum values, select 1 year as the time period, and type hair spa as the service, the system includes all the guests who have visited 1 or 2 times per month for hair spa in the last one year.

Select Service provided by: 'Any Therapist', 'Select Therapist', or 'Specifically Requested' therapist.

Description: Use this rule to get a guest list by their last visit to your center in a chosen time period and served by a specific provider.

For example, if you want to get the list of guests who have stopped visiting you since 6 months and were served by Harry Bright (no longer your employee), create the rule as follows: Select 'Last Visit' criteria, choose the 'more than' operator, enter duration 6 months, select the option 'Select Provider' and type in 'Harry E Bright' in the text field provided to enter the service provider's name.

Create the rule based on: Visits

Criteria: Last Visit by Service

Operators: Between; equal to; less than; less than or equal to; more than; not equal to

Description: Targets customers based on when they last visited for a particular service, service category, or tagged services.

Select an operator, select a time period, and then type the name of a service, service category, or tagged services in the box that appears.

For example, if you select between, enter 1 month and 2 months as the time period, and type hair spa as the service, the system includes all the guests who visited for hair spa between last 30 and 60 days.

Create the rule based on: Visits

Criteria: Next Visit

Operator: between; does not exist; equal to; less than;less than or equal to; more than; not equal to

Duration: in Months, Weeks, or Days

Service provided by: 'Any Therapist', 'Select Therapist', or 'Specifically Requested' therapist.

Description: Use this rule to get a guest list whose next visit to your center is in a given time period, to be attended by a provider.

Note

  • Filter center-level guests using the Filter guests at center level checkbox. This helps you create targeted campaigns. When this is selected, only guests who have a future visit in centers where a campaign is applied will receive marketing communication. This checkbox is available only for Next Visit and Next Visit By Service criteria.

  • To filter guests who have booked services that have add-on services but did include those add-on services, select the Service has add ons but no add ons are included in visit checkbox. This checkbox is available only for Next Visit.

If you want to create a rule based on guests’ next visit for a specific number of days, you must enter the required number of days plus 1. So,

  • When you select 1 Days, it means Today

  • When you select 2 Days, it means Tomorrow. See the example for further details.

Examples

Example 1: To get a list of guests who do not have an appointment tomorrow

Create and add a rule as follows:

  1. Select the Visits category.

  2. Select the Next Visit criteria.

  3. Select the Does not exist operator.

  4. Enter 2 in the box.

  5. Select Days as the duration.

  6. Select Any Therapist from the Service provided by list.

  7. Click Add Rule.

Example 2: To get a list of guests who selected 'Anne Knight' as their provider for their future appointments within 6 months from now

Create and add a rule as follows:

  1. Select Next Visit as the criteria.

  2. Select the less than operator.

  3. Enter duration as 6 months.

  4. Select the Specifically Requested from the Service provided by list.

  5. Enter 'Anne Knight' in the box.

  6. Click Add Rule.

Create the rule based on: Visits

Criteria: Next Visit by Service

Description: Targets customers based on when their next appointment is for a particular service, service category, or tagged services.

Example 1: To get a list of guests who do not have the Hair Treatment service tomorrow

Create and add a rule as follows:

  1. Select the Visits category.

  2. Select the Next Visit by Service criteria.

  3. Select the Does not exist operator.

  4. Enter 2 in the box.

  5. Select Days as the duration.

  6. Select Any Service from the service list.

  7. Click Add Rule.

Example 2: To get a list of guests who do not have the Hair Treatment service between next 30 days and 60 days

Create and add a rule as follows:

  1. Select the Visits category.

  2. Select the Next Visit by Service criteria.

  3. Select the between operator.

  4. Enter 1 Months and 2 Months as the duration - 30 days is a month and 60 days are 2 months.

  5. Select Belongs to category/subcategory/specific service from the service list.

  6. Enter Hair Treatment in the box.

  7. Click Add Rule.

Create the rule based on: Visits Criteria: No Show

Operators: Between; equal to; less than; less than or equal to; more than; not equal to

Description: Targets the no-show customers for a specific time period. Select an operator, and enter a time period in terms of months, weeks, or days. The system includes all the guests who did not turn up for their appointments in the selected time period.

Create the rule based on: Visits Criteria: Total Visits

Operators: Between; equal to; less than; less than or equal to; more than; not equal to

Description: Targets the customers based on their total number of visits for services or any other purpose. Select an operator, and enter the number of visits. The system includes all the guests who have made the number of visits you have specified. If you select not equal, the system includes all the guests who have made more than or less than the number you enter, and not the guests who made the exact number of visits specified by you.

Create the rule based on: Visits Criteria: Visit by Time

Operators: Between, equal to, less than, less than or equal to, more than, not equal to

Description: Targets the customers based on the number of their visits within a selected time period. Select an operator, select a time period from the list of options, and then enter a number in the box that appears. For example, if you select less than, select 6 months as the time period, and then enter 3 in the box, the system includes all the guests who have visited your store less than three times in the last six months.

Configure rules for custom target segments

Create effective target segments by adding rules for customizing categories and criteria. The rules can only be combined and not compared ('OR' functionality) as Zenoti only supports 'AND' functionality while creating rules for a target segment.

To add a rule, select category, criteria, and operators, and enter the required values as shown below.

Create the rule based on: Credit Card

Criteria: Expired

Operators: Between; equal to; less than; more than

Select duration: in Years, Months, Weeks, or Days

Description: You can create a segment of users whose credit cards have expired within a certain timeframe. Select an operator, and enter a period in years, months, weeks, or days.

For example, if you set the operator to "less than" and the duration to "1 month", you can target users whose credit cards have expired in the last month.

Create the rule based on: Credit Card

Criteria: Will expire

Operators: Between; equal to; less than; more than

Description: You can create a segment of users whose credit cards are approaching expiry. Select an operator, and enter a period in years, months, weeks, or days.

For example, if you select the operator as "less than", and duration as "1 week" , a list of all guests whose credit cards will expire within 1 week from the current date is generated.

Create the rule based on: Demographic

Criteria: City

Operators: equal to; not equal to

Value: Enter a city name

Description: You can create a segment of users based on whether they reside in a specific city or not. Select an operator, and enter the name of the city.

For example, if you select 'equal to' and enter "New York" as the city, it will generate a list of all the guests from New York as per their records.

Create the rule based on: Demographic

Value: Enter a country name

Description: You can create a segment of users based on whether they belong to a specific country or not. Select an operator, and enter the name of the country.

For example, if you select 'not equal to' and enter 'United States' as the country, it will generate a list of all the guests who do not reside in the United States.

Create the rule based on: Demographic

Criteria: Birthday

Operator: between; between months; equal to; in month

Value: Select the month or enter the value

Description: Target guests based on their birthdays.

For example, if you select the operator as "equal to" and enter the value as 21 days from now, you will get a list of guests with birthdays in 21 days from the current date.

Create the rule based on: Demographic

Criteria: Creation Date

Operators: Between; equal to; less than; more than; not equal to

Select duration: in Years, Months, Weeks, or Days

Description: You can create a segment of users based on the date they were created or registered. Select an operator, and enter a period in years, months, weeks, or days.

For example, if you select the "between" operator and choose "6 months" as the duration, the rule will generate a list of all users who were created within the last 6 months.

Create the rule based on: Demographic

Criteria: Gender

Operators: All; male; female; not provided; others

Description: You can create a segment based on the gender identity of a guest. You can generate a list of guests who identify as male, female, non-binary, or other gender identities.

For example, to target guests who haven't specified their gender you can select the "not provided" operator.

You can get a list of subscribers or non-subscribers for marketing emails and texts, by using the "All"operator. Export guest details and filter them based on the ReceiveMarketingEmail or ReceiveMarketingSMS columns to generate a list of subscribers.

Create the rule based on: Demographic

Criteria: Referral Source

Operators: is; is not

Source: Friend; social; internet; others

Description: You can create a segment based on how the guests were referred, including sources such as friends, social media, the internet, or other channels. Select an operator and the source.

For example, if you select 'is not' and the referral source as "Internet", Zenoti will exclude guests who were not referred via the Internet and provide a list of users referred through other channels.

Create the rule based on: Demographic

Criteria: Guest mobile number

Operators: is; is not

Value: Missing

Description: Target guests with no contact information.

For example, if you select the "is" operator and the value as " Missing", you will get a list of all guest profiles with no contact number. These profiles only contain names and no additional data.

Create the rule based on: Employee

Criteria: Tag Marked

Operators: in

Value: Specify the tag associated with the employee.

Description: Target employees based on the tag assigned to them.

For example, if you give the value as 'celebrity stylist' and specify the number of days as 60, you can target employees based on the 'celebrity stylist' tag applied to them 2 months ago.

Create the rule based on: Instructor

Criteria: Instructor or service provider's name

Operators: more than

Value: Enter the value in a number. For this instance '0'.

Description: Use this rule to target guests who were serviced by this specific service provider or instructor.

Create the rule based on: Feedback

Criteria: Average Rating

Operators: between; equal to; less than; more than

Value: Enter the value in a number

Description: Use this rule to target guests based on their average feedback rating.

For example, if you select 'between' and provide the values 4 and 5, a list of guests consistently providing high ratings is generated.

Create the rule based on: Feedback

Criteria: Last appointment feedback

Operators: Provided rating; Not provided rating

Description: Target guests based on the feedback provided by them after the last appointment.

For example, if you select 'not provided rating', a list of guests who have not given feedback for their last service is generated.

Criteria: Average rating by time

Operators: between; equal to; less than; more than

Value: Enter the value for the rating

Select duration: in terms of years, months, weeks, or days.

Description: Target guests based on feedback trends focusing on average ratings within specific timeframes.

For example, if you select 'less than' and give the value as '3' in the last 1 month, you can identify the guests with an average rating of less than 3 over the past 1 month.

Create the rule based on: Form- Guest fields

Criteria: Medical condition

Operators: is

Value: Select or enter the value as required.

Description: Use this rule to target guests based on specific medical conditions they have disclosed in their guest form.

For example, if you select "Are you Claustrophobic (to steam)?" as the criteria and give "Yes" as the value, you can generate a list of guests who have indicated that they are claustrophobic to steam. This ensures that during facial services, extra care is taken to accommodate these guests and provide them with alternative treatments or adjust the steam settings to minimize discomfort.

Create the rule based on: Form- Service Expiration

Criteria: Expired

Operators: between; equal to; less than; more than

Select duration: in Years, Months, Weeks, or Days

Description: Target guests based on whether a service form has expired or not within a specified timeframe. Target guests whose service forms for any services expired in the last 6 months.

For example, if you select the criteria as "Expired", operator as "equal to", duration as "2 months ago", and select the value as "Any service", you can generate a list of all guests whose service form expired exactly 2 months ago for any service.

Create the rule based on: Form- Tag expiration

Criteria: Will expire

Operators: between; equal to; less than; more than

Select duration: in Years, Months, Weeks, or Days

Value: Enter the value for the tag

For example, if you select the criteria as "will expire", the operator as "less than", and duration as "1 month from now" and select the value for the tag as "Priority", you can generate a list of guests whose Tag form will expire in less than 1 months from the current date for the tag "Priority".

Create the rule based on: Gift Cards

Criteria: Purchased

Operators: between; equal to; less than; more than; for; custom date

Select duration: in Years, Months, Weeks, or Days

Occasion: Select the required gift card occasion

Description: Target guests based on their gift card purchases if they purchased a certain number of gift cards or those who have made purchases within a particular time frame.

For example, if you select 'equal to', the value as '6 months', and select the occasion as Mother's Day, you can generate a list of guests based on their gift card purchases for Mother's Day 6 months ago.

Create the rule based on: Gift Cards

Criteria: Never purchased

Operators: in

Occasion: Select the required gift card occasion or ‘All gift card occasions’.

Description: Target guests who have never purchased a specific or any gift card. For example, if you select 'in’ and select the occasion as ‘Friendship Day’, you can generate a list of guests who have never purchased a gift card associated with the occasion ‘Friendship Day’.

Criteria: Earned

Operators: between; equal to; less than; more than

Select duration: in Years, Months, Weeks, or Days

Value: Enter the value as required.

Description: Use this rule to target guests based on the loyalty points earned.

For example, if you select the operator as "equal to", duration as "5 months ago" and the value as less than 100, you can list out guests who earned less than 100 loyalty points precisely 5 months ago.

Description: Target guests who have frozen memberships in the specified period.

For example, if you set the operator as "equal to" and give the duration as "2 years ago", you will get a list of guests whose membership froze 2 years ago.

Description: Target guests who purchased a specific membership and it is in expired status.

For example, if you select the operator as "is", the "Platinum" membership, you will get a list of guests who purchased the platinum membership and the current membership status is expired.

Description: Target guests who purchased a specific membership within a specified period.

For example, if you select the operator as "more than", select the "Platinum" membership, and enter a duration of 4 "Months", you will get a list of guests who purchased the platinum membership more than 4 months ago.

Description: Use this rule to get a list of users who had memberships but are now inactive within a specified timeframe and create a target segment of guests without an active recurring membership.

For example, if you select the time window operator as "equal to" and enter the value as "3 years", you will get a list of guests with inactive recurring membership and any recurrence status exactly 3 years ago.

Membership type: Non-Recurring

Membership name: Select “All Non-Recurring Memberships” or any specific membership that you want to use to configure the rule.

Membership status: Expired

Time window operator: between; equal to; less than; more than

Description: Use this rule to get a list of users with expired non-recurring memberships within a specified timeframe and create a target segment of guests without an active non-recurring membership.

For example, if you select the time window operator as "more than" and enter the value as "2 years", you will get a list of guests with expired non-recurring membership more than 2 years ago.

Description: Use this rule to get a list of users who have memberships with available service credits.

Criteria: Total redemption value by time

Select duration: in Years, Months, Weeks, or Days

Description: Target guests based on the amount saved by redeeming offers within a specified period.

For example, if you select the operator as "between", the value as $300 and $500, and specify the duration as 1 year, you will get a list of guests who saved between 300$ and 500$ by redeeming offers in the last 12 months.

Criteria: Campaign engagement (Email)

Operator: is

Engagement status: Opened the email, Clicked inline links, Unopened email

Value: Select the campaign.

Description: Target guests based on their engagement with specific email campaigns.

For example, if you select the engagement status as "Unopened email" and choose the campaign "Spring Sale Promotion," this rule will identify guests who have not opened the email associated with the "Spring Sale Promotion" campaign.

Create the rule based on: Offers

Criteria: Campaign engagement (Text/SMS)

Operator: is

Engagement status: Delivered

Value: Select the campaign.

Description: Target guests who have received text messages about a campaign.

For example, if you select the engagement status as "Delivered" and choose the campaign "Spring Sale Promotion," this rule will identify the guests who received the Text/ SMS about the "Spring Sale Promotion" campaign.

Create the rule based on: Opportunity

Criteria: Call Disposition

Operator: is

Value: Select the result of the call interaction, such as whether it was answered, or resulted in a sale.

For example, if you set the operator to “in”, select the “Haircut & Shave – Gold Series” package, set the secondary operator to “less than”, and enter the number of benefits as “5”, you can target guests who have less than 5 remaining benefits in that package.

Description: Target users who purchased a specific product or product belonging to a category within a specified duration.

For example, if you select the operator as "equal to", duration as "4 months", select "In a category or a product", and provide the value as "Hair repair serum" you will get a list of guests who have purchased product or category: Hair repair serum in 4 months.
