Generate PIN for employee

This article explains how managers can generate or resend a PIN for individual employees after the PIN login feature is configured. If your organization or center has not enabled PIN login yet, click here to learn how to configure it.

Overview

Zenoti allows employees to sign in using a 4-digit PIN, simplifying the login process, especially at high-traffic centers. After your organization has enabled this feature, you can generate or resend PINs for employees as needed.

Key terms
  • PIN: A Personal Identification Number assigned to each employee for login.

  • PIN Login: A login method using a 4-digit PIN instead of a password.

  • Auto Logout Timer: A setting that automatically logs out users after a period of inactivity.

Prerequisites
  • Before proceeding, ensure that Employee PIN login is enabled at both the organization and center levels.

  • Ensure employees have valid email addresses associated with their profiles in Zenoti.

Enable employee PIN login at the center level
  1. At the center level, navigate to Configuration > Appointments > Center Setup.

  2. Turn on the Employee PIN login toggle.

  3. Select the Auto logout time from the dropdown (e.g., 5 minutes).

  4. Click Generate and Email PINS to send the new PINs to all employees in the center.

  5. A confirmation dialog will appear. Click OK to proceed and notify employees via email.

Generate and email PIN for an individual employee
  1. Go to Employee > Employees at the center level.

  2. Click the name of the employee.

  3. Scroll to the Login Info section.

  4. Click Generate and Email PIN.

    Note

If employees have trouble logging in, it is a best practice for them to check their email and use the PIN in the latest email to log back into Zenoti.

Alternatively, from the top-right menu click Edit Profile to open My Dashboard, then choose Generate and Email PIN. You can also set your own PIN by selecting Set PIN and confirming with your password.

Considerations
  • Employees must use the latest PIN email sent by the system.

  • PIN login must be enabled both at the organization and center levels for it to work.

  • The employee's profile must include a valid email address.

  • The employee's account status is active, with the start date set to the current or a past date. Inactive accounts cannot have PINs generated.
