Employee Attendance Details report

The Employee Attendance Details report helps you track the attendance details for an employee on a day-to-day basis such as the Expected Check-In and Expected Check Out time vs the Actual hours. This report also tracks the Scheduled Hours in the selected time period.

This report:

Shows data for either individual employees or all employees; you can further drill down the data to show employees of the current center, other centers, or all centers.

  1. Ensure that you are at the center level for which you want to run the report.

  2. On the main menu, click the Reports tab.

  3. On the Reports Dashboard, click Employee > Time (from the filter).

  4. From the reports list, select Attendance Details.

  5. Select the appropriate filter criteria and click Refresh to view the results.

  6. To export the report, click the Excel or .CSV icons.

    Best Practise: Always export the report to view all the columns of the report- the UI may show fewer columns.

Centers

All Centers Current Center Other Centers

You can specify if you want the report to display attendance details only from your Current Center, Other Centers, or All Centers. This is especially helpful if you send employees on deputation or on loan to other centers for a particular duration.

Select Employee

All Employees Names of individual employees

The employees you see depends on the filter you select in the Center filter. Select the name of the employee for whom you want to view the attendance details or select All Employees to view the attendance details of all the employees.

Time Period

Based on your requirement, from the drop-down list, select any of the options. You can also select Custom from the list and specify custom dates. :

Note

For custom dates, you can view data for a maximum date range of 6 months at a time.

Example: If you wish to see data from January to August, first view data from January to June and then view data from July to August.

Show Work Task Check-In Details

Select this checkbox if you want to see work task related details for employees.

Note

You can see this filter only if the relevant organization-level settings for employee work tasks are on

Administrators define work tasks such as Trainer, Mentor, or Event Host for tasks that employees undertake beyond their principal job or task.

Column descriptions

You can see the following columns if you do NOT select the checkbox (filter), 'Show Work Task Check-In Details'.

Code

Shows the employee code.

Date

Shows the attendance date - the dates appear in a sequence.

Base Center

Shows the name of the center to which the employee belongs - this is the home center of the employee. You can see different Center names for the same employee here if:

a) An employee was on loan to your center in the specified time period.

b) You used either the Other Centers filter or the All Centers filter.

Work Center

Shows the name of the center where the employee worked - this center may be different from the Base Center for days when an employee was on loan to another center in the selected time period.

Status

Shows the employee status such as Working, Not Scheduled, or Holiday based on the employee’s schedule.

Important

Any Leave Type that you define from Organization level > Employee > Settings > Leave Types appear here as status.

Example: Maternity Leave, Paternity Leave, Thanksgiving, Jury Duty.

Expected Checkin

Shows the time the employee was expected to check in based on the Employee Schedule. Example, 8 A.M.

Expected Checkout

Shows the time the employee was expected to check out based on the Employee Schedule. Example, 4 P.M.

Actuals

Shows the actual time when the employee checked in and checked out. Example: 8.45 A.M. and 5 P.M.

Attendance Rule

Shows details depending on the Attendance Rules that have been defined for a Working Day, Early Checkout, or Late Checkin.

For example, this column displays the attendance rule applied such as Half Day, Leaving Early, Late by 1 hour.

Note

You can define attendance rules from Employee > Settings > Attendance Rules > Rule Name.

Scheduled Hours

Shows the total number of Scheduled Hours the employee is expected to work in the selected time period on a particular day based on the expected check-in and checkout for the day. Note that each row corresponds to data for a single day.

Actual Hours

Shows the total number of actual hours based on the actual check-in and checkout of the employee for a particular day. Therefore, this includes overtime hours during the selected time period.

Note

The hours in this column match the Actual Hours (without Block Outs) column of the Employee Attendance Summary report.

Note

The actual hours in the attendance report considers the check-in and check-out times of the employee until the employee's end date. For example, the pay period is 4 Dec to 17 Dec. The employee worked for 8 hours on 4 Dec and 8 hours on 5 Dec. If you enter the employee's end date as 4 Dec, the actual hours for this pay period will be 8 hours.

Comments

Shows the comments the front desk or administrator entered while checking in/checking out employees.

Notes

The notes entered for the employee on the Employee Schedule page.

Keyword

Shows the keyword from the employee profile (Employee profile > General > Preferences).

You can see the following columns if you select the checkbox (filter), 'Show Work Task Check-In Details'.

Shows the employee code.

Employee

Shows the name of the employee for whom you are seeing the report.

Date

Shows the attendance date – the dates appear in a sequence.

Work Center

Shows the name of the center where the employee worked. You can see different Center names for the same employee here if:

  • The employee was on loan to another center in the specified time period.

  • You used either the Other Centers filter or the All Centers filter.

Day of the Week

Shows the day of the week.

Actual Check-In

Shows the actual check-in hours for the work task.

Actual Checkout

Shows the actual checkout hours for the work task.

Job Name

Shows the job name of the employee.

Example: Stylist, Beautician, Massage Specialist

Work Task

Shows the Work Task that the employee spent time on such as a Trainer or a Mentor.

Actual Hours

Shows the actual number of hours the employee spent

Comments

Shows the comments the front desk or administrator entered while checking in/checking out employees.
