Create services

Create a service with segments

At times, you may want to create a service that involves multiple steps. For example, a hair coloring service includes steps such as hair wash, blow-dry, color application, color absorption, second wash, and second blow-dry.

Here, hair wash, blow dry, and color application are considered as servicing time, color absorption is considered as processing time (or waiting time), and the second hair wash and blow dry and considered as finishing time.

Servicing time, processing time, and finishing time are the service segments.

You can define the order for these service segments. Businesses refer to service segments as 'service blocks', 'service parts', or simply, 'parts' of a service.

When you create services using segments, the provider can take up other services during processing time and finishing time segments. This ensures tighter appointment scheduling and optimizes the provider's time.

  1. At the organization level, click the Master data icon.

  2. Click Services.

  3. Click Add.

  4. Enter or select the relevant details across the different tabs in the setup wizard.

  5. Click Save.

  6. Click the name of the service.

  7. Click Define service segments.

  8. Enter or select the relevant details for each segment.

  9. Click Add.

    Repeat steps 7 to 9 for each segment you want to create.

  10. Specify the order of the segments.

  11. Click Finish.

Impacts and considerations

  • Try to add the finishing time segment as the last segment of the service. This allows the appointment book to reduce the overall duration of services with identical segments when booked together.

  • If the last segment is of type Processing time and the organization level setting Honor employee schedule for process time is ON, you will not be allowed to book the process segment outside the therapist's scheduled hours.

  • Each segment appears as an individual block in the appointment book.

Create a prerequisite service

Medical spas and salons offer a wide range of treatments, including those for acne, aging skin, hair removal, and more. These treatments often require guests to undergo mandatory consultation services to assess their suitability for the procedures and identify any pre-existing conditions or allergies. You can create prerequisite services such as consultations and attach them to the main service. This ensures prerequisites are met before the main service.

Front-desk staff can choose from the list of prerequisite services, which may or may not be required alongside the main service depending on how they are configured during creation. When there is a prerequisite service with conditions required, the front-desk staff will be alerted.

For example, if acne treatment is your main service, you can create a consultation service as a prerequisite. If a guest wants to book the acne treatment, Zenoti will prompt them to book the consultation first.

Precondition: Ensure you have created the main service and the prerequisite service before you can assign the prerequisite to the main service. From our example, this means you have created acne treatment (main service) and consultation (prerequisite) as services. Note that you can see the Prerequisites tab only after you have saved the main service.

  1. In the organization level, click the Master data icon.

  2. Select the service for which you want to add prerequisite services with or without conditions.

  3. In the General tab, select the Allow prerequisites to be booked with the service checkbox.

  4. Select if you want all or one of the prerequisite services to be finished in the defined validity range prior to booking the main service.

  5. In the Prerequisites tab, select the prerequisite service and enter the number of days for how long the service will be valid.

    Example: Patch test for a hair coloring service valid for 40 days.

  6. To add conditions, select the list of services and validity days for which the booking flow will ignore the selected prerequisite service (in previous step) if these service were already booked during the validity period.

    Example: If hair color services like Highlights or Global hair color were already booked by the guest in the last 60 days, then the same guest will not require a prerequisite Patch test for a hair color service.

  7. In the General tab of the main service, select the, Enforce prerequisites for this service checkbox.

  8. Click Save.

Create add-on services

Add-on services or add-ons are services that guests book in addition to a main service. Add-ons are typically not offered as standalone services.

For example, you may offer add-ons such as scalp massage or deep conditioning treatment for hair-related treatments. Similarly, you may include paraffin wax dip and cuticle oil treatment as nail add-ons.

Precondition: Ensure you have created the main service.

Impacts and considerations

  • After you save a service, you cannot edit or update the same service as an add-on.

  • Front-desk staff can book add-on services directly from POS, if required. However, the Date/Time macros for add-ons do not expand when these are booked directly as standalone services.

  • If the main service has a room associated, then the add-on service is automatically allocated the same room. Add-ons cannot have different rooms assigned to them.

  1. At the organization level, click the Master data icon.

  2. Click Services.

  3. Click Add.

  4. In the General tab, select the This service is an add-on checkbox.

  5. Enter or select the relevant details across the different tabs in the setup wizard.

  6. Click Save.

  7. Go to the main service.

  8. In the Add-Ons tab, select the add-ons for the main service.

  9. Select the Use For Upsell checkbox to enable the add-ons for upselling in the Upsell add-on services always-on campaign.

  10. Click Save.

Create services for couples

You may want to attract couples to your business with couples services. Privacy is key for couples' services. To this end, both guests receive their treatments together in the same room at the same time. Couples can book multiple services, but both guests receive the same set of services.

  1. At the organization level, click the Master data icon.

  2. Click Services.

  3. Click Add.

  4. In the General tab, select the checkbox, This is a couple's service.

  5. Enter or select the relevant details across the different tabs in the setup wizard.

  6. Click Save.

Considerations

  • Front-desk staff can book couples services only from booking wizard.

Define visit frequencies for services

A visit frequency is how often guests should take a service for best results. For instance, for hair color, it's typically every 6-8 weeks, depending on hair color and growth rate. For waxing, it's about every 2-4 weeks, depending on the area and hair growth rate.

In Zenoti, visit frequency applies only to packages and not to standalone services. When you specify a visit frequency, it is the number of days that the guest must wait before repeating this service.

  1. At the organization level, click the Master data icon.

  2. Click Services.

  3. Click Add.

  4. In the General tab, enter Service Name and Service Code.

  5. To add the number of days a guest must wait before taking the service again, in the General tab, look for Visit frequency, and enter the number of days.

  6. Enter or select the relevant details across the different tabs in the setup wizard.

  7. Click Save,

Impact and considerations

  • Use visit frequency to target guests (using custom target segments with service criteria). For example, if you enter 30 as the visit frequency for a Laser Weight Loss service, you can create a custom target segment with service criteria and send regular communications to guests who bought the Slimming package to schedule their next appointments.

  • Use visit frequency to calculate the validity period of a package. If a package includes two services with visit frequencies of 30 and 20 days, the validity of the package is 50 days.

Create service variants

Variants allow you to club similar services in the Webstore and CMA. For example, you could have a haircut service with variants such as Long hair, Mid-length hair, and Short hair.

  1. At the organization level, click the Master data icon.

  2. Click Services.

  3. Click Add.

  4. Enter Service Name for the variant. From our example above, say, Long hair

  5. Add properties as required in the various tabs.

  6. Click Finish.

    Repeat steps 4 to 6 for each variant.

Configure assorted properties for services

  1. At the organization level, click the Master data icon.

  2. Click Services.

  3. Click Add.

  4. Enter Service Code and Service Name.

  5. Actions to perform in the General tab:

    • Enter the duration for the service. Locate Service Time, and select the duration. Service time is the time a provider takes to perform the service from start to finish.

    • Enter the duration between two consecutive appointments to allow staff to prepare for the next guest. Locate Recovery Time and select the duration. Recovery time or transition time is the time staff uses to clean and sanitize the treatment area and change linen or tools,

      Note

      To create a service, the total duration of the service, including recovery time, must be a multiple of slot duration. For example, if your slot duration is 15 minutes, the total duration for the service, including recovery time must be 15 minutes, 30 minutes, 45 minutes, 60 minutes, or 75 minutes.

    • Configure commissions employees can earn for performing this service. Select the Allow commission on this service checkbox. You can also specify the Commission Adjustment and the Commission Type.

    • Enter notes as reminders to the front-desk staff. Enter notes under the Notes text box. These notes appear in a pop-up when adding the service to the appointment book. For example, for a manicure service, you could add a note to remind the front-desk staff to cross-sell a pedicure.

    • Allow guests to accrue and use these points to redeem services. Select the Allow loyalty points accrual and Allow loyalty points redemption checkboxes.

    • Disable tips. Locate and select the Don't collect tip on this service checkbox. For self-serve services such as steam rooms and saunas, there is no need to tip a service provider.

    • Sell a service only as a part of a package or a membership. Locate and select the Sell this service as a part of a package or membership only checkbox.

    • Send a second reminder to guests who book this service. Locate and select the Enable second appointment reminder for this service checkbox.

    • Restrict the service from being sold as part of a service gift card. Locate and select the Do not sell as Gift card checkbox.

      This setting is disabled by default, allowing services to be sold as gift cards. You can modify this setting at the organization level, while at the center level, you can only view the saved value; you cannot make changes.

      This setting affects sale in POS, Webstore, and CMA.

  6. Click Next,

  7. Actions to perform in the Centers tab.

    • Specify the centers where the service will be available. Select the zone and then select the name of the centers where this service will be available.

    • Make the service available for online booking. Select the Online booking checkbox for the relevant center.

    • Enter the sale price for the service under Sale Price.

    • For organizations that have tax-inclusive pricing, the Tax Included checkbox is already selected and cannot be cleared. The organization level tax settings will apply for all services in these organizations.

    • Associate the relevant tax group from Tax Group.

    • Associate the relevant demand pricing details from Demand Price Group.

  8. Click Next.

  9. Enter or select the relevant details across the different tabs in the setup wizard.

  10. Click Finish.
