Set up an employee’s schedule for the day
Tip
At the center level, click the Employee icon and navigate to Employees > Schedule.
In the employee list on the Employee Schedule page, Zenoti shows the employee's first name and the first letter of the second name only. For example, if the employee's first name is John and the second name is Smith, Zenoti will show the employee's name as John S in the list.
If the second name has more than one word, Zenoti picks the first letter of the last word. For example, if the employee's first name is Lisa and the second name is Abigail Haag, then Zenoti will show the employee's name as Lisa H in the list.
The list of all employees is displayed on the screen. You can filter the employees based on four predefined filters at the top of the employee list.
The available filters are Center, Role, Job, and Employee. These filters help to get the specific list of employees with ease. If your center has fewer than 50 employees, then Zenoti loads all the employees by default. If your center has more than 50 employees, first filter your employees based on center (say, This Center), job (say, Therapist), and role (say, Senior Esthetician) to view a list of employees.
Select the checkbox next to the name of the employee for whom you would like to define a schedule.
You can set up the schedules in split shifts (Shift 1 and Shift 2). If you do not have employees working in different shifts, you can turn off an organization-level setting so that you see only Shift 1.
The start and end times for both shifts default to the center's start and end times.
Select the start and end times for this employee’s shift using the drop-down list.
Define the status of the employee's day schedule.
By default, the status reads Not Set. When you set the day's schedule for an employee, the schedule status automatically changes to Working.
To schedule a leave for the employee, you can select the status as On Leave, Weekly Off, or Sick Leave.
To assign to the service provider, select the name of the Room.
You will see the Room option only if a relevant setting is enabled at the center level.
Click the Notes icon.
You can add notes for employee statuses such as Working, On Leave, Weekly Off, or Sick Leave.
After you enter notes in the Notes pop-up box and click Save.
Click Save.
Impacts and considerations
Zenoti does not save notes for the employees whose status is Not Set.
Managers can add notes from the Day view of the employee schedule. Business owners can view these notes in the Employee Attendance Details report in the Notes column.
From the Day view, when you copy an employee's status as a leave type for the next X days, Zenoti sets the employee's status for those X days as Not Set. Not Set is the default status for all schedules, modify the status as per your requirement.
