Create rooms
Precondition: You should have already created Room categories.
At the center level, click the Configuration icon.
Search for and select Rooms from the Business details section.
Click Add.
In the General tab, enter details such as the Room Name, Room Code, Description, and Capacity (that is, the number of people for whom services can be performed in the room).
To configure the room for parallel services, select the Available for Parallel Services checkbox.
Precondition: You should have configured booking parallel services.
In the Parallel service groups enabled for this room section, enter the parallel service group name.
Example: Mani-pedi group.
To help front-desk staff easily identify rooms on the Appointment book, in the General tab, select the Room Category and specify the Color Code.
To accommodate a quick service in the room when it falls vacant, in the General tab, select the Allow to book more than capacity checkbox.
To ensure the room is restricted to one appointment at a time, in the General tab, select the Allow Only One Appointment at a Time in This Room checkbox.
To restrict the room to a single group appointment at a time, in the General tab, select the Allow only one group appointment at a time, provided the group does not exceed room capacity checkbox.
Note
If you do not see this option at the room-level settings and you would like to enable it, reach out to your Zenoti customer success manager to enable this feature.
If this setting is enabled for a room and the Allow booking beyond capacity option is disabled, groups exceeding the room's capacity cannot be booked.
If this setting is enabled for a room and Allow booking beyond capacity is also enabled, single groups of any size can be booked in that room.
To print the name of the room on the bill, such as in the case of VIP rooms that may attract extra charges, in the General tab, select the Print in bill checkbox.
Click Next.
To associate a service to a room, in the Services tab, select the services that can be performed in the room.
After you associate a service with a room, the room cannot be booked for any other service.
If you do not want to limit the room to particular services, skip this step.
To make the room unavailable for bookings due to repair work or maintenance, in the Services tab, clear the checkboxes for the services that can be performed in the room. To reactivate a room, or to make the room available again for bookings after repairs are done, select the services that can be performed in the room.
To charge a premium on services performed in a particular room, in the Services tab, define the Price Factor % .
Click Next.
Define the Reservation rules for the room.
For example, you may define particular days of the week when the room can be reserved, whether the room can be reserved for members only, and whether you want the rule to expire before the start of the center's business hours or before the starting time of service. This way, if the room was not booked by a member, it could be open for reservations by other guests.
Select the Days of the Week: Specify the days of the week when you want the reservation rule to apply.
Start Time: Specify the start time; the rule will be active from this time, on the days you specify.
End Time: Specify the end time; the rule will not apply after this time, on the days you specify.
Reservation Options: Select one of the following options if you want to remove the reservations placed on the room so that the room becomes free for other bookings.
Example: Suppose you have a VIP room that you normally reserve only for Platinum Memberships, and you know that there are no bookings on particular days (Wednesdays) from these members, you can use these options to make the same room available to other guests on these days.
Expires __ hours before Start Time: Use this option to specify how many hours before the rule start time you want the reservation to expire so that the room is available to other guests.
Example with impacts and considerations: If you specify, Expires 1 hour before Start Time, and your rule start time is 7 A.M, it means that the Reservation restrictions will expire 1 hour before 7 A.M. That is, this room will be open for bookings from 6 A.M onwards. The Start Time here refers to the rule start time.
Expires __ hours before Service Start Time: Use this option to specify how many hours before service Start Time you want the reservation to expire so that the room is available to other guests.
Example with impacts and considerations: If you specify, Expires 2 hours before Service Start Time, and the Service Start time is 11 A.M, it means that the Reservation will expire 2 hours before 11 A.M. That is, this room will be open for bookings from 9 A.M onwards.
User Type: Specify any one of the following:
Membership Type: Select the Membership Type for which you want the rule to apply.
Precondition: You should have already defined Membership Types.
Target Segment Type: Select the Target Segment Type for which you want the rule to apply.
Example: You may want to reserve the Room for guests who have a Massages Membership.
Precondition: You should have already defined Target Segment Types.
Gender Type: Select the Gender for which you want the Rule to apply.
Example: You may want to reserve the room for female guests.
Click Add Rules.
You can add multiple rules if required.
To make the room visible for online bookings (from Webstore and CMA), in the Catalog tab, select Show in Catalog.
Click Save.
Note
When a new room is created, no services will be assigned by default. Unless users select services for the new room, no services can be performed there.
