Define labels for guests

This article explains how to customize default labels in Zenoti for guests, private notes, and primary employees. By modifying these labels, businesses can adapt terminology to match their brand voice and industry-specific needs.

Overview

Zenoti allows businesses to replace standard terms like “Guest,” “Private Note,” or “Primary Employee” with more relevant, business-specific labels. This flexibility helps organizations maintain consistent language across the Appointment Book, online booking, and guest profiles. For example, a clinic may prefer “Patient,” while a salon could choose “Client.” Similarly, private notes can be relabeled as “Confidential” or “Restricted,” ensuring the terminology aligns with business practices.

Required roles: Owner or Administrator

Required permissions: None

  1. At the organization level, click the Configurations icon.

  2. Search for and select the Enter label for 'Guest' setting from the Guests section.

  3. Provide your business-related terminologies for Guest and Guests text fields.

    The guest labels appear on the Appointment Book and online booking platforms.

  4. Click Save.

Modify labels for private notes in guest profile

To protect the privacy of guests, businesses have the option to hide specific treatment notes of guests from service providers. A note can be added as a private note in the guest profile and can be viewed only by employees with the right permission while booking or modifying an appointment.

The private note label can be replaced with other words such as ‘Confidential’ or ‘Restricted’ based on your business requirements.

Required roles: Owner or Administrator

Required permissions: None

View permissions for other roles: Guests > View Private, View Private 2, View Private 3

  1. At the organization level, click the Configurations icon.

  2. Search for and select the Label for Private note 1 setting from the Guests section.

  3. Provide your business-related terminologies for the three labels available for private notes for guests.

  4. Click Save.

Modify label for primary employee in guest profile

You can assign an employee who will be the primary service provider for the guest when creating a guest profile. The Primary employee label refers to the term used to indicate the preferred service provider on Zenoti. This label can be customized as per your requirements.

Required roles: Owner or Administrator

Required permissions: None

  1. At the organization level, click the Configurations icon.

  2. Search for and select the Primary employee setting from the Guests section.

  3. Update the Primary employee label.

  4. Click Save.
