Always send appointment reschedule notification

Front desk staff can notify the guest whenever the start time of their appointment is changed, regardless of the amount of time changed.

  1. At the organization level, click the Configurations icon.

  2. Search for and select Send appointment reschedule notification from the Guest alerts section.

  3. Select Always.

  4. Enable this setting.

  5. Click Save.

All organizations have this option selected by default.

Send appointment reschedule notification based on a specified time threshold

Front desk staff can choose to notify guests of appointment changes only if the service's start time is changed by a specified threshold from the original schedule. This helps avoid unnecessary notifications for minor adjustments, providing clarity to guests about significant changes to their appointments.

  1. At the organization level, click the Configurations icon.

  2. Search for and select Send appointment reschedule notification from the Guest alerts section.

  3. Select Only when service’s new start time is changed by at least [x] min from current start time.

  4. Enter the value in minutes.

  5. Click Save.

For example, if the threshold value is set to 30 minutes, a notification is sent to the guest if an appointment originally at 2:00 PM is rescheduled to 2:31 PM, but not if it is rescheduled to 2:25 PM.

Send Confirmation Notification before Appointments

As a business owner, you can send notifications to confirm appointments. The following setting allows you to define the number of minutes before a scheduled appointment that the confirmation must be sent to guests.

For example, if you set it as 30 minutes, guests will receive a notification 30 minutes before their scheduled appointment.

Note

If the service provider is copied (CC) in the email notification template, they will also receive the appointment reminder.

To configure this setting, follow these steps:

  1. At the organization level, click Configuration.

  2. Navigate to Appointments > Notifications and alerts > Guest notifications.

  3. Enter the number of minutes in the field for the Send appointment confirmation notification if an appointment is booked (in minutes) before the appointment setting.

  4. Click Save.

This field is blank by default. If no value is provided, Zenoti will automatically send the confirmation 10 minutes after the appointment is booked.
