Membership Liability report (v2)

Business owners and center managers can use this report to track whether the membership liability at your centers increased or decreased over a specific duration.

  1. At the organization or center level, click the Reports icon.

  2. On the Reports page, search for and select the Memberships Liability report.

  3. If the report has many columns, scroll horizontally to the right or left to view all columns.

  4. To view specific data on the report, select the desired filters. For more information, refer to report features on Zenoti.

  5. Click Refresh.

    If you generate the report for over a year, click the Email button.

You can view the report based on the liability sale amount or value. The membership liability report data will vary depending on whether it is filtered by sale or by value.

The following table describes columns in the membership liability v2 report.

Column Name 

Description 

Center Name

Center in which the membership was sold

Opening Balance

Balance amount of memberships liability that is carried forward from the previous accounting period

This value is the liability balance at the start of the selected date range.

Accrued/Sold

Amount of liability that was generated from the sale of memberships

For example, if you sell a package for $400 with five benefits of $100 each, the liability value is $400.

Accrued Value

Liability value generated from the sale of memberships

This column is only visible only for hybrid model types of memberships, for memberships that have the the Value Model flag enabled, and for memberships with credit amount.

Redemptions

Amount of liability that is redeemed during the date range

Manual Adjustments

Value of manual adjustments on the credit amount; this column is visible only when the Liability Type is By Value and for organizations that have the non-hybrid model of memberships.

Refund Value

Liability value that is refunded during the selected date range

Refund Amount

Total amount of liability that is refunded during the date range

Cancellations

Amount of liability that is canceled during the date range

Expired

Amount of liability that expired during the date range

Closing Balance

Balance liability amount of memberships that is carried forward to the next accounting period

  • For non-hybrid model:

    • For sale liability type

      Closing Balance = Opening balance (before duration) + Accrued value - +Redemptions value - Refund amount - Expired value - Suspended value - Cancelled value

    • For value liability type

      Closing balance= Opening balance (before duration) + Accrued value - Redemptions value + Manual adjustments - Cancelled value - Expired value - Refund value

  • For hybrid model

    • For value liability type: Closing balance= Opening balance (before duration) + Accrued value - Redemptions value - Refund value - Cancelled value - Expired value - Unused credit amount.

  • For Sale Liability Type:

    Balance = Sale - Redemption - Refunded - Expired - Suspense

  • For Value Liability Type:

    Balance = Value - Redemption - Refunded - Expired - Suspense

This value is the liability balance at the end of the selected date range.

Suspense

Liability value generated due to incomplete refunds when the membership is refunded and closed; the balance amount is zero but the complete amount is not refunded

Unused Credit Amount

Unused credit amount after redemption

This column is only visible for organizations that have the hybrid model of memberships.

Conversions

Total worth of service benefits that were converted

This column is only visible for organizations that have the hybrid model of memberships.

Sales-Accrual vs. Membership Liability Reports

This section explains when you can compare data between the Sales-Accrual report and the Membership Liability report — and when you cannot.

When to compare the two reports

You can compare these two columns across the reports, but only under the conditions described below:

In both cases, use the Sales (Inc. Tax) column from Sales-Accrual (filtered by Item Type = Membership and Sale Type = Sale or Recurring) and compare it against the Accrued/Sold column in the Membership Liability report.

  • To compare by sale amount: set the Liability Type filter to Sale.

  • To compare by value: set the Liability Type filter to Value.

Known differences (Why the numbers may not match)

Even when comparing the correct columns, certain scenarios will cause differences between the reports. These are expected — not errors.

1. Memberships with only discounts

  • These are treated as sales, not liabilities.

  • They appear in the Sales-Accrual report but not in the Membership Liability report.

2. Memberships with only credit amount

  • These are treated as sales in Sales-Accrual.

  • They appear in the Membership Liability report only when Liability Type is set to Value.

3. Memberships with only service benefits

  • These are treated as sales in Sales-Accrual.

  • They appear in the Membership Liability report only when Liability Type is set to Sale.

4. Recurring memberships

  • If the Enable Redemptions on Open Memberships setting is off, only closed invoices are included in the Membership Liability report.

Note: This can cause a gap compared to Sales-Accrual, which may include open invoices.

5. Cross-center refunds

  • In Sales-Accrual: refunds are recorded at the center where the refund was processed.

  • In Membership Liability: refunds are recorded at the center where the membership was originally sold.

  • If the original center has been deleted, the refund will not appear in the Membership Liability report.

6. Partial refunds

  • A partial refund does not reduce the benefit value.

  • The refunded amount is tracked separately under the Refund Amount and Suspense columns.

7. Full refunds

  • A full refund cancels all membership benefits.

  • The full amount is shown under the Refund Amount column.

Other rules to know
  • Setup fees and freeze fees are never treated as liabilities.

  • IRR, SCR, and MRR settings do not affect membership accruals, redemptions, refunds, or expirations.

  • Memberships with only credit amounts appear in both reports when filtered by Liability Type = Value.

  • Memberships with only service benefits appear in both reports when filtered by Liability Type = Sale.

  • Memberships with both service benefits and credit amounts appear in both reports for both Sale and Value liability types.
