Room utilization report for Classes

Overview

Businesses can use the Room Utilization Report for Classes to review how effectively each room is used for scheduled classes. The report compares total class hours against total available hours for each room. It also compares total class attendance against total room capacity over the selected period.

Use this report to:

  • Identify rooms with low utilization and reallocate class schedules.

  • Spot rooms with high occupancy and plan capacity expansion.

  • Compare class hours and attendance across rooms over a defined period.

  • Review room performance trends across the organization or per center.

  • Support staffing and resource decisions based on actual room usage patterns.

Key terms

The following terms appear in this report:

  • Utilization: The time-based measure of room performance. Utilization shows the share of a room's available hours used by classes.

  • Occupancy: The capacity-based measure of room performance. Occupancy shows the share of a room's combined seat capacity filled by attending students.

  • Room: A physical space configured in Zenoti where classes are conducted.

  • Room category: The category assigned to a room during room setup. Used to group rooms for reporting.

Note: Utilization and occupancy measure different aspects of room performance. Utilization reflects time used. Occupancy reflects seats filled. Review both metrics together to understand how a room performs.

Access the report

To open the report:

  1. At the organization or center level, click the Reports icon.

  2. Click Utilization.

  3. From the report type dropdown, select Room Utilization - Classes.

  4. From the period dropdown, select the required time range.

  5. Click Refresh to load results.

Available filters

Apply the following filters to narrow the report data.

Filter

Description

Report type

Selects the type of utilization report to display. Choose Room Utilization - Classes to view class-based utilization data. The dropdown may include other utilization views such as service-based utilization.

Period

Defines the time range for the report. Common values include 1 Month, 3 Months, 6 Months, and 1 Year. The selected period determines the start and end dates shown in the section header.

Center

Filters the data to the selected center. The center dropdown appears at the top of the page. Available centers depend on user access.

View the report

The report supports two display formats. Use the view toggle below the period dropdown.

  • Table view: Default view. Shows row-level data for each room across all columns.

  • Chart view: Shows the same data as a visual chart for quick comparison across rooms.

To view all columns when the report is wide, scroll horizontally within the data section.

Column descriptions

The following table describes the columns available in the report.

Room

Name of the room.

Shows the room name configured during room setup. Each row represents one room within the selected center or centers.

Room Category

Category assigned to the room.

Shows the category configured for the room. Categories help group rooms by purpose, such as fitness studio, court, or treatment space. The value can be blank when no category is assigned.

Total Classes (#)

Number of class sessions held in the room.

Counts every class session conducted in the room within the selected period. 

Total Class Attendance (#)

Total students who attended classes in the room.

Sums the actual student attendance across all class sessions held in the room. Counts each attending student once per session. 

Total Room Capacity (#)

Combined seat capacity across class slots for the room.

Reflects the cumulative seat capacity the room could host across the period, based on the maximum capacity of each scheduled class slot. 

Total Class Hours (#)

Sum of class duration in hours.

Adds the duration of every class session conducted in the room within the selected period. A 30-minute class contributes 0.5 hours.

Total Available Hours (#)

Total hours the room was available for classes.

Reflects the room's combined open hours across the period, factoring in center operating hours and room availability. 

Utilization (%)

Percentage of available hours used for classes.

Calculated as Total Class Hours divided by Total Available Hours, multiplied by 100. A low value indicates the room hosted fewer class hours than its availability allowed. Values display to two decimal places.

Occupancy (%)

Percentage of seat capacity filled by attending students.

Calculated as Total Class Attendance divided by Total Room Capacity, multiplied by 100. A low value indicates the room ran at lower seat occupancy than its capacity. Values display to two decimal places.

Total row

The bottom row of the report displays the Total value for each numeric column across all rooms shown. The Total values are computed as follows:

  • Counts and sums: Total Classes, Total Class Attendance, Total Room Capacity, Total Class Hours, and Total Available Hours are summed across all rooms.

  • Percentages: Utilization and Occupancy in the Total row are computed from the summed values, not as an average of the per-room percentages.

Considerations
  • Rooms appear in the report even when no classes ran in them, as long as the rooms are configured and available within the selected period. Utilization and Occupancy values for such rooms display as 0.00.

  • High utilization with low occupancy suggests the room hosts frequent classes that draw fewer students than seat capacity allows.

  • Low utilization with high occupancy suggests the room hosts few classes that fill close to seat capacity.

  • Decimal precision in the Utilization and Occupancy columns is two places.

  • Available periods depend on the report configuration. Date ranges shown in the section header reflect the start and end dates of the selected period.

  • Data refresh frequency depends on the underlying reporting framework. For real-time accuracy, click Refresh after changing filters.
