Guests Statements Report

Overview

Use the Guests Statements report to review outstanding balances owed by guests with house accounts. The report provides a guest-level view of total dues, billed and unbilled amounts, aging across billing cycles, late fees, wallet balances, and last payment details.

Use this report to:

  • Identify guests with outstanding dues and prioritize collection follow-ups.

  • Analyze the aging of unpaid balances across billing cycles.

  • Review the breakdown of billed and unbilled dues for each guest.

  • Track late fee accumulation across current and past billing cycles.

  • Reconcile wallet balances and the last payment details for each guest.

Access the report
  1. At the organization or center level, click Reports.

  2. Search for and select the Guests Statements Report.

  3. If the report has many columns, scroll horizontally to the right or left to view all columns.

  4. To view specific data on the report, select the desired filters. For more information, refer to the report features article.

  5. Click Refresh to load results. If you generate the report for over a year, click the Email button.

Available filters

Apply the following filters to narrow the report to the guest records you need to review.

Filter

Description

Payment Type

Filters guests by the payment method associated with their account. Common values include None, Credit Card, and ACH. Select one or more values to isolate guests by payment type. Select All to include guests regardless of payment method.

Centers

Returns guest statement data for the selected centers. The options shown depend on the centers your user account has access to. Select All to view data across all accessible centers.

As On Date

Specifies the date as of which outstanding dues, aging, and late fees are calculated. The report reflects balances as they stood on the selected date. Note that some columns — such as House Account Holder, Payment Method, Unbilled Due, and Last Payment Method — reflect current or report-run-date values and are not affected by this filter. Defaults to the current date.

Column descriptions

The following table describes the columns available in the Guests Statements report and their corresponding descriptions.

Center name

Center associated with the guest.

Indicates the center to which the guest account and outstanding balance belong. Use this for center-level review and operational ownership.

Guest name

Guest associated with the statement.

Displays the guest profile name tied to the statement. Use this to locate the guest and review balance history or settlement details from the guest profile when required.

Phone number

Contact phone number.

Displays the phone number on the guest's profile. Shows NA when no phone number is available on the guest profile.

Email ID

Contact email address.

Displays the email address on the guest's profile. Shows NA when no email address is available on the guest profile.

House account holder

House account status.

Indicates whether the guest currently has a house account. Displays True when the guest is a house account holder. This value reflects the current status and is not affected by the As On Date filter. The report also includes guests who are not active members but have pre-existing statements on their accounts.

Payment method

Payment method on file.

Shows the payment method associated with the guest's account as of the report run date. Examples include OnlineCreditCard and ACH. This value is not affected by the As On Date filter. Displays NA when no payment method is configured for the guest.

Total due

Total outstanding balance.

Shows the total amount owed by the guest, including all billed and unbilled dues across all billing cycles. Interpret alongside Unbilled Due and Total Billed Due for a complete picture of exposure.

Unbilled due

Amount not yet added to invoice.

Shows the portion of the guest's outstanding balance that has not yet been added to an invoice. This value reflects the balance as of the report run date and is not affected by the As On Date filter.

Total billed due

Total added to the invoice, but unpaid.

Shows the cumulative amount that has been billed to the guest but remains unpaid across all billing cycles.

Carried over zero cycles due

Current-cycle carry-forward.

Shows the outstanding amount from the current billing cycle that has been carried forward due to non-payment.

Carried over one cycles due

One-cycle carry-forward.

Shows the outstanding amount from one billing cycle ago that remains unpaid and has been carried forward.

Carried over two cycles due

Two-cycle carry-forward.

Shows the outstanding amount from two billing cycles ago that remains unpaid and has been carried forward.

Carried over three plus cycles due

Three or more cycles carry forward.

Shows the outstanding amount from three or more billing cycles ago that remains unpaid and has been carried forward. Higher amounts indicate recurring overdue behavior.

Current late fees

Late fees in the current cycle.

Shows the late fees charged to the guest in the current billing cycle. Late-fee behavior is governed by the configuration set for the organization.

Zero cycles due

Amount due in current cycle.

Shows the total amount due in the current billing cycle before any carry-forward calculation is applied.

One cycles due

Amount due from one cycle ago.

Shows the total amount due from one billing cycle ago that remains outstanding.

Two cycles due

Amount due from two cycles ago.

Shows the total amount due from two billing cycles ago that remains outstanding.

Three plus cycles due

Amount due from three or more cycles ago.

Shows the total amount due from three or more billing cycles ago that remains outstanding.

Total late fees

Cumulative late fees.

Shows the cumulative total of all late fees charged to the guest across all billing cycles. Review alongside Carried Over columns to assess overall overdue exposure.

Last payment date

Date of most recent payment.

Shows the date on which the guest made their most recent payment. Displays blank when no payment record exists for the guest.

Last payment amount

Amount of the most recent payment.

Shows the amount paid in the guest's most recent transaction. Displays 0 when no payment has been made.

Last payment method

Method used for the most recent payment.

Shows the payment method used for the guest's most recent payment. This value is not affected by the As On Date filter and reflects the most recent payment method on record, irrespective of the date range. Displays NA when no payment record is available.

Wallet balance

Available wallet balance as of the selected date.

Shows the total available balance in the guest's wallet as of 11:59 PM of the date selected in the As On Date filter. If the selected date is the current date, the column shows the balance up to the report refresh time. The column footer displays the cumulative wallet balance across all guest records shown in the report.

Guest code

Guest identifier, where configured.

Displays the guest code if the organization uses guest codes. This can be blank when guest codes are not configured or not available for the guest.

Considerations
  • The As On Date filter determines the snapshot date for outstanding dues, aging, and late fee calculations. Note that House Account Holder status, Payment Method, Unbilled Due, and Last Payment Method are not affected by this filter and always reflect current or report-run-date values.

  • The Carried Over columns reflect aging of unpaid balances across cycles. Review these columns, along with Total Late Fees, to assess the extent of a guest's overdue exposure.

  • A guest may appear in the report with a Total Due of 0 if they have a wallet balance or a payment method on file.

  • Late fees shown in the report are calculated based on the organization's configured late-fee rules. Review Current Late Fees and Total Late Fees together with the Carried Over columns.

  • The report includes guests who are not active members but have pre-existing statements on their accounts.

  • The Payment Type filter supports method categories. The report may display NA when no payment method exists for a guest.
