Guest Insights Dashboard

Use this article to view, analyze, and act on guest behavior and retention data using the Guest Insights Dashboard.

Overview

The Guest Insights Dashboard provides visibility into guest behavior, spending, and retention. It helps you understand the mix of new and repeat guests, gender distribution, visit and invoice trends, staff requests, and the contribution of members versus non-members — so you can drive loyalty, retention, and growth.

The dashboard is available to:

  • Center Managers to track guest behavior at their center

  • Zonal Managers to compare guest trends across centers in their zone

  • Org Owners and Admins to analyze guest behavior across the organization

The Guest Insights Dashboard includes:

  • Header filters for time selection and previous-period comparison

  • Overview KPI tiles showing aggregated guest metrics

  • Breakdown and trend widgets (Guest type breakdown, Gender invoice breakdown, Invoices trend over time, Request type details)

  • A Guest visits by member type table

Note

Data refreshes every 24 hours, so updates from the last 24 hours may not appear yet. The last refresh time is shown below the dashboard header.

Access the Guest Insights Dashboard
  1. Go to Data & Insights.

  2. Select Analytics beta.

  3. Select Guest Insights.

The Guest Insights Dashboard appears alongside the other Analytics Express dashboards, including Executive summary, Employee insights, Appointment insights, and Sales insights.

Use Time Filters

You can filter data using predefined or custom ranges, including:

  • Week-to-date (WTD): Default

  • Month-to-date (MTD)

  • Quarter-to-date (QTD)

  • Year-to-date (YTD)

  • Previous month

  • Last 6 months

  • Fiscal week: select a specific week or range of weeks within a year

  • Custom range: up to the last 2 completed years

Notes on Time Filters

  • Fiscal week availability depends on your organization's week-start setting. Week 1 begins on the first occurrence of that day in the year.

  • For Fiscal Week, you can select dates ranging from Week 1 of the last completed year to the current time period. Only fully completed fiscal weeks are available for selection.

When you select the Custom range, Zenoti disables comparison against previous periods.

Compare Performance

You can compare the selected period against: Previous year (default)

Comparison is available only when the selected period is not a custom date range.

Understand Overview KPI Tiles

The dashboard displays eight overview KPI tiles at the top, providing a snapshot of key guest metrics for the selected period. Each tile shows an aggregated total and links to a detailed core report for reconciliation.

KPI

Definition

Total Guests

Total number of unique guests who transacted during the selected period.

Total Invoices

Total number of invoices generated during the selected period.

Avg. Sales per Invoice

Average sales value generated for each invoice during the selected period.

Avg. Invoices per Guest

Average number of invoices generated per guest during the selected period.

Avg. Sales per New Guest

Average sales generated per new guest — a guest transacting for the first time.

Avg. Sales per Repeat Guest

Female Guest %

Percentage of guests during the period who are female.

% of Happy Visits

Percentage of visits rated positively in guest feedback during the period.

Note

Clicking View details on any KPI tile redirects you to the relevant core report with filters pre-applied.

Understand Breakdown and Trend Widgets

Below the overview tiles, the dashboard includes widgets that break down guests by type and gender and show how guest activity trends over time. Each widget compares the selected period against the previous year.

Guest Type Breakdown

Displays the percentage of new guests, along with a pie chart splitting guests into new and repeat guests for the selected period, compared against the previous year.

Gender Invoice Breakdown

Shows the primary demographic and the sales contribution by gender, with a pie chart splitting invoices across female, male, and other guests, compared against the previous year.

Invoices Trend over Time

Displays a line chart of invoices over the selected period, split into new and repeat guests, with a dashed line representing the previous-year comparison. The time grain adjusts automatically based on your time filter selection.

Request Type Details

Shows the most requested staff and the percentage of services requested by male versus female guests during the selected period, compared against the previous year.

Understand Guest Visits by Member Type

The Guest visits by member type table compares members and non-members across key metrics. All columns link to the related core report for reconciliation.

Column

Description

Type

The guest category — Member or Non-member.

Total Invoices

Total number of invoices attributed to the guest type during the period.

% of Total Invoices

Share of total invoices contributed by the guest type.

Total Sales

Total sales (inclusive of tax) attributed to the guest type.

Avg. Sales/Visit

Average sales value generated per visit for the guest type.

Reconcile Dashboard Data with Core Reports

When you select View details on a KPI tile or widget, Zenoti opens the corresponding core report (for example, the Sales Accrual report) with filters pre-applied. A “Here's how you can reconcile” guide appears, explaining how to recreate the dashboard value within the report. The guidance differs by widget, for example:

  • Invoices trend and guest type: take the distinct count of the combination of Invoice Number, Center Code, and First Visit columns to calculate total invoices by type of guest.

  • Gender invoice breakdown: refer to Customer Invoice Count under the “Visitor Details - Gender” table.

  • Guest visits by member type: take the distinct count of the combination of Invoice Number, Center Code, and Member for total invoices, and the sum of the Sales (Inc. Tax) column grouped by Center Code and Member for total sales.

The reconciliation guide also includes two options:

  • Missed a column?: guidance on adding any columns you need in the report.

  • Metric definitions: opens the definitions for the metrics shown in the report.

Note

If the selected period is 31 days or less, the time filter is carried forward to the report automatically. If the selected period exceeds 31 days, a pop-up informs you that the report will load with data pre-filled for the last month. You can adjust the filters within the report to analyze a different period.

View KPI and Metric Definitions

Each KPI tile and widget includes a help icon that opens the definition of the metrics it displays. The Metric definitions link in the reconciliation guide opens the same definitions for the core report you are viewing, so you can confirm exactly how each value is calculated.

Configure Dashboard Widgets

All widgets on the Guest Insights Dashboard are shown by default. Unlike the Analytics Express dashboard, there is no option to configure or reorder the widgets on this dashboard.

Manage Permissions

Admins control access to the Guest Insights Dashboard using role-based permissions. Role-based filters apply automatically, so each user sees only the data their role allows:

  • Center Manager: can view only their center.

  • Zonal Manager: can view any center in their zone.

  • Organization Admin: has full access across the organization.

Steps to Configure Permissions

  1. Go to Admin > Security Roles

  2. Select a role

  3. Open the Permissions tab

  4. Search for Analytics Express – Guest Insights

  5. Enable View as needed

  6. Save changes

Note

Currently, only View permissions are available for this dashboard.
