Work with Opportunities

This article explains how to use the list view and opportunity details page in AI Lead Manager, including how to search and filter records, manage columns, view opportunity details, and take quick actions from lead cards.

Overview

The All Opportunities page provides a centralised view of all opportunities captured across your organisation. From this page, you can:

  • Search and filter opportunities

  • Track opportunity stages and priorities

  • Monitor assignment and engagement

  • Customise the table view

  • Create a new opportunity

This page helps sales teams and managers track enquiries and convert prospects efficiently.

List view

Access the All Opportunities page
  1. At the organisation level, go to Lead Management > AI Lead Manager > All Opportunities. The page opens in Kanban view by default. Use the toggle at the top right to switch to List view.

    The List view has two options available from the caret (▾) next to List: Opportunities — one row per deal. Default columns: Opportunity type, Contact name, Phone, Email, Stage, Source, Priority, AI Score, Offered price, Recent notes, and Assigned to. Leads — one row per person, with all their opportunities rolled up. Each row shows an open deal count, Open / Won / Lost amounts, and conversion rate. Click the chevron (›) to expand a row and see individual opportunities in a nested sub-table.

  2. Click More Filters to narrow down the results by: Assigned to Status Priority Opportunity type Source Disposition (call outcome) Gender Center Follow-up range Expected close date Last contacted date List price and Offered price range AI Score range.

  3. Select the checkbox next to any listing.

  4. Click Bulk update to update the assigned employee, opportunity status, priority, source, or opportunity type.

  5. Click Detailed view to open detailed information for the selected records.

Note

The page always opens with the last 6 months of records pre-applied. You can widen or narrow this window. Each active filter appears as a chip below the filter row. Click a chip to remove an individual filter, or click Reset to clear all.

Use saved views

Saved views let you store a combination of filters and reload them quickly, so you do not have to reapply the same filter settings each time. A saved view can be set as a default and loads automatically when you open the page.

To load a saved view:

  1. Click the Saved Views dropdown at the top of the All Opportunities page.

  2. Search by view name or scroll through the list.

  3. Click a view name to apply its filters to the listing.

To manage saved views:

  1. Click the Saved Views dropdown.

  2. Click Manage views.

  3. The Saved views panel opens on the right, listing all your views under Other views.

  4. Click any view to preview the filters saved inside it and update them if needed.

Note

To create a new saved view, apply your desired filters and use the Save filter option in the More Filters panel.

Manage columns

You can control which columns appear on the All Opportunities page and reorder them to match your workflow.

The Manage Columns panel opens with two sections:

  1. Click the Manage Columns icon (grid icon) at the top right of the listing. The Manage Columns panel opens with two sections

    • Selected Columns (left) : Toggle each column on or off using the switches. Columns with a blue toggle are visible in the listing; grey toggles are hidden. Click Remove all to deselect all columns at once.

    • Re-order selected (right): Drag columns up or down using the handle icon to change their display order. Click the delete icon next to any column to remove it.

  2. Click Save to apply your changes, or Cancel to discard them.

The available columns are: Opportunity type, Contact name, Phone, Email, Stage, Source, Priority, AI Score, Offered price, Recent notes, Assigned to, Created date, First contacted date, and Center.

Bulk select and bulk update
  1. Click Bulk select at the top right to enter selection mode.

  2. Once you have selected one or more records, a toolbar appears at the bottom of the page with the following options:

    • Bulk update: Update the assigned employee, opportunity status, priority, source, or opportunity type for all selected records at once. A confirmation prompt is shown before changes are applied, as actions are irreversible.

    • Detailed view : Open the Opportunity details page for the selected records.

    • Deselect all : Clear all current selections.

Note

Bulk update actions are irreversible. Review your selections before updating.

Kanban View

The Kanban view is the default view of the All Opportunities page. Opportunities appear as cards organised by stage, ideal for tracking progression and taking quick actions. Each column header shows the stage name and the total number of opportunities in that stage. Use this view to visualise your pipeline and move opportunities through stages efficiently.

Each opportunity card displays the following information at a glance:

  • Time in stage

  • Contact name

  • Guest code

  • Opportunity type

  • Source

  • Assigned employee

  • Priority label

  • Offered price

Use Manage Card View to choose which fields appear on each card. Use the List and Kanban toggle buttons at the top right to switch between views. The selected view is highlighted.

Filter and search
  1. Use the Created date, Assigned to, Status, and Priority dropdowns to narrow down results.

  2. Click More Filters to apply additional criteria such as opportunity type, source, disposition (call outcome), gender, follow-up range, and expected close date.

  3. To search, use the search box at the top right of the page. Active searches appear as removable chips.

Use saved views
  1. Click Saved views at the top of the page to load a previously saved combination of filters, or click Manage views to update or review existing views.

  2. To create a new saved view, apply your desired filters and use the Save filter option in the More Filters panel.

Quick actions from a lead card

Book an appointment

  1. Click the Appointment icon (calendar icon) on the lead card. The Booking Wizard opens with the lead's guest profile pre-filled.

  2. Select a service, therapist, and time slot.

  3. Click Review and Book.

Add a task

  1. Click the Tasks icon on the lead card.

  2. Enter the Task type, Description, Due date, Due time, Assigned to, and Priority fields.

  3. Click Save.

Send an SMS or WhatsApp message

  1. Click the SMS icon.

  2. Type your message in the Send message panel.

  3. Send via SMS or WhatsApp.

Log a call

  1. Click the Call icon.

  2. Select a Call outcome, enter the Date of call, Call time, and Call summary.

  3. Click Save.

Log an email

  1. Click the Email icon.

  2. Select Inbound or Outbound, enter the Email date, Timing, and Email summary.

  3. Click Save.

View opportunity details

To view opportunity details:

  1. At the centre or organisation level, navigate to Lead Management > AI Lead Manager > All Opportunities.

  2. Click any lead or opportunity name to open the Opportunity details page.

Left sidebar
  • Opportunities view — shows a list of opportunity rows, each with a Stage pill, an unread-message badge, and a message preview.

  • Leads view — shows expandable contact cards with an opportunity count (for example, 3 Opps) and a Closed section with Won and Lost counts. Use the Show / Hide toggle to display or collapse closed opportunities.

Timeline

The timeline displays all interactions and system events for the lead in chronological order. Use the All events dropdown to filter the timeline by a specific event type: Task, Note, Call, or Email.

The timeline shows the following event types:

  • Outbound and inbound calls, including duration, sentiment, intent, and the centre associated with the call. For AI-assisted calls, a summary of the outcome is shown below the call entry. Click View insights and transcript to review the full call transcript.

  • SMS, WhatsApp, and email messages sent to or received from the lead, with inbound and outbound direction indicators.

  • Notes, tasks, and workflow events.

  • System-generated events such as AI lead score updates.

Note

When the details page is opened from the Leads view, the timeline shows combined activity across all of that person's opportunities. When opened from the Opportunities view, it shows activity for that specific opportunity only.

AI lead score

When an AI lead score is available, it appears as a card in the timeline and is also shown in the details panel. The score card displays:

  • The overall score out of 100 and a priority label (Low, Medium, High).

  • AI Reasoning — a plain-language explanation of why the lead was scored this way, including the trigger that generated the score. Intent, Confidence, and Priority values.

  • A Signal Breakdown section showing the percentage contribution of individual signals: Explicit intent, Booking flow, Time references, Engagement depth, Contact signals, Source context, and Deferred negative.

  • The date and time the score was last updated.

If the score requires human review, a Needs Human Review banner is shown on the card.

Details panel

The details panel on the right contains four tabs: Details, Notes, Tasks, and Workflows. Details tab shows:

  • Contact details — name, phone, email, and gender. employee, creation date, last contacted date, centre, list price, and offered price.

  • Deal fields — stage, opportunity type, priority, assigned

  • Last-contacted indicator — a colour-coded pill showing recency: green (contacted within 1 day), yellow (2–5 days), red (more than 5 days).

  • Pricing and transaction — listed price, offered price, and a link to View Point of Sale (PoS).

  • Follow-ups — follow-up date, expected close date, last contacted date, and a Book appointment shortcut.

  • Additional contact details — alternate phone number and email address.

  • Lead consent message — gender consent options (Male, Female, Other).

  • Manage — a link to link or re-link the Zenoti guest account for the contact.

Notes tab displays all notes logged against the record. Click Add note to create a new note. In the Leads view, adding a note prompts you to select which opportunity the note belongs to before saving.

Tasks tab shows all tasks associated with the record. Click Add task (or use the + button at the top right of the panel and select Add Task) to create a new task. When adding a task, fill in the task type, description, due date, due time, assigned employee, and priority. In the Leads view, adding a task prompts you to select which opportunity the task belongs to before saving.

Workflows tab shows all automation instances associated with the record. Use the All, Active, and Past filters to narrow the list. In the Leads view, the tab shows instances across all of that person's opportunities. In the Opportunities view, it shows instances for that specific opportunity only.

Initiate contact from the Opportunity details page

To contact a lead directly from this page:

  1. Click Call in the top bar of the timeline to initiate a call.

  2. Click Call or Email in the action buttons at the top of the details panel.

  3. Use the Reply box at the bottom of the timeline to send an SMS or WhatsApp message.
