This document describes the new features and enhancements delivered in this release. Updates are organized by module for ease of access and to cover the changes relevant to a specific role or workflow.

Module: AI Lead Management
Business Owner, Center Manager, Administrator
Sales agents can now pause, resume, or terminate workflow instances directly from the lead or opportunity view. A workflow instance is a single run of a workflow for a specific lead or opportunity. These controls allow agents to manage workflow execution without navigating away from the record.
Business Scenario: A lead is enrolled in a follow-up workflow, but the sales agent learns that the lead has requested a callback at a later date. The agent pauses the workflow instance to prevent further automated messages from being sent. When the lead is ready to continue, the agent resumes the instance from the same step.
How to use:
Open the lead or opportunity record and locate the workflow instances in the sidesheet on the right.
Select a workflow instance from the list.
Use the filters to narrow the view: All shows every instance, Active shows running and paused instances, and Past shows completed and terminated instances. Select the action to perform on the instance.
Select Pause to temporarily stop a running instance. The instance remains in the workflow and resumes from the same step.
Select Resume to restart a paused instance from the point it was stopped. Select Terminate to permanently stop an instance. The lead or opportunity will not receive further steps from that workflow. Confirm the action when prompted. Pausing is available only for running instances. Resuming is available only for paused instances. Terminating is available for running and paused instances and cannot be undone.
If a step is in progress when an instance is paused or terminated, that step completes before the workflow stops.

Send Email and Send SMS workflow steps can now send notifications to internal staff instead of the lead or guest. The notification is sent to the employee assigned to the lead. You can also select additional employees to receive a copy of the notification. Existing workflow steps continue to send notifications to the lead or guest. The internal staff option applies only to steps where you configure it.
Business Scenario: A sales team uses workflows to follow up on leads. When a lead reaches the hot stage, the workflow sends an SMS to the assigned sales representative instead of the lead. The representative receives the notification and follows up immediately. A manager is added as a copy recipient to monitor high-value leads.
How to use:
In the workflow builder, open a Send Email or Send SMS node.
In the properties panel, under Choose recipient, select Internal Staff.
The assigned employee is set as the primary recipient automatically. To notify additional employees, turn on Send a copy to others.
Select employees from the dropdown. Selected employees appear as chips below the dropdown.
Configure the message template, then click Save.
Important
For email notifications, copy recipients are added to the CC field. For SMS notifications, each recipient receives an individual message.
If the assigned employee does not have contact details on file, the notification is not delivered to that recipient. The workflow continues to the next step regardless of delivery failure. Internal staff notifications use Zenoti SMS and email credits.

Five dashboards are available, each focused on one area of the business:
Executive Summary dashboard: overall business performance across sales, appointments, guests, and employee productivity.
Guest Insights dashboard: guest behavior, retention trends, and spending patterns.
Sales Insights dashboard: sales trends across services, products, packages, and memberships.
Appointment Insights dashboard: booking trends, utilization, and no-show performance.
Employee Insights dashboard: employee productivity and performance across operational metrics.

Service Providers, Guests, Front Desk Staff
Service providers can now order bloodwork and diagnostic lab tests for patients directly from Zenoti, through our partner Fullscript. Lab orders can be placed from a guest’s Medical Record or from the Appointment Book, and their status is tracked in Zenoti through to results, without sending patients to an outside portal.
Business Scenario: A provider wants to order a metabolic panel for a patient during their visit. Instead of sending the patient to an outside lab portal, the provider opens the patient’s Medical Record in Zenoti, adds the panel through Fullscript, and emails checkout to the patient. The patient pays from their phone, and the order moves from Drafted to In Progress to Results Ready, all visible in the patient’s Zenoti profile.
This integration is available to practices in the United States only; New York and New Jersey are not yet supported, due to state-specific regulations. Lab Orders works on the web application and the Zenoti mobile app (iPad and Android); it is not yet available on the mobile browser version.

Front desk staff can now create, edit, and copy class schedules directly from the weekly Calendar View. Right-click an empty time slot to create a schedule, or click an existing class block to edit it. Use the copy icon in the edit panel to duplicate a schedule to another date.

Module: Memberships
Business Owner, Administrator, Service Providers
Businesses can now restrict guests with suspended memberships from booking classes or purchasing new memberships. Both controls are available in a new Suspended membership access section in the following navigation: Organization level > Configurations > Memberships > Essentials.
These new settings are placed alongside the existingmembership-related redemption settings.
When the class booking restriction is on, guests are blocked from registering for classes across the Webstore and ZMA; front desk staff see an alert and can override to proceed. When the membership purchase restriction is on, guests cannot buy a new membership across all channels; front desk staff can also override from Web POS and ZMA. Both settings are off by default.

Module: MyZen
Front Desk Staff, Service Providers
On myZen, providers with the Edit appointment permission can now add timed add-ons to existing appointments. Until now, myZen supported adding only non-timed add-ons to appointments. This enhancement enables providers to select and add timed add-ons that were previously disabled for selection.
How to use:
The flow remains the same:
Select the appointment.
Go to appointment details.
Select Add-ons.
If timed add-ons are available, providers can select from the list.
If the guest has no subsequent appointment, or the provider has permission to be double-booked at the same time, timed add-ons can be added immediately. The same applies when the provider has no subsequent appointment.
If the guest has a subsequent appointment, or the provider's settings do not allow double-booking at the same time, the provider goes to the Edit appointment flow to select an appropriate time slot. The timed add-on cannot be added within the original appointment time.

Front Desk Staff, Service Providers
The guest feedback tile on the MyZen home screen can now be configured to display at all times, not just at the end of the day. When the new Always show guest feedback tile setting is enabled, service providers see the feedback tile throughout the day. The tile shows both the current day's feedback and the 30-day average rating, a continuous, at-a-glance view of provider performance. Selecting the tile retains the existing experience of browsing individual guest-level feedback from the last 30 days. This setting works alongside existing feedback visibility controls, so businesses retain full flexibility over what feedback information is surfaced to providers.

Module: Photo Manager
Business Owner, Administrator, Service Providers
Zenoti now provides the All patient gallery, a single organization-wide view of every patient's photos, PDFs, and videos across all centers. The gallery groups media by appointment date and then by patient, supports filters for provider, center, patient, treatment, tags, body area, file type, and date range, and lets staff add images to the marketing gallery or compare images side by side.
Business Scenario: A multi-location medical spa can review a patient's treatment history across centers, or pull every photo tagged with a specific treatment for a campaign, without opening each patient profile one at a time.
Note
The All patient gallery is gated and turned off by default. Contact your Zenoti representative to enable it.
