Book Appointments Using the Booking Wizard in HyperConnect

You can book an appointment for a guest directly from HyperConnect using the Booking Wizard, without switching to a different application. The Booking Wizard opens inline with the guest's profile already populated, so agents can complete a booking during or after a call, message, or voicemail without losing context.

Before you begin:

  • Ensure the Booking Wizard is enabled for your organization.

  • Ensure guest family relationships are configured in Zenoti before using Family booking. 

  • The Quick Book Popular Appointments feature requires sufficient booking history. New guests will not see suggestions for their first few visits.

How to use 

  1. From any HyperConnect conversation, call, message, or voicemail, click the booking icon.

    The Booking Wizard opens with the guest's profile already populated.

  2. Select Single booking or Family booking.

    For family booking, enter the family name and member count. All bookings in the flow are linked together.

  3. Review the left column for guest context: profile, contact information, tags, and the Appointment and Notes tabs.

    Upcoming appointments appear with inline Update links.

  4. In the middle column, find the service. Search the catalog or select from Top services.

    Each tile displays the price, duration, and credit cost for package members.

    Click + to add the service to the booking.

  5. To book multiple services in one appointment, click + Multiple Services and choose from the Categories, Sub-Categories, and Services columns.

    Switch between the Services and Day Packages tabs as needed.

  6. Click View Provider.

    Each provider shows a live openings percentage for the selected date, for example, Open 11% or Open 4%.

    Select the provider with the best availability or the one the guest requested.

  7. In the right column, use the visual time picker to select a slot.

    Filter by time band using the morning, afternoon, and evening icons.

    Toggle booked or past times on or off as needed. Click a slot to reserve it.

  8. Configure per-service options inline: select the Specific Request checkbox if applicable, choose a room (Any room or a specific room), and add any Add-ons.

    Set an Appointment Category if needed, for example, Double Station, Founders, Home Service, or VIP.

  9. Click Review.

    A 5-minute countdown begins, holding the selected slot while you review all booking details.

    If automated notifications should be suppressed for this booking, for example for an internal slot correction, adjust the Confirmation Settings toggle.

  10. Click Book.

    The appointment is saved to the guest's record and appears in the conversation thread automatically.

Note

  • If the guest's email is invalid or missing, a warning appears at the bottom of the Booking Wizard: "Email of the guest is invalid. Please collect the correct Email from the guest." You can still complete the booking and update the email separately from the guest's profile.

  • The Profile and Notes links in the wizard let you view the guest's full profile or add internal notes without leaving the booking flow.

  • If a Due Amount is shown against the guest's name, it indicates an outstanding balance on the guest's account.

  • The 5-minute countdown on the Review screen is firm. If a receptionist is interrupted mid-booking, the slot reservation will expire, and the slot must be selected again.

  • The New Booking Experience toggle allows agents to switch between the previous and new Booking Wizard during the transition period. Your administrator controls when the new experience becomes the default.

  • The Booking Wizard supports four booking types: Single booking, Family booking, Surprise booking, and Couples booking. Select the booking type from the dropdown at the top of the wizard or click Change booking type to switch mid-flow.

  • Provider availability is displayed as a live percentage (for example, Open 11%, Open 4%) for the selected date. Higher percentages indicate more open time slots.

  • The Quick Book Popular Appointments option at the top of the service catalog shows the guest’s most-booked services for one-click rebooking.
