Request balance transfer for a deceased employee's myZen Tips Wallet

We understand that handling administrative responsibilities following the loss of an employee is a difficult and sensitive task. This article walks you through what to do, what documents to prepare, and what you can expect from our team at every step. 

Who can initiate this request?

This request must be initiated by an authorized representative of the business, typically an HR administrator or manager with authority to act on behalf of the employee's account. The entire procedure is covered step by step in the section below.

Step 1: Contact Zenoti Support 

Reach out to the Zenoti Support team to report the deceased account holder by emailing:  support@zenoti.com 

A support representative will acknowledge your request and connect you with the relevant internal team, who will manage the case from there.

You will receive an acknowledgement on the same business day your request is received. 

Step 2: Gather the required documents 

To begin processing the balance transfer, you will need to provide the following: 

Document 

Details 

Death Certificate 

An official copy. 

Beneficiary Shipping Address 

The full mailing address where the check should be delivered. 

Estate Documentation 

Additional documentation may be required (e.g., a small estate affidavit, letters testamentary, or a court order). Requirements vary by state and will be confirmed by the banking partner after reviewing the case; the Zenoti team will follow up with exactly what is needed. 

You can share the Death Certificate and Beneficiary Shipping Address right away. The team will coordinate with the banking partner and follow up with you on any estate documentation requirements. 

Step 3: Zenoti Coordinates with the Banking Partner 

Once your initial documents are received, Zenoti team will share the relevant details with the banking partner on your behalf. You do not need to contact the bank directly. The banking partner will review the case and confirm: 

  • Whether any additional estate documentation is required 

  • Authorization to proceed with disbursement

Banking partner review typically takes 2–5 business days, depending on the documentation provided and applicable state requirements. 

 Step 4: Check issuance and delivery 

Once all documentation is verified and authorization is confirmed, the banking partner will issue a cashier's check made out to the named beneficiary at the shipping address you provided. A few things to consider: 

  • Balance details will be confirmed and shared with you once the banking partner has verified authorization. This step ensures funds are released only to the appropriate recipient. 

  • The check is typically issued within 1–2 business days of final approval. 

  • Delivery generally takes 2–5 business days from the date of issuance. 

Zenoti Support team will reach out to let you know once the check has been issued.

Step 5: Confirm Receipt 

After the expected delivery window, a Zenoti Support representative will follow up to confirm that the check has been received. Please don't hesitate to reach out before then if you have any questions or concerns.

  • Q: Can we receive the funds electronically instead of by check? 

    A: At this time, disbursements for deceased account holders are made exclusively by cashier's check to the beneficiary's mailing address. 

  • Q: Can you tell us the current balance on the account? 

    A: Balance details will be shared once our banking partner confirms that the appropriate authorization is in place. This step protects the estate and ensures funds are released to the right recipient. 

  • Q: What if we're unsure what estate documents are required? 

    A: You don't need to determine this upfront. Our team will confirm with the banking partner based on the specific circumstances of the case and your state's requirements, and will let you know exactly what is needed. 

  • Q: What if we haven't heard back within the expected timeframe? 

    A: If you haven't received an update within the expected window, please contact your Zenoti Support representative or Customer Success Manager directly and they will follow up on your behalf. 

  • Q: The deceased employee's family is asking for information — what should we tell them? 

    A: We recommend directing any family inquiries to your HR team or legal counsel. Zenoti communicates directly with the authorized business representative throughout this process.
