Configure membership freeze reasons

Freeze Reasons let organizations define named reasons for pausing a membership, for example, vacation, medical leave, injury, or relocation. Each reason allows configuration of per-center business rules like:

  • Freeze fee — what to charge the member for this type of freeze

  • Default freeze duration — how many days or months the membership can remain frozen under this reason

  • Override options — up to 3 predefined durations that staff can offer a member

Prerequisites

  • Role: Any role with access to the Administrator mode

  • Permissions: No special permissions required

To create a freeze reason, follow these instructions:

  1. At the organization level, click the Configurations icon.

  2. Search for Freeze reasons in the Memberships section.

  3. Click Add to create a new reason.

  4. Add a name and description.

  5. To make the reason available for usage, select the Active checkbox.

    To make the reason available on the Webstore, select the Show in catalog checkbox.

  6. Click Next.

  7. On the Centers tab, select the checkbox next to the center name to choose the center where you want to apply this freeze reason.

  8. Enter the applicable Freeze Fee for this reason. 

  9. In the Default Duration column, enter the number of days or months a membership remains frozen when this freeze reason is selected.

  10. Use the Override Options column to provide up to three alternative durations (in days or months) that staff can offer a member to shorten the freeze period.

  11. Click Finish.

Points to consider

  • When control of unfreeze dates based on freeze reasons is enabled at the organization level, the selected centers will automatically populate freeze duration and override options when a user attempts to freeze a membership, provided the freeze reason is configured as freeze fee in the membership settings.
