Access Deleted Invoices in Zenoti

This article explains how to view details, audit metadata, and investigate recovery possibilities for deleted invoices in Zenoti.

Overview

Deleted invoices in Zenoti are not permanently erased. Zenoti retains deleted invoices and makes them accessible through specific reports and logs, allowing administrators to audit deletion activity, verify associated payments or notes, and investigate recovery possibilities. Understanding how to access and interpret this data helps maintain accurate records and supports business accountability.

Prerequisites

  • Access to the Reports section in Zenoti.

  • Appropriate role permissions to view deleted invoices and audit logs. Verify user permissions before proceeding, as visibility depends on role settings in Zenoti.

  • The Invoice Logs report must be enabled in your organization's settings before use.

Instructions

Use the Invoice Sales Report

The Invoice Sales Report displays deleted invoices along with associated information such as transactions and payments.

  1. Navigate to Reports > Invoice Sales Report.

  2. Specify the required filters, including date range and status.

  3. Select Deleted from the status filter.

  4. Click Refresh to generate the report.

  5. Click the invoice number to access further details on the Invoice Payment screen.

  6. On the Invoice Payment screen, click the Refund icon to view all related transactions.

Note: Zenoti does not display deleted invoices or their transaction details in the guest profile.

Verify Metadata for Deleted Invoices

To verify whether payments or notes are associated with a deleted invoice:

  1. Open the Invoice Logs report and set the appropriate date filters.

  2. Click the invoice hyperlink to view associated metadata, such as payments or additional remarks.

Enable the Invoice Logs Report

The Invoice Logs report provides visibility into who deleted an invoice and when the action occurred. To access the audit trail:

  1. Navigate to Configuration > Reports.

  2. Open List of Reports.

  3. Expand Reports v1.

  4. Under Sales, enable the Invoice Logs report.

  5. Use the report to track deletion activity, including the user and timestamp for each deleted invoice.
