Class Certificates

Certificates recognize student achievement for completing a class or reaching a milestone. Zenoti supports a flexible certificate framework that lets you create certificates at the organization level and associate them with specific class definitions or award them directly to individual students. The feature must be enabled at the organization level before it becomes available.

There are two certificate types: Class certificates, which are linked to a class definition and awarded upon completion, and Guest certificates, which are issued directly to a student’s profile for milestone recognition independent of any specific class.

Before You Begin

Verify the following before working with certificates:

  • Enable Class Certificates for your business or organization. If it is not active, the certificates option does not appear in the Fitness Setup menu. Contact your Zenoti Administrator to enable it.

  • User role permissions: Your staff must have Add or Edit permission under Classes, and the Dashboard permission must also be enabled. Both are required security role permissions.  Without the Dashboard access,  the entire Setup menu (including Certificates) is hidden.

  • Organization-level access: Certificate operations are performed from the organizational view. You must switch to the organization view before navigating to Fitness > Setup > Certificates.

How Certificates Work

Certificates in Zenoti are organization-level records. You define a certificate once and then link it to a class or issue it directly to a student. The certificate type determines how it is awarded.

Class

Associated with a class definition. The certificate is tied to the class and awarded when a student completes that class (or a configured number of sessions). Only Class-type certificates can be linked to a class definition.

Guest

Issued directly to a student’s profile, independent of a specific class. Used for manual milestone recognition or awards not tied to class completion. Guest-type certificates are issued from the student’s guest profile.

Enable class certificates

Before you can create or manage certificates, the feature must be enabled at the organization level. This is a one-time setup step performed by a center manager or administrator before certificates can be created or assigned to classes.

  1. At the organization level, select Configurations.

  2. Navigate to the Fitness section.

  3. Select General setup, then select Miscellaneous.

  4. Locate Enable class certifications and turn the toggle on.

  5. Click Save.

Note

Once the toggle is on, the Certificates page shows No data found until the first certificate is created.

Create class certificates

The Certificates page is the central place to manage all certificates in your organization. Certificates are recognition records that can be associated with classes to acknowledge student achievement. Every certificate you create at the organization level becomes available across your centers and can be linked to any class from the class record. The page displays all existing certificates in a list, showing the certificate name, display name, and description for each record.

  1. At the organization level, select Fitness.

  2. Navigate to Certificates.

  3. Click + Certificate.

  4. On the Create certificate page, complete the Certificate Details fields.

  5. Click Add.

Description

Certificate name

Enter a unique name for the certificate (for example, Advanced Yoga Completion). This is the internal name used in the Certificates list.

Display name

Enter the name shown to students and on the certificate record.

Certificate code

Enter a unique alphanumeric code used to identify the certificate in reports and integrations.

Description

(Optional) Enter a brief description of what the certificate represents.

Certificate type

Select one of the following:

  • Class — Link the certificate to a class definition. Awarded when a student completes the class.

  • Guest — Issue directly to a student’s profile. Used for milestone recognition.

Modify certificates

Edit a Certificate
  1. Switch to the organization view.

  2. Click the Fitness icon. Under Setup, select Certificates.

  3. Locate the certificate in the list.

  4. Click Edit.

  5. Make your changes and click Save.

Delete a Certificate
  1. Switch to the organization view.

  2. Click the Fitness icon. Under Setup, select Certificates.

  3. Locate the certificate in the list.

  4. Click Delete and confirm the deletion.

Important

Deleting a certificate permanently removes it from Zenoti. If the certificate is currently associated with any classes or student profiles, review and update those associations before deleting.

Associate certificates with a class

After creating a Class-type certificate, link it to the class that triggers the award. Only Class-type certificates can be linked to a class.

  1. At the organization level, click the Fitness icon. 

  2. Under Resources, select Classes.

  3. Open the class you want to configure.

  4. Navigate to the certificate settings section on the class detail page.

  5. Select the certificate to associate with this class.

  6. Click Save.

Important

Guest-type certificates cannot be linked to a class definition. They are issued directly from the student’s guest profile. See the “Issue a Certificate to a Student” section below.

  1. Open the student’s guest profile.

  2. Navigate to the Certificates section of the profile.

  3. Click Add certificate.

  4. Select the certificate from the list.

  5. Click Save.

Issue a certificate to a student

You can manually issue a Guest-type certificate to a specific student from their guest profile. This is used for milestone recognition or awards that are not tied to class completion.

  1. Open the student’s guest profile.

  2. Navigate to the Certificates section of the profile.

  3. Click Add certificate.

  4. Select the certificate from the list.

  5. Click Save.
