Access Payroll Tax Documents in Zenoti Integrated Payroll (ZIP)

This article explains how to access quarterly and annual employer tax documents - such as Form 941 and Form 940 - in Zenoti Integrated Payroll (ZIP). You can only view documents if Zenoti filed payroll taxes on your behalf for that period. This article also outlines document availability, ownership, and limitations.

Overview

Zenoti Integrated Payroll (ZIP) allows you to access employer-level tax documents—such as quarterly and annual federal and state filings—directly from your payroll dashboard. You can download any tax documents that Zenoti has submitted on your organization's behalf.

With ZIP, you can:

  • Stay compliant with tax regulations

  • Keep accurate records for audits and reporting

  • Manage payroll filings without relying on external providers

This article shows you where to find tax documents, when they become available, and which filings are included.

Access tax documents

Follow these steps to locate and download tax forms filed by Zenoti:

  1. Navigate to Configuration > Employee > Zenoti Integrated Payroll.

  2. Open Payroll Settings.

  3. Click the Settings icon in the upper-right corner of the ZIP dashboard (beside the Off-cycle Payroll button).

  4. Select a Business Entity.

    A list of businesses enrolled in ZIP appears.

  5. Click View Details for the relevant business.

  6. Open the Tax Documents Tab, on the business detail page.

    All available quarterly or annual tax documents appear on this page.

  7. Click Download to download a document.

Note

Tax documents display only if Zenoti filed for that business during the selected period.

Examples of tax forms filed by Zenoti

Zenoti files employer-level tax forms based on your business location. Some examples include:

Federal forms:
  • Form 941 – Employer’s Quarterly Federal Tax Return 

  • Form 940 – Annual Federal Unemployment (FUTA) Tax Return

State specific forms:
  • Form DE 9 / DE 9C – California

  • MA PFML – Massachusetts Paid Family and Medical Leave

  • NYS-45 – New York

  • TX C-3 – Texas

  • IL UI-3/40 – Illinois

Key considerations

  • Tax document availability 

    Quarterly and annual tax documents are available in the Tax Documents tab within the first two weeks after the end of each quarter or calendar year.

  • ZIP-only filings 

    Documents are available only for periods Zenoti processed payroll and filed taxes. You will not see documents from external or previous providers.

  • Historical records 

    Zenoti does not migrate tax forms filed by previous payroll providers. You must retrieve and store those records independently. Contact your prior provider if needed—fees may apply.

Frequently asked questions

Q. Why don’t I see tax documents for a specific quarter? 

A. Only forms filed by Zenoti appear in ZIP. If another provider handled payroll that quarter, the documents will not be visible here.

Q. How soon are tax forms available after quarter/year-end? 

A. Tax documents are posted to the Tax Documents tab within two weeks of quarter-end (Forms such as 941and DE 9) or year-end (Forms such as 940, annual state filings).

Q. Can Zenoti retrieve filings from our previous provider?

A. No. You must contact your previous provider for past documents. They may charge a retrieval fee.

Q. Who has access to view tax documents in Zenoti? 

A. Only users with appropriate permissions for the ZIP settings and payroll access can view or download documents. Contact your Zenoti Admin for access.

Q. Can Zenoti correct or amend a tax form if there’s an error? 

A. Yes. If you notice an error in a Zenoti-filed return, email payrolloperations@zenoti.com with required details.
