Manage Invoices that Include Membership or Product Deletions
Managing invoices in Zenoti often involves handling membership deletions, editing line items, and resolving payment-related restrictions. This article outlines common scenarios and provides step-by-step instructions to help you edit invoices effectively while remaining compliant with financial policies.
Manage membership deletions from invoices
If you want to delete a membership from an invoice, follow these steps:
Reopen the invoice and click the edit icon.
Review the invoices to see if membership credits (for services or product discounts) have been redeemed.
Remove any service credit redemptions from the invoices first.
After all related redemptions are cleared, the option to delete the membership will appear in the original invoice.
Considerations
If you do not have the required permissions, contact your manager or owner. You may need to activate Manage Membership Dunning Invoices for your role to allow deletion.
Confirm compliance with your organization’s financial policies before deleting items from invoices.
Invoices older than 9 days are typically restricted by Zenoti’s Lock Financial Data setting, that prevents editing or deletion. If you cannot delete such invoices even after adjustments, contact your Zenoti representative or your corporate team for support.
Manage product or service deletions in paid invoices
If payment has already been processed, you may face restrictions when trying to delete products or services.
Zenoti does not allow deletion of line items once payment is processed. At least one item must remain in the invoice (for example, gift cards).
Contact your corporate team or equivalent authority to discuss possible workarounds.
Manage unsuccessful or unlinked invoices
In some cases, invoices may remain unsuccessful or become unlinked from payments. This may occur due to, failed payment gateway transactions, sync issues between invoices and payment records, or backend restrictions that block editing.
Reopen the invoice and attempt to reprocess payment.
If the invoice cannot be linked to a payment, escalate to your corporate or finance team for resolution.
