As part of entering general information for new employees, you must enter employee preferences in the employee profile.

Follow these guidelines to enter preferences:

Culture

Select the culture of the employee from the list. The region you select impacts how the dates appear on the Appointment Book.

Example:

  • Suppose you select English - United States, the date is displayed in mm-dd-yyyy format. For example, 22 November 2016 is displayed as 11-22-2016.

  • Spanish - Argentina, the date appears as 22-11-2016 (dd-mm-yyyy format)

  • Chinese - China, the date appears as 2016-11-22 (yyyy-mm-dd format)

Search Tag

Enter any keywords or tags for this employee. These tags help front-desk staff while searching for employees.

Example:

senior, junior, massage, facial, manicure, pedicure, stylist, dietician.

Receive Marketing Emails

If this option is selected, employees receive marketing emails.

Receive Transactional Emails

If this option is selected, employees receive transactional emails such as information related to appointments that the employee needs to keep.

Receive Marketing Text Messages (SMS)

Select this option if you want the employee to get marketing-related text messages (SMS).

Receive Transactional Messages (SMS)

Select this option if you want the employee to get transactional text messages (SMS).

Receive Daily Reports

Select this option if the employee is a manager and should receive daily reports.

Known Issue:

If an employee is a manager or supervisor for two locations or centers, the employee may not receive the daily reports from both centers.

Workaround:

In such cases, ensure that the employee has the Owner, Manager, Supervisor, or Administrator role at the org level - once this is done, the employee will receive the daily reports from multiple centers.

Receive Register Closure Report

Select this option if the employee is a manager or supervisor and should receive the Register Closure report.

Waive biometric Check In

If your organization uses biometric devices to authenticate and check in employees, select this checkbox to waive such check-ins.

Example:

An employee may have suffered an injury on her fingers (fingerprinting becoming difficult) or may suffer from an eye infection (making iris printing difficult or uneasy). In such cases, the employee's biometric check-in may be waived.

Access Manager Mobile Application

Select this checkbox if you want the employee to access the Manager mobile app.

Employees use the same credentials (username and password defined under the Login Info section) to log into the Manager mobile app. If employees have access to the customer mobile app, they can log in using the same credentials.

Access Employee Mobile Application

Select this checkbox if you want the employee to access the Employee mobile app.

Employees use the same credentials (username and password defined under the Login Info section) to log into the Manager mobile app. If employees have access to the customer mobile app, they can log in using the same credentials.

Access Code

Enter an access code if you want to lock the Employee and Manager apps automatically after a guest submits the feedback form. This way, guests do not gain access to other screens in the apps. Employees must unlock the apps using the Access Code to continue to use.

Keyword

Enter any relevant keywords for the employee.

Example:

Stylist, Massage specialist, Senior therapist.

Allow Access to Analytics

Select the required option based on the access you want the employee to have to the Analytics module

  • None: No access to the Analytics module

  • Reader Access: Read-only access to Analytics dashboards

  • Publisher Access: Ability to build, edit, and publish new Analytics dashboards.

Important: Ensure that the email ID mentioned in the employee profile is valid and current.

Notes:

  • It might take up to 24 hours to update access levels and receive the email with login details (for publisher access).

  • For Publisher Access, an automated email with details of login credentials and the Analytics platform URL is sent to the employee. The employee has to reset the password on the first login. It might take up to 24 hours for the employee to receive the email.

Allow Prescription Signing

Select this checkbox if the employee is someone with medical knowledge and can sign prescriptions.

Additional Field 1, Additional Field 2

Use these fields for any additional information you want to record for the employee, such as their state license number.

If an administrator has set up labels for these fields at the organizational level, such as State License/Certification Number and DEA Registration Number, you will see these configured field labels here instead. Learn more: Configure Additional Details for Providers.

Additional Date Field 1, Additional Date Field 2

Use these fields to track specific dates such as the expiry date of a provider’s license/certification or insurance.

If an administrator has set up labels for these fields at the organizational level, such as State License Expiry Date and DEA Registration Expiry Date, you will see these configured field labels here instead. Learn more: Configure Additional Details for Providers.

Send confirmation email/text to guests for appointments scheduled for this employee

Select this checkbox if you want to send confirmation emails and texts to guests for appointments scheduled for them under this employee's name.

You won't see this option if:

  • your business went live on Zenoti with the August 2021 release

  • your business was live by the August 2021 release and you had this setting enabled for all employees
