What are pre-care and post-care instructions?

Services such as botox treatment or tattoo removal require guests to take specific measures before and after the procedure. These may include dietary changes or restrictions on the usage of cosmetics.

Usually, businesses send out checklists to guests detailing all these measures. This is mostly done in the form of printed instructions or email campaigns.

To make this more convenient for businesses, Zenoti now allows you to add pre-care, post-care, and general instructions to your appointment confirmation, reminder, and other email notifications so that instructions can be immediately sent out after appointments are booked and serviced.

This is a 3-step process and involves the following:

  1. Create care instructions

  2. Associate instructions to services

  3. Add instructions as macros to notifications

Before you begin

Ensure you enable the following:

  • Org level setting:

    • Navigate to Admin > Organization > Organizations > Settings.

    • Expand the General section.

    • Select the Enable Pre & Post Care Instructions check box.

    • Click Save.

  • Role permissions:

    • Navigate to Admin > Organization > Security Roles > < Job Name > > Permissions.

    • Expand the Administrator section.

    • Locate Pre-care & Post-care Instructions role permission and enable the following settings:

      • Add: Allows the user to add the pre-care instructions to the email templates.

      • Edit: Allows the user to edit the pre-care instructions.

    • Click Save.

Step 1: Create care instructions

  1. At the organization level, click the Admin icon.

  2. Navigate to Resources > Pre and Post Care Instructions.

  3. Click Add.

  4. Under General, enter the following:

    1. Name: Enter a name for the care instruction.

    2. Code: Enter a code for the care instruction.

    3. Description: Enter a brief description of care instruction. For example, Pre-care instruction for Botox treatment.

    4. Instruction Type: Select any one of the following:

      1. Pre care: Select this option if the instructions are pre-care.

      2. Post care: Select this option if the instructions are post-care.

      3. General: Select this option if the instructions are generic in nature.

    5. Instructions: Use the editor to create a set of instructions. You can also paste HTML content inside the editor.
      Note: You can add images, links, and formatted text to instructions

  5. Click Next.

Instructions get expanded within the content of confirmation, reminder, and other email notifications. Ensure that the formatting of text such as font type, font size, etc. is consistent with email notification templates and instructions.

Step 2: Associate instructions to services

  1. Under the Services section, select the services for which you are creating these instructions.

  2. Click Save.

You can also associate pre-care and post-care instructions at the service level.

  1. At the organization level, click the Admin icon.

  2. Navigate to Resources > Services.

  3. Select the desired service.

  4. In the General section, add the instructions from the relevant drop-down lists.

Step 3: Add instructions as macros to email notifications

After creating the instructions and associating them with services, you can now proceed to add them to your email notifications.

Instructions are supported only in the following email notification templates:

  • Appointment confirmation

  • Appointment reschedule

  • Thank you mail

  • First appointment reminder

  • Second appointment reminder

  • Online booking confirmation

  • Group confirmation

  1. At the organization level, click the Admin icon.

  2. Navigate to Organization > Organizations.

  3. Go to the Email/Text tab.

  4. In the Available Macros section, locate the following macros:

    1. [PreCareInstructions]

    2. [PostCareInstructions]

    3. [GeneralInstructions]

  5. Based on your requirement, add the relevant instruction macros to your email template. When notifications are sent out, Zenoti will get the list of services that are part of the appointment, check for the instructions that are associated with the services, and add the corresponding instructions to the email notification.

  6. Click Save.


  • If the appointment has 2 services and both are associated with different instructions, both instructions will get appended in the email notification.

  • If the appointment has 2 services and both are associated with the same instruction, the instruction will get added to the email notification. Zenoti will ensure that the same instruction is not duplicated.

  • In case you are sending instructions through email campaigns as of now, do remember to turn them off after you set up instructions as described above. This is important to ensure that your guests don’t get repetitive emails.
