The following table describes all the permissions available to manage the marketing functions at your organization such as campaigns, packages, discounts, memberships, and target segments. You can configure these permissions for any role in your organization.

  2. Navigate to Organization > Security Roles.

  3. Select the desired employee role.

  4. Go to the Permissions tab.

  5. Expand Marketing Manager.

Description

Campaigns

Marketing campaigns in Zenoti are a combination of a discount, cash back, or loyalty points offer associated with a particular target segment. Read: Campaigns in Zenoti

You can control the following permissions for Campaigns (includes the following campaign types: email\text message campaigns, media campaign, and custom coupons):

  • Add: Select this checkbox to permit a person to be able to add or create campaigns. Using this permission, center managers can also add their center to a campaign that has been created at the organization level.

  • Edit: Select this checkbox to permit a person to be able to edit campaigns. Note that the edit permission does not include the ability to send the campaign. Using this permission, center managers can also add or remove their center from a campaign that has been created at the organization level.

  • Delete: Select this checkbox to permit a person to be able to delete campaigns.

  • View: Select this checkbox to permit a person to be able to only view campaigns. Such a person cannot create, edit, send, or delete a campaign.

  • Send/Schedule Campaign: Select this checkbox to permit a person to be able to schedule and send campaigns.
    Controlling permissions to this level is especially useful in cases where centers want to create their own campaigns and where the organization (or the corporate) can approve the campaign and send it.
    Note: By default, Zenoti enables this permission for the Owner role.
    Important: If a person has the Add and Edit permission but does not have the Send/Schedule Campaign permission, then after creating a campaign, such a person can only save and close the campaign – such a person cannot send or schedule the campaign. The following settings appear here:

    • Send/Schedule SMS Campaigns: A user with this permission can send or schedule SMS campaigns to guests.

    • Create Notes Campaigns: A user with this permission can create note campaigns.

    • Send/Schedule Email Campaigns: A user with this permission can send or schedule email campaigns to the guests.

    • Send/Schedule Push Campaigns: A user with this permission can send or schedule push message campaigns to guests.

    • Send/Schedule Opportunities Campaigns: A user with this permission can send or schedule opportunity campaigns.

    • Send/Schedule Notes Campaigns: A user with this permission can send or schedule notes campaigns to guests.

CustomPackage

Front desk staff use custom package templates to create packages on the fly according to a customer’s need. For example, the front desk could create a slimming package based on the customer’s weight goal.

You can control the following permissions for Custom Packages:

  • Create: A user with this permission can create a new custom package for a guest.

  • Edit: A user with this permission can edit a custom package that was previously purchased by the guest.
    Once a guest has purchased a custom package, you can edit it from the appointment book if the guest wants to add more services. You can also change the expiration date, and center in the custom package.

Discounts

A discount is a reduction in the basic price of any goods or services. In Zenoti you could create a discount for services, products, memberships or packages.

You can control the following permissions for Discounts:

  • Add: A user with this permission can create and define a new discount.

  • Edit: A user with this permission can edit the details of an existing discount.

  • Delete: A user with this permission can delete a discount already created.

Export_Marketing

A user with this permission can export the marketing data in Zenoti.

Gift Card Promotions

Businesses can configure gift card promotions that allow them to offer bonus gift cards on the purchase of a regular gift card.

  • Add: A user with this permission can add a gift card promotion.

  • Edit: A user with this permission can edit a gift card promotion.

  • Delete: A user with this permission can delete the gift card promotion.

Memberships

Zenoti offers the flexibility to set up many different types of memberships, with varied payment options, benefits, and schedules. Read: Create a Membership

You can control the following permissions for Memberships (includes both recurring and .non-recurring membership types):

  • Add: A user with this permission can set up a new membership.

  • Edit: A user with this permission can edit the details of an existing membership.

  • Delete: A user with this permission can delete a membership.

  • Extend: A user with this permission can extend the expiration date for membership from the guest’s profile. Read: Changing a Guest’s Membership Expiry Date

  • Refund: A user with this permission can refund a full membership fee or setup fee with cash, credit card, check, custom, or a combination of these. Read: Understanding Membership Refunds

  • Freeze: A user with this permission can freeze a membership to stop the collections on it until it is unfrozen. Read: Freeze a Guest’s Memberships

  • Cancel: A user with this permission can cancel a guest’s membership from the guest’s profile. Read: Cancel a Guest’s Membership

  • Waive: A user with this permission can waive membership charges that are scheduled for a future date. Read: Waive a Membership Charge

  • Excess Refund: A user with this permission can refund more than the membership balance.

  • Update credit value: A user with this permission can edit a membership balance from the guest’s profile. Read: Increase Membership Credit Value

  • Update freeze fee: A user with this permission can edit the one-time fee or a recurring fee charged to freeze memberships.

  • Skip Lock In Period Check: A user with this permission can cancel a membership before the lock-in period ends.
    Note: A lock-in period refers to the number of payments that the guest needs to complete before they can cancel the membership.

  • Allow redemption post expiry: A user with this permission can allow the guest to redeem the services of membership even after its expiry.

  • Authorize Redemption Post Expiry/Cancellation: A user with this permission can authorize the redemption of membership credits after the cancellation or expiration of the membership.

  • Transfer credits: A user with this permission can transfer the credits of guest to another guest.

  • Reinstate: A user with this permission can reinstate a guest's expired membership.

  • Edit grace period end date: A user with this permission can edit the grace period for the expiration of the guest's membership.

View Marketing Reports

You can enable or disable the permission to view any or all of the following Marketing reports:

  • Effectiveness

  • Guests

  • Memberships

  • Prepaid Cards

  • Packages

  • Loyalty points

  • Redemptions

  • Gift Cards

TargetSegment

Target segments group guests based on buying patterns and preferences, which determine what offers would be relevant and successful for them. You could also create custom segments based on demography, membership, spending, or visits. This, in turn, can be used to create targeted campaigns and custom coupons.

You can control the following permissions for Target Segments:

  • View: A user with this permission can only view the details of a custom target segment and restricts adding, editing, or deleting.

  • Add: A user with this permission can create and define a custom target segment. Read: Creating a Custom Target Segment

  • Edit: A user with this permission can edit the details of a custom target segment.

  • Delete: A user with this permission can target a segment. Read: Deleting a Target Segment

  • Export: A user with this permission can export the guest list of a target segment using the Excel, CSV, or PDF options.

  • View Guests List: A user with this permission can view the list of guests in a target segment.
