The following table describes all the permissions available to manage guest information. You can configure these permissions for any role in your organization.

  1. At the organization level, click the Admin icon.

  2. Navigate to Organization > Security Roles.

  3. Select the desired employee role.

  4. Go to the Permissions tab.

  5. Expand Guest Manager.

GuestCustomData

A Guest Custom Data form helps capture essential guest details beyond the regular details when creating a new guest profile. Typically, these forms are created to record a guest’s medical condition or to create a regular guest sign-up form.

You can control the following permissions for accessing the Guest Custom Data form:

  • View: This allows viewing the guest's custom data form from the guest profile or Appointment Book. You cannot edit or save a version of the form.

  • Edit: This allows viewing and editing of the guest custom data form from the guest profile or Appointment Book.

Guests

You can control the following permissions for Guests:

  • Add: This allows adding a new guest record by navigating to Loyalty icon > Guest > Manage Guest.

  • Edit: This allows editing an existing guest record by navigating to the Loyalty icon > Guest > Manage Guest.
    Note: If this permission is disabled, one can only view the basic guest details on the Manage Guests page, but, cannot click the guest’s name to view or edit any details.

  • Delete: This allows deleting a guest record by navigating to the Loyalty icon > Guest > Manage Guest. Read: Delete Invalid Guest Accounts.
    Note: Once you delete a guest’s record, you cannot “Merge” duplicate records of the same guest later.

  • Merge: This allows merging of two guest profiles. This can be done from Appointment Book (Appointment Info panel) and from the Manage Duplicates page (Loyalty icon > Guest > Manage Duplicates). Read: Merge Duplicate Guest Accounts Using Auto Search.

  • ViewPrivate: This allows viewing any notes or alerts marked as Private. These alerts display at the time of booking an appointment.
    Note: You must select View Private, View Private 2, and View Private 3 role permissions. Read: Configure role permissions for private guest notes.

  • DeleteNotes: This allows deleting the notes created for the guest from the guest profile.

  • Edit Email: This allows editing the email address of the guest from the guest profile or from the Loyalty icon > Guest > Manage Guest.

  • Edit Mobile: This allows editing the mobile number of the guest from the guest profile or from the Loyalty icon > Guest > Manage Guest.

  • Manage Relationships: This allows you to create and edit relationships between two guests. You can link two guest profiles based on their relationship. Relationships in Zenoti allow two guests to share a single payment account.

  • Assign Relationships: This allows you to assign a relationship between two guests.

  • Edit Username: This allows editing the guest’s username from the guest profile or from the Loyalty icon > Guest > Manage Guest.

  • Edit Customer ID: This allows editing the customer ID number assigned to the guest from the guest profile or from the Loyalty icon > Guest > Manage Guest.

  • Change loyalty opt-in preference: This allows opting a guest into the loyalty program.
    If enabled, allows an employee to select the Opt into loyalty program checkbox from the guest profile.

  • Direct enrolment into Tier: This allows you to enroll a guest directly into the highest tier of your loyalty program. By default, guests can only enter the highest tier of the loyalty program based on the amount spent. But use this permission to enroll high-spending guests who are not currently in a loyalty program directly into the highest tier.

  • Extend Expiry: This allows you to extend the expiry date of the guest's loyalty points. Use this permission to extend the expiry date from the guest’s profile.

  • Add Loyalty Points: This allows you to manually add loyalty points to the guest's profile. You must select the appropriate reason when manually adding the loyalty points.

  • Mask guest contact: This allows you to mask the guest contact information on Appointment Book, Booking Panel, Booking Wizard, Point of Sale, and Guest Profile.
    Note: This role permission masks the guest details on Zenoti Web only. Providers and front-desk staff can still see the guest contact information on Zenoti Mobile. To mask the guest information on Zenoti Mobile, see how to mask guest details on Zenoti Mobile.
