Guest privacy for businesses is of the utmost importance; for this very reason, a business should be able to control the visibility of certain guest notes from service providers and other employees.

Canadian law also requires guest treatment information to be private to providers. For example, in Canada, a front-desk staff should not be able to see the notes for a guest created by a massage therapist since massages are considered a medical procedure.

Private notes can be created up to three different notes. This allows providers to enter up to three private notes for a guest that only the business owner and the provider can access unless someone else is given the role permission to view them.

In this article, you will learn how to configure three types of private notes.

To configure three different private notes

1. At the organization level, go to Admin > Organization > Organizations.

The Edit Organization page opens.

2. Go to the Settings tab.

3. Expand the Guests section.

4. Locate and enter labels for the following parameters, depending on how many notes you require.

  • Label for Private Guest Note 1 in Guest Profile

    Example: Treatment Stages

  • Label for Private Guest Note 2 in Guest Profile

    Example: Treatment Progress

  • Label for Private Guest Note 3 in Guest Profile

    Example: Reactions

5. Click Save.

Providers can now add notes for Treatment stages, Treatment progress, Reactions, etc. See the example below.
