Zenoti Payments is an easy way to accept credit card transactions in-store and online.

If you have set up Zenoti Payments, the processed payments are deposited into your bank account as per the schedule in your Stripe account and not immediately.

This is because Stripe (which powers Zenoti Payments) follows a rolling schedule for payouts, for example, Stripe follows a 2 day rolling for USA and Australia.

This means, if you process a card transaction on Tuesday, then the amount is deposited to your bank account on Thursday (same week). Likewise, if you process the card transaction on Friday, then the amount is deposited on Tuesday (next week).

With the rolling schedule, it is difficult for your center to reconcile the collections made during a week or a month, with the payouts in your account.

Auto-Reconciliation shows your collections and payouts side-by-side and allows you to:

  • Verify if each collection is deposited into your bank account.

  • Identify the deposited amount and the amount in transit.

  • Identify the difference between the Payout and the Collection amount. 

  • View reconciliation mismatches for each transaction. 

  • Reconcile manually the mismatches at the transactional level.

How to Auto Reconcile Payouts

To auto reconcile payouts with collections, do the following:

  1. At the center level, click the Reports icon.

  2. Navigate to Finance > Collections > Zenoti Payments - Reconciliation

  3. Select the filter criteria and run the report. For more information on this report, see Reconcile Payouts for your Center

  4. After the report is run, you will see the option Reconcile.

   4. Click Reconcile.
        The Reconciliation page opens.
   5. Select a Time Period for reconciliation.
        Note: The maximum time period you can select is 1 month.

   6. Click Start Reconciliation.
       The reconciliation will run and will display the collections and the payouts side
       by side for the selected time period.

  You will see the following in this screen: 

  • Net Collections in Zenoti: The collections appear on the left side of the screen and will display the following:
    - Total Gross: This is the total gross collections of the center for the selected time     period.
    - Total Fee: This is the fee for using Zenoti Payments.
    - Total Collections: This column shows the total collections after the deduction of     fees.
      Total Collections = Total Gross Collections  - Total Fee.

  • Net Payouts from Stripe: The payouts appear on the right side of the screen and   will display the following:
    - Total Gross: This is the total gross payouts to your center from Stripe for the            selected time period.
    - Total Fee: This is the fee for using Zenoti Payments.
    - Total Payouts: This column shows the total payouts from Stripe after the                  deduction of fees.
       Total Payouts = Total Gross Payouts - Total Fee
    - Deposited to Bank
    : This shows the amount that is deposited to the bank or the      amount of payout received.
    - In Transit: This is the amount that is processed in Zenoti, but has not yet been        deposited.
       Deposited to Bank + In Transit = Total Payouts.

  • Difference between Collection and Payout: Since there is a rolling schedule, you will see a difference in the collection and payouts for the recently processed transactions. 

  • View Reconciliation Mismatches: This allows you to view the transactional level mismatches between the collections and the payouts and reconcile the differences manually.
